How to Manage Multiple WordPress Sites From One Dashboard

A practical guide to choosing and operating a central dashboard for multiple WordPress sites, with setup steps, tool differences, backup checks, staged updates and troubleshooting.

The practical way to run several WordPress sites from one place is to use a multi-site management console rather than signing in to every site separately. Use the WordPress.com Hosting Dashboard when the sites belong to one WordPress.com account, Jetpack Manage when you need a hosted portfolio view for WordPress.com and connected self-hosted sites, MainWP Dashboard when you want the control plane on infrastructure you manage, or ManageWP when you prefer a hosted, modular service. Whichever route you choose, connect one low-risk site first, verify backups and permissions, then roll out updates in controlled batches.

Choose the right management model first

“One dashboard” can mean two different things: switching among sites that already live in one WordPress.com account, or operating a separate console that connects to many independent WordPress installations. Decide which situation applies before installing anything.

Option Best fit Hosting model Documented capabilities Main trade-off
WordPress.com Hosting Dashboard Several sites owned by one WordPress.com account Hosted by WordPress.com; can also show connected self-hosted sites through Jetpack Switch between sites and bring together sites, domains, email, plans, backups and activity Each WordPress.com site needs its own plan
Jetpack Manage Mixed WordPress.com and self-hosted portfolios that need a hosted console Hosted service connected to each site Portfolio filtering and sorting, site-health alerts, plugin-update visibility, backup and scan status, downtime monitoring and performance information Connected sites must meet Jetpack’s account, hosting and WordPress-version requirements
MainWP Dashboard Agencies and operators who want the management console on their own infrastructure Self-hosted WordPress plugin Centralized one-click updates, scheduled or on-demand backups and client management You are responsible for hosting, securing and maintaining the dashboard itself
ManageWP Teams wanting a hosted, modular management service Hosted service Plugin, theme and core updates for managed sites from one dashboard Pricing is calculated per site and per add-on; the exact total changes with the features enabled

Jetpack describes its intended range as “a few sites or upwards of 1,000 sites.” That is a vendor-stated capacity description, not an independent performance benchmark. For a small owner-managed portfolio, ease of connection may matter more than scale. For a client agency, permissions, reporting, backup recovery and separation between customers usually matter more than the headline site count.

  • Domain and hosting provider.
  • WordPress version and whether automatic core updates are enabled.
  • Administrator account used for the connection, with the person responsible for it.
  • Active plugins, themes and any licensing or renewal dependency.
  • Backup destination, retention period and the last restore you actually tested.
  • Business criticality: brochure site, publishing site, membership site, store, booking system or another category.
  • Critical forms, checkout flows, logins, APIs, email delivery and other integrations that require a post-update check.

This inventory prevents a low-risk brochure site and a revenue-generating store from being treated as identical update targets.

Confirm access and ownership

Use an administrator account controlled by the site owner or agency, not a former employee’s personal login. Remove unused administrators, enable strong authentication where the host and management tool support it, and document who can approve updates, restore backups and view client data. If a client owns the site, agree in writing which actions your team may perform without additional approval.

Check compatibility before choosing a connector

Jetpack’s documented setup requirements include a dedicated WordPress.com account for connected sites, a host that meets WordPress host requirements and the latest WordPress version. A site that fails one of those checks should be upgraded or handled through another management model rather than forced into the connection process.

Set up a multi-site dashboard safely

  1. Inventory and classify the sites. Capture the host, version, administrator, active extensions, backup destination and business criticality for every installation.
  2. Select the control plane. Use the WordPress.com Hosting Dashboard for sites already in one WordPress.com account; choose Jetpack Manage or ManageWP for a hosted portfolio; choose MainWP when the dashboard should run on infrastructure you control.
  3. Connect one low-risk site. Confirm that the console can read the site’s update list, backup state and health information before adding the rest.
  4. Standardize labels. Apply consistent client names, environment labels such as production or staging, and notification recipients. A portfolio view is only useful when filters and alerts identify the right owner and urgency.
  5. Verify a restorable backup. Take a fresh backup or confirm that the latest backup completed, and perform a restore test according to the provider’s procedure. A backup that has never been restored is an assumption, not a recovery plan.
  6. Run a small update batch. Start with a few non-critical sites or a staging copy. Review the results before expanding the batch.
  7. Test business functions. Check critical forms, checkout, logins, search, email notifications, payment callbacks and external integrations after updates.
  8. Review failures and permissions. Record failed updates, resolve them individually, and remove access when staff or clients change roles.
  9. Keep the management layer current. Update the dashboard software, connectors and WordPress core so the control plane does not become the weakest link.

Using the WordPress.com Hosting Dashboard

A single WordPress.com account can own multiple sites and switch among them from the Hosting Dashboard. The account view brings sites, domains, email, plans, backups and activity into one place. It can also display self-hosted sites that have been connected through Jetpack, so the dashboard can act as a starting point for a mixed portfolio.

