Marking an email as Important is meant to nudge the recipient’s email client to treat your message with higher priority—often by styling, sorting, or surfacing notifications differently.
But here’s the catch: different services implement “important” differently. Some set standardized headers, some apply client-only flags, and some only support importance for internal rules.

When a client says “Mark as important,” it usually does one (or more) of the following:
#1 Best Overall
- KEYBOARD: The keyboard works for Windows with hot keys that enable easy access to Media, My Computer, Mute, Volume up/down, and Calculator
- EASY SETUP: Experience simple installation with the USB wired connection
- VERSATILE COMPATIBILITY: This keyboard is designed to work with multiple Windows versions, including Vista, 7, 8, 10 offering broad compatibility across devices.
- SLEEK DESIGN: The elegant black color of the wired keyboard complements your tech and decor, adding a stylish and cohesive look to any setup without sacrificing function.
- FULL-SIZED CONVENIENCE: The standard QWERTY layout of this keyboard set offers a familiar typing experience, ideal for both professional tasks and personal use.
- Sets message headers (e.g., importance-related metadata like
Importanceor priority flags) that other clients may interpret. - Applies a client-side flag (a local state in the sender’s and/or recipient’s inbox view).
- Triggers UI behavior such as pinning, starring, or visually highlighting the message in the inbox.
Because email clients vary, “Important” is not a universal guarantee. The most reliable approach depends on which platform your recipient uses.
Prerequisites and expectations (how recipients will see it)
Before you rely on the feature, confirm these basics:
- You can only control what your email client supports. Gmail and Apple Mail don’t always expose a direct “Important” checkbox in the way Outlook does.
- Recipient’s client decides how to display importance. Your headers may be ignored by some inboxes or overwritten by their priority logic.
- Importance is not the same as “High priority.” Some clients use separate concepts: “Importance,” “Priority,” “Urgent,” or “Pin.”
If your goal is “the recipient can’t miss this,” consider pairing importance with subject-line clarity and (when appropriate) a follow-up.

Microsoft Outlook (Windows)
Outlook for Windows supports a dedicated importance control when composing.
- Open Outlook and click New Email.
- In the message window, find the toolbar group labeled Tags.
- Click Show Importance (if you don’t see it immediately).
- Choose one of the importance options:
- High (most attention)
- Normal
- Low
- Send your email as usual.
Where this shows up: In many Microsoft environments, the recipient sees a highlighted/flagged message in their inbox. Other clients may interpret the metadata inconsistently.
Microsoft Outlook on the web (Outlook.com / Microsoft 365)
Outlook on the web includes importance controls in the compose experience.
- Go to Outlook.com or your Microsoft 365 mailbox and click New message.
- In the compose window, look for Importance (often visible as a label near the send controls).
- Select High, Normal, or Low.
- Complete To, Subject, and body text, then click Send.
If you don’t see the importance dropdown, expand the compose window (some layouts hide extra controls until the window is wider).

Outlook for Mac
Outlook on macOS also supports an importance setting during composition.
- Open Outlook on your Mac and click New Message.
- Look for the Message or Options area in the toolbar.
- Enable or find Importance.
- Select High (or Normal / Low).
- Send your email.
If your toolbar looks condensed, try widening the message window or using the toolbar’s “Options” controls to reveal additional fields.
Gmail on the web (gmail.com)
Gmail’s web compose experience doesn’t provide a simple “Important” checkbox that reliably forces a recipient inbox highlight in the way Outlook does.
Instead, Gmail mainly focuses on priority signals in the sender/recipient’s own mailbox view. Still, you can make Gmail treat your message as important by using Gmail’s controls that approximate the goal.
Option A: Use Gmail Priority markers (client-side behavior)
- Open gmail.com and sign in.
- Click Settings (gear icon) > See all settings.
- Go to Inbox.
- Find Inbox type and ensure you’re using an inbox layout that supports priority categories (e.g., Priority Inbox).
- When composing, you’ll still not have a “Mark as Important to recipients” control—but Gmail will categorize messages using its own signals and your inbox settings.
Option B: Use a subject line that drives attention
Gmail doesn’t offer a universal importance toggle to force another user’s inbox view. If your recipient is on Gmail, subject-line clarity is often the most consistent way to get early attention.
Use a short, explicit prefix like [Action Required] or [Review Needed], and keep the first sentence action-focused.
Gmail mobile (iPhone, iPad, Android)
In the Gmail mobile apps, the compose screen typically does not include a dedicated “Mark as important” toggle that changes how another client displays your email.

