Migrate supplier records and purchasing approvals as one controlled change: define what is in scope, map and validate the data, rebuild approval rules around their business purpose, then rehearse the transfer and cut over only after reconciliation and owner sign-off. The exact import method, fields, and identifier rules depend on the systems involved.
Define what the migration includes
Agree on the process boundary before selecting fields or planning a cutover. “Source-to-pay” can cover the journey from an initial procurement request through payment to a supplier, including record keeping and reporting. Organizations define that journey differently; Microsoft’s overview, for example, excludes goods receipt. Use the Microsoft source-to-pay overview as a reference, not as a universal scope definition.

Write down which of these capabilities are moving, changing, or staying in another system:
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Scan for outdated or missing drivers - takes under a minute3Clear out junk files and repair common Windows errors- Supplier onboarding and supplier master records
- Sourcing and contracts
- Purchase requisitions and purchase orders
- Goods receipt, if included in your process
- Invoice processing and payment handoffs
- Historical transactions, attachments, reporting, and audit records
Also identify the systems that remain authoritative for supplier, tax, payment, accounting, and employee data. That decision determines which values the destination should own and which it should receive from an ERP or another source.

Inventory supplier data and map each field
“Vendor data” is more than a company name and address. SAP Business ByDesign’s supplier migration documentation lists general characteristics, purchasing data, addresses, collaboration data, contacts, payment and bank data, tax data, notes, and attachments among the content areas supported by that activity. Treat this as an example of the breadth to check—not a schema that every destination supports. See SAP Business ByDesign’s supplier migration configuration.
Create a source-to-destination mapping for each required data domain. For every field, record its source, destination field, transformation, owner, validation, and treatment if the value is missing or invalid. Check the target’s supported import format and whether related information—such as contacts or attachments—uses a separate import path. SAP Ariba documents manual-import and ERP-integration scenarios, including separately imported related supplier data; those are product-specific options, not a universal choice. See SAP’s SAP Ariba migration scenario.
Before loading records, classify duplicates, inactive suppliers, stale contacts, missing tax or payment details, and records that should not move. Agree who can resolve each exception and whether it will be corrected, excluded, or carried forward with an explicit status. Keep a log of transformations and exclusions so that a reconciled total can be explained rather than merely matched.

Set supplier identity rules before the first load
Choose how the destination will identify each supplier: retain a legacy identifier, map it to an ERP vendor ID, or let the destination assign a new ID. Preserve a crosswalk between old and new identifiers for reconciliation and for users or downstream systems that still refer to the old value.
Do not assume identifiers can be revised after migration. In SAP Business ByDesign’s supplier migration activity, administrators can retain legacy supplier IDs or have the system assign new ones. SAP Ariba’s Unified Vendor Model guidance says an ERP vendor ID is required and cannot be updated after migration; it also describes product-specific prioritization of organization ID domains and when a generated ID may be assigned. Confirm the destination’s rule and test it before production loading. See SAP’s ERP vendor ID migration guidance.
Rebuild approvals around the intended controls
Map business rules, not just the boxes and arrows in an old workflow. First determine which purchases need review, which may be auto-approved, who has authority, and what should happen when an approver is unavailable. Microsoft’s procurement workflow documentation describes workflow configuration and routing options in Dynamics 365; the available features and labels in another platform may differ. See Microsoft’s procurement and sourcing workflows guidance.

Document the rule for each approval case, including the conditions that trigger it and the expected outcome:
- Approval thresholds and whether they apply to the full requisition or individual lines
- Cost center, financial dimension, project, or legal-entity routing
- Reviewer assignment through named users, groups, roles, or hierarchies
- Delegation or alternate approvers, escalation, and reviewer unavailability
- Rejection, resubmission, and the record of decisions required for audit
- Cases eligible for automatic approval and any exceptions that override it
Routing granularity matters: a system may route an entire requisition or send individual lines through different reviewers. Microsoft’s purchase requisition workflow guidance covers both patterns and options for assigning reviewers, including groups, roles, hierarchies, named users, and—in some configurations—project roles or financial-dimension owners. Confirm the supported assignment methods in your target configuration. See Microsoft’s purchase requisition workflow documentation.
Choose the transfer method that fits both systems
Use a supported import, integration, or combination of the two. A manual file import can suit a controlled one-time conversion when the destination supports the needed data and the team can validate transformations. An ERP integration may be more appropriate when supplier records must remain synchronized, but it requires clear ownership of the interface and ongoing exception handling. SAP Ariba documents both manual CSV import and SAP ERP integration in a specific solution scenario; that does not establish which method another platform supports or which is right for a particular organization.
Rank #4
| Approach | When it may fit | Questions to resolve |
|---|---|---|
| Manual file import | A one-time or controlled batch transfer, where the destination supports the required file format and related data paths. | Which records and related objects need separate files? Who validates transformations, handles rejected rows, and prevents stale files from being loaded? |
| ERP integration | Supplier data needs an ongoing connection to an ERP, subject to support in both systems and a defined integration owner. | Which system is authoritative for each field? How are updates, failures, duplicates, and post-cutover synchronization managed? |
The available paths, format limits, and synchronization behavior depend on the actual source and destination; establish them with the platform owners before finalizing the conversion design.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Rehearse, reconcile, and test the workflows
Run a representative test migration before the production cutover. Include ordinary suppliers as well as records with known complications, such as multiple addresses, incomplete fields, linked ERP entities, or attachments. Then verify data and process behavior separately:
- Validate the mapping. Confirm that required fields land in the intended destination fields, transformations are applied consistently, and invalid values are visible for correction.
- Reconcile the load. Compare source and destination record counts, duplicates, exclusions, and critical values such as supplier identifiers and payment details. Investigate differences rather than treating a matching total as proof of accuracy.
- Exercise approval cases. Ask business owners to test representative requests across relevant thresholds, routing levels, reviewer assignments, unavailable reviewers, rejections, resubmissions, and automatic approvals.
- Check visibility and history. Verify that users can see the approval status and that the required decision history and supporting records are available in the destination or an agreed retained system.
- Resolve exceptions and obtain sign-off. Have data owners approve their domains, process owners approve the tested workflows, and the project lead record unresolved items and their disposition.
SAP describes supplier migration as a sequence of preparation, prerequisite setup, migration, and post-migration work in its Unified Vendor Model migration guidance. Use those phases as a planning prompt; they are not a universal schedule or acceptance standard.

Plan cutover, fallback, and post-go-live ownership
Before production, approve a runbook that names the responsible person for each action and sets explicit go/no-go checks. It should cover:
- The cutover sequence, data freeze or delta-load approach, and final synchronization point
- Who communicates the change to requesters, approvers, suppliers, finance, and support teams
- Checks for record reconciliation, identifier crosswalks, workflow testing, and owner approvals
- Fallback criteria, the decision-maker, and how work in progress will be handled if cutover is stopped
- Post-go-live monitoring, support ownership, and a route for reporting data or approval exceptions
There is no universal migration timetable or acceptance threshold established for an unspecified source and destination. Set the thresholds and fallback decision for your own transaction volume, process risk, integration design, and operational support. Likewise, confirm historical-record and retention requirements for the applicable jurisdiction and systems rather than assuming that a platform migration alone satisfies them.