When this is the simplest choice

Use it when the sites are already managed under the same WordPress.com account and you mainly need navigation and account-level visibility. There is no separate self-hosted control plane to maintain, and the site selector avoids repeated logins.

Important account and plan boundary

Each WordPress.com site requires its own plan. One account does not turn several sites into one subscription, and switching between sites does not merge their storage, domains or plan entitlements. Confirm the plan attached to each site before promising a client that a feature is available everywhere.

Using Jetpack Manage for a mixed portfolio

Jetpack Manage is a hosted dashboard for connected WordPress sites. Its portfolio view supports filtering and sorting, while the service surfaces site-health alerts, plugin-update visibility, backup status, scan status, downtime monitoring and performance information. Those signals let an operator find exceptions without opening every site.

Connection requirements

  • A dedicated WordPress.com account for the connected sites.
  • A host that meets WordPress host requirements.
  • The latest WordPress version on each site.
  • Administrator access sufficient to authorize the connection and required actions.

Resolve version or hosting incompatibilities first. If a site cannot meet the documented requirements, keep it outside the Jetpack portfolio until it can be upgraded safely or use a different control model.

A practical operating pattern

  1. Connect one non-critical site and confirm that updates, backup status and health alerts appear correctly.
  2. Assign a consistent label for the client, environment and business criticality.
  3. Add the remaining sites in small groups, checking that each appears under the correct label.
  4. Use filters to create an update queue: sites with pending security updates, sites with failed backups and sites requiring human review should not be mixed into one blind batch.
  5. After an update, use the health and downtime signals as prompts for manual checks rather than treating a green dashboard indicator as proof that every business function works.

Using MainWP Dashboard as a self-hosted control plane

MainWP Dashboard is a self-hosted WordPress plugin. Its official directory description highlights centralized one-click updates, scheduled or on-demand backups and client management. This model suits an agency that wants the management console and its data on infrastructure the agency controls.

What self-hosting changes

You gain control over where the dashboard runs and how it is secured, but you also inherit operational duties. Keep the dashboard host patched, restrict administrative access, monitor its availability, maintain its own backups and document how to recover it. A self-hosted console does not remove maintenance; it moves part of that maintenance to your team.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Recommended rollout

  1. Install the MainWP Dashboard plugin on a dedicated WordPress installation rather than an unrelated production site.
  2. Harden that installation, limit administrator accounts and establish a backup and restore process for the dashboard itself.
  3. Add one low-risk child site and verify that the dashboard can retrieve updates and perform a backup action.
  4. Organize sites by client and environment, then add additional sites in batches.
  5. Use scheduled backups and on-demand backups for major changes, but retain an independent recovery copy when the site’s availability warrants it.

Using ManageWP as a hosted, modular service

ManageWP places plugin, theme and core updates for every managed site in one dashboard. Its pricing page states that billing is per site and per add-on, and advertises a free monthly backup tier. Because the bill changes with both the number of sites and the add-ons selected, calculate the recurring total from your actual portfolio rather than assuming one flat subscription.

When the hosted model is attractive

A hosted service reduces the infrastructure work required to run the control plane. That can be useful for a small team that wants centralized updates without maintaining another WordPress installation.

Questions to answer before adoption

  • Which sites need backups more frequently than the included tier provides?
  • Which add-ons are required for monitoring, reporting or security?
  • How are staff permissions separated between clients?
  • How are backups downloaded or restored if the service is unavailable?
  • What is the monthly cost after every site and required add-on is included?

How to update many sites without causing a portfolio-wide outage

Separate visibility from authorization

A dashboard can show that updates exist without granting every operator permission to install them. Give staff the least access needed to inspect status, approve changes or restore a site. Reserve bulk-update authority for people who understand the site’s dependencies.

Use staged batches

Group sites by risk and similarity. A sensible first batch contains a few low-traffic sites with simple plugin stacks. Wait for the checks to pass before updating a larger group. Keep stores, membership sites, high-traffic publishers and sites with custom integrations in their own change windows.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Handle plugin, theme and core changes deliberately

Do not treat all updates as interchangeable. A plugin update can alter forms or payment logic; a theme update can affect templates and layout; a core update can expose compatibility problems across the entire stack. Record what changed, when it changed and which sites were included.

Define a stop condition

Pause the batch when a backup fails, an update reports an error, a site becomes unavailable or a critical workflow fails. Continuing because the dashboard still has more sites in its queue increases the blast radius.

Backups and restore readiness

Backups are the recovery layer for accidental edits, broken plugin updates and other unwanted changes. WordPress.com’s backup guidance presents them in exactly that role: a way to recover after a change causes damage.

What to verify

  • The backup completed after the latest content and configuration changes.
  • The backup contains both the database and uploaded files required by the site.
  • Copies are retained somewhere separate from the live site when the business impact justifies it.
  • Someone on the team knows the restore procedure and has permission to execute it.
  • A test restore has been completed, not merely scheduled.

When to create an extra recovery point

Create or verify a fresh recovery point before a bulk update, a major theme change, a migration, a PHP-version change or any operation that affects several connected services. For a high-value site, keep the recovery point until post-change testing is complete.

