The key distinction is that removing a local download is not the same as deleting the file from OneDrive.
Start with the OneDrive folder in File Explorer
OneDrive is already included with Windows 11. After you sign in and setup completes, your synced files appear in a OneDrive folder in File Explorer. Changes made there sync with OneDrive online when the client is connected. That means a deletion or edit in the synced folder can affect the cloud copy too; synchronization is not a separate backup.

- Select the OneDrive cloud icon in the Windows notification area. If it is hidden, open the notification-area overflow.
- Open OneDrive settings to check the signed-in account and sync status. If you use more than one account, look for the personal or organization-specific OneDrive folder.
- Open File Explorer and select the OneDrive folder to manage its contents. During initial setup, OneDrive lets you choose or accept the folder location.
Organize files without confusing moving and deleting
In File Explorer, you can create folders and sort, rename, move, or copy files as you would elsewhere in Windows. Copying leaves the original in place; moving removes it from its original location and places it in the destination. Moving a file from outside the OneDrive folder into it adds the file to the sync process and uploads it when syncing is available.
Recommended Free Tools
- Keep the file in OneDrive but save PC space: Use Files On-Demand to remove its local download, not Delete.
- Keep the file on the PC but remove it from OneDrive: Move it outside the OneDrive folder. Deleting it from the synced folder can delete the cloud copy as well.
- Keep both a source and a OneDrive copy: Copy the item into the OneDrive folder rather than moving it.
Choose online-only or offline access
Files On-Demand lets you keep items visible in File Explorer without keeping every file downloaded to the PC. The right status depends on whether you need local storage or access without an internet connection.

| Status or action | Local disk use | Internet needed to open? | Ready offline? |
|---|---|---|---|
| Online-only | Does not use local disk space for the file | Yes | No |
| Available on the device | Uses local disk space | No, once downloaded | Yes |
| Free up space | Removes the local download while keeping the cloud file | Yes, to open again | No |
- In File Explorer, right-click the file or folder in OneDrive.
- To prepare it for travel or unreliable internet, choose the option to keep it available on the device. Wait for the download and sync activity to finish.
- After offline use, choose the option to free up space if you need to reclaim local storage. The file remains in OneDrive and may need an internet connection to open again.
Check the item’s status icon in File Explorer before disconnecting from the internet. An online-only item cannot be opened offline.
Choose which OneDrive folders sync to this PC
Folder selection controls what is synced to this particular computer. It does not delete the unchecked folders from OneDrive: they remain available through the OneDrive website and mobile app.

- Easily store and access 5TB of content on the go with the Seagate portable drive, a USB external hard Drive
- Designed to work with Windows or Mac computers, this external hard drive makes backup a snap just drag and drop
- To get set up, connect the portable hard drive to a computer for automatic recognition software required

- Select the OneDrive cloud icon in the notification area and open Settings.
- Go to Account, then select Choose folders.
- Clear the folders you do not want synced to this PC and confirm the selection.
This can reduce local storage use and sync activity. It is different from deleting a folder: an unchecked folder is simply not synced to that PC.
Decide whether to back up Desktop, Documents, or Pictures
OneDrive can back up supported Windows folders such as Desktop, Documents, and Pictures. Use OneDrive’s Manage backup control to review which folders are protected. Backup here changes how those folders are handled in OneDrive; it is not an independent archival copy, so synced changes or deletions can still propagate.

- Easily store and access 1TB to content on the go with the Seagate Portable Drive, a USB external hard drive.Specific uses: Personal
- Designed to work with Windows or Mac computers, this external hard drive makes backup a snap just drag and drop. Reformatting may be required for Mac
- To get set up, connect the portable hard drive to a computer for automatic recognition no software required

If you stop backup, read the choice about whether files should remain in OneDrive or on the PC. Items already backed up may remain in OneDrive, and you may need to move them manually back into the local folder. Cloud-only items may need to be downloaded before they can be moved to a local location.
Restore a missing or deleted OneDrive file
First search the OneDrive folder and check the sync status; a file may be online-only or the client may be paused rather than the item being gone. Then use the recycle bin that matches where the file was deleted.

- Deleted locally: Check the Windows Recycle Bin.
- Deleted from OneDrive: Sign in to OneDrive on the web and check its Recycle Bin. A cloud-only file may not appear in the Windows Recycle Bin.
Microsoft Support documents recovery periods of 30 days for personal OneDrive accounts and 93 days for work or school accounts, unless an administrator has changed the latter account’s retention settings. A cloud item permanently deleted from the OneDrive Recycle Bin cannot be restored. See Microsoft’s OneDrive deletion and recovery guidance.
Microsoft 365 subscribers can also use Restore your OneDrive to roll the entire OneDrive back to a point within the previous 30 days. This reverses multiple file and folder actions, not just one deletion, so review the changes the restore will undo before proceeding. Details are in Microsoft’s Restore your OneDrive instructions.

When an external drive is useful
You do not need extra hardware for routine OneDrive organization, syncing, Files On-Demand, or online recovery. An external drive is an optional choice if you are moving files to a new PC or want a separate local copy, particularly when internet access is unavailable. Microsoft describes both OneDrive and external storage as migration options in its Windows PC file-transfer guidance.