- Open the Gmail app.
- Tap Compose.
- Type your To, Subject, and message.
- When you need attention, rely on subject clarity and your email’s first line (since priority controls aren’t exposed as an explicit sender option).
- Tap Send.
If you’re sending to someone who uses Outlook, consider using Outlook’s “High importance” where possible, or send from a platform that supports importance metadata.
Apple Mail (iPhone, iPad)
Apple Mail on iPhone and iPad doesn’t typically present a “Mark as Important” dropdown during composition. However, Apple Mail does support some priority-related behaviors depending on how your mailbox provider maps headers.
What you can do
- Open Mail and tap Compose.
- Write your email.
- Use a clear subject prefix (e.g.,
URGENT:or[Action Required]). - Send.
If you’re using an Exchange-based account (Microsoft 365, Exchange Online), your provider may map importance metadata automatically in some cases—but there’s no consistent “High importance” switch in the standard iOS compose UI.
Apple Mail (macOS)
On macOS, Apple Mail still doesn’t consistently expose a universal “Important” control as a sender-facing toggle for all account types.
- Open Mail on macOS and click New Message.
- Draft your message.
- For better visibility, use a direct subject and include the action in the first line.
- Send.
If your mailbox is Exchange/Microsoft 365, test one email to yourself and verify whether your recipient inbox highlights it, since mapping depends on server and client behavior.
What if you don’t see an Important option?
This is common. The sender UI depends on both the app and your account type.
Check these quick causes
- You’re not in the compose view. Importance settings appear only while composing, not on the sent message list.
- Your Outlook layout hides toolbar controls. In Outlook for Windows, use Show Importance under Tags.
- Your Gmail/Apple Mail client simply doesn’t support it as a sender toggle. Gmail and Apple Mail frequently focus on priority signals rather than explicit “importance to recipient.”
- Account type matters. Exchange/Microsoft accounts often support priority metadata better than IMAP/POP.
When in doubt, run a controlled test: send a draft to yourself and to one colleague using the same client you’re trying to influence.

Common mistakes (and how to fix them)
- Using “High importance” but burying the request. A high-importance flag won’t help if the subject and first line don’t state the action.
- Expecting cross-client consistency. A recipient using a different email platform may ignore or re-style your importance metadata.
- Overusing high importance. Recipients quickly learn to filter or ignore constant “High” messages.
- Sending vague “Important” subjects. Use concrete subject matter plus an action indicator.
A good subject template: [Action Required] Deadline: May 15 followed by one short sentence that explains what they should do.
Troubleshooting when recipients don’t get the “important” signal
If you mark a message as high importance in Outlook but the recipient doesn’t see it highlighted, try this checklist.
Recommended Free Tools
Verify with a controlled experiment
- Send a message from your account marked High to your own mailbox and a colleague’s mailbox.
- Ask the recipient to check their inbox sorting and categories (e.g., Priority Inbox settings in Gmail or focused inbox behavior in other clients).
- Compare how each inbox displays the message.
Check the recipient’s inbox rules
Many clients apply filtering rules that can override visual cues. If the recipient has a rule that moves or tags messages, the “importance” display may be lost.
Confirm you’re actually using the importance control
On Outlook for Windows, make sure you’ve selected High in the Importance dropdown. If you only use categories or flags that look similar, the priority signal may not carry.
Account mapping limitations
Some setups (especially mixed providers and gateways) don’t preserve importance metadata reliably. In those cases, use alternatives like a strong subject line and a short, explicit ask.
Alternatives when you need guaranteed attention
If “important” status isn’t showing up where it matters, switch to approaches that work across clients.

When you truly need acknowledgement, consider a separate workflow (calendar request, ticketing system, or task tool) instead of relying solely on inbox visuals.

FAQs
Does Gmail let me mark emails as important for the recipient?
Gmail’s compose UI generally doesn’t offer a reliable “Mark as Important” toggle that forces the recipient’s inbox to highlight the message. Your best control is subject clarity and Gmail-side priority behavior (like Priority Inbox settings).
If I set High importance in Outlook, will the recipient always see it?
No. Outlook can set importance metadata, but other email clients may ignore it or re-style it based on their own rules and settings.
What’s the difference between Importance and Priority?
They’re often treated differently across clients. Outlook explicitly exposes Importance (Low/Normal/High). Some systems treat Priority or Urgent as separate concepts. Always test with your recipient’s client.
Will recipients receive a notification just because I marked the email important?
Not automatically. Email notifications depend on the recipient’s device and inbox settings. Importance may change sorting or highlighting, but it doesn’t guarantee a push notification.
Bottom Line
If you use Outlook, you can directly set an email’s importance to High during composition—this is the most straightforward sender-side option.
If you use Gmail or Apple Mail, don’t expect a universal “Important to recipient” checkbox. Use clear subject prefixes, lead with the action in the first line, and test with real recipients to confirm what they actually see.