Monitoring, alerts and client operations

A central dashboard is valuable because it turns many separate maintenance tasks into an exception queue. Configure alerts for failed backups, unavailable sites, pending security updates and scan findings, then route each alert to a person who can act on it.

Use labels that answer operational questions

  • Ownership: client or internal department.
  • Environment: production, staging or development.
  • Risk: critical, important or low impact.
  • Change window: the approved day and time for updates.
  • Notification: the person or team responsible for response.

Consistent labels make filtering useful and prevent a warning for one customer’s site from being mistaken for another’s.

Separate reporting from emergency response

Routine client reports can summarize updates, backup status and uptime observations. An outage or failed restore requires an immediate operational channel, not a report that may be read later. Define escalation rules before a failure occurs.

Security and permission controls

Centralization increases efficiency and concentrates risk. A compromised management dashboard can expose every connected site, so protect it more aggressively than an ordinary content account.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Use unique, strong credentials for the dashboard and each connected site.
  • Enable multi-factor authentication where available.
  • Limit administrator accounts and review them when a contractor or employee leaves.
  • Keep the dashboard, connectors, WordPress core, plugins and themes current.
  • Do not share one administrator login among a whole team.
  • Record which person approved bulk changes.
  • Restrict dashboard access by role, network or single sign-on controls when your environment supports them.
  • Review the data held by the hosted provider or self-hosted console and align it with client contracts.

How to compare tools for a real portfolio

Evaluate each option against the same operational requirements rather than choosing from a feature checklist alone.

Decision area Questions to ask
Hosting model Do you want a provider to run the console, or do you need the management data and software on infrastructure you control?
Supported site types Are all sites in WordPress.com, all self-hosted, or a mixture?
Bulk-update controls Can you stage updates, exclude a site, see failures and stop a batch?
Backup and restore What is backed up, where is it stored, how long is it retained and how is a restore tested?
Security and uptime monitoring Which alerts are available, who receives them and how quickly can someone respond?
Client reporting Can reports be separated by customer and delivered without exposing another client’s information?
Integrations Does the console fit your existing authentication, ticketing, backup and notification workflow?
Permission model Can a person inspect status without receiving permission to update or restore every site?
Data ownership Where does management data reside, and can you export or recover it if you change providers?
Support and total cost What support level is included, and what will every site, add-on, dashboard host and backup requirement cost each month?

Troubleshooting common failures

A site does not appear in the portfolio

Check that the connection was authorized with the intended administrator account, that the connector is active, and that the site is running a supported WordPress version. Confirm the site was assigned to the correct client or environment label instead of being hidden by a filter.

The dashboard shows stale information

Refresh the connection, confirm that the site is reachable, and inspect the connector and dashboard logs if the product exposes them. A stale status should be treated as unknown rather than as a clean bill of health.

An update fails on one site

Stop that site from the batch, preserve its current backup, and inspect the reported error in the site’s own administration area. Check plugin and theme compatibility, available disk space and hosting errors. Resolve the individual failure before retrying it with unrelated sites.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

A site is down after an update

  1. Mark the site as an incident and stop further updates in the same risk group.
  2. Check whether the dashboard can identify the failed component or show a backup from immediately before the change.
  3. Restore the last known-good copy if that is the approved recovery path.
  4. Test the homepage, administrator login and critical business workflow.
  5. Document the failed component and exclude it from later batches until compatibility is established.

A backup reports success but cannot be restored

Do not rely on that backup for the next bulk change. Investigate whether the database, uploads or configuration were omitted, create a complete recovery point through a method you can verify, and perform a test restore before resuming automation.

A decision path for common scenarios

Several WordPress.com sites, one owner

Start with the WordPress.com Hosting Dashboard. It provides the shortest path to switching among sites and seeing account-level activity. Remember that each site retains its own plan.

WordPress.com sites plus independent self-hosted sites

Evaluate Jetpack Manage if the self-hosted sites satisfy its account, hosting and version requirements. This gives the mixed portfolio a single hosted view.

An agency that must control its own management infrastructure

Use MainWP Dashboard on a dedicated, hardened WordPress installation. Budget for securing, patching, backing up and recovering the dashboard as well as the client sites.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

A small team that does not want another server to maintain

Evaluate ManageWP as a hosted option, then calculate the per-site and per-add-on cost for the exact portfolio and backup needs.

Operational checklist

  • Every site has an owner, risk classification and documented administrator.
  • The chosen dashboard can read update, backup and health status for a test site.
  • Labels and notification recipients are standardized.
  • A recent backup exists and a restore has been tested.
  • Updates are staged by risk instead of launched as one undifferentiated batch.
  • Critical forms, checkout, logins and integrations are tested after changes.
  • Failed sites are removed from the active batch until diagnosed.
  • Dashboard, connectors and WordPress installations are kept current.
  • Permissions are reviewed whenever staff, contractors or clients change.
  • The recurring cost and data-retention model are documented for each customer.
