Manage video-editor media by giving project assets a clear structure, keeping source files in stable locations, relinking carefully when paths change, and collecting the right media before a handoff or archive. The exact workflow differs by application: Premiere Pro uses bins, DaVinci Resolve organizes footage in its Media Pool, and Final Cut Pro can consolidate selected media into a library location.
1. Create a structure that can grow with the edit
Set up the project’s organization before the asset list becomes difficult to scan. Use clear groups for the material your production actually contains—for example, camera sources, audio, stills, selects, sequences, and project versions. Name groups so collaborators can understand them without guessing.

In Premiere Pro, bins can contain source files, sequences, and nested bins. Adobe describes using them to organize media by type and to keep main or backup sequences together. In DaVinci Resolve, bins organize footage in the Media Pool. The names and grouping scheme are yours; consistency matters more than a supposedly universal folder taxonomy.

2. Import and review deliberately
DaVinci Resolve’s Media page is a dedicated workspace for importing, organizing, syncing footage, and adding metadata. Blackmagic Design also documents using it to browse connected drives, preview footage before adding it to the Media Pool, view or edit metadata, sync separately recorded audio and video, extract audio from clips, and clone or back up camera media.

- Small and Portable with Built-In Battery
- Built-In Search Dial
- Keyboard Shortcuts Match Edit Functions
- Bluetooth or USB Connectivity
- Bundle Includes DaVinci Resolve 17 Studio (Activation Card)
Those capabilities can support an ingest routine, but they do not require every project to use the same sequence of steps. For any editor, make sure the project’s organization helps you distinguish what a clip is and where the needed source lives.
3. Keep source locations stable—and relink with care
A project may refer to media files by their paths. In Premiere, Adobe warns that moving, renaming, or deleting imported files outside the application can make clips offline. When practical, settle the source-media locations before editing and avoid changing them in Finder, File Explorer, or another file browser while the project depends on those paths.
When Premiere media goes offline
- Use Premiere’s Link Media workflow and locate a known correct source file.
- Check the previous path and the relevant file-matching properties in the relinking dialog rather than relying on a matching filename alone.
- Review the match before continuing. Adobe documents matching file properties and automatic relinking as part of this workflow.
- Inspect the relinked clips in the project. Relinking to a different file replaces the offline source throughout the project, so confirm the media’s identity before relying on it.
Interface wording and behavior can vary by application version. Adobe’s Premiere help pages for organizing bins and relinking offline clips were updated April 22, 2026.

4. Keep proxies and originals distinct
Proxies are not the same as the full-resolution source media. If you edit with proxies, keep their relationship to the originals clear so you can reconnect the appropriate files for finishing. Adobe’s documented Premiere reconnect workflow covers specified video-only, audio/video, and offline proxy clips; those exact eligibility rules should not be assumed to apply to other editors.
Adobe recommends reconnecting full-resolution media in Premiere before high-quality post-production work such as color correction, complex effects or compositing, and audio mixing. Its help page for reconnecting full-resolution media was updated January 21, 2026.
5. Consolidate media for transfer or archiving
Before handing a project to someone else or putting it away, decide which media the destination needs. A project file by itself may not include the footage and other assets it references. Confirm what is being collected and where it will be stored before treating the copy as portable or complete.

Final Cut Pro: choose what to consolidate
Final Cut Pro can consolidate selected library, event, project, or clip media to a chosen library storage location. Its consolidation dialog lets you select original, optimized, or proxy media. If the selected optimized or proxy media is unavailable, the application can offer to generate it.
Recommended Free Tools
Apple describes consolidation as useful for housekeeping or archiving. When media is consolidated into a managed library, Final Cut Pro copies it into the library and leaves the original undisturbed. Verify that the consolidated copy and any other library dependencies are present before deleting originals. Apple’s support guide covers consolidation in Final Cut Pro for Mac; its separate library-management guide is dated November 2020.
6. Choose a storage and handoff approach for the project
There is no universally best storage device established for every editing workload. The appropriate choice depends on the actual footage, project size, editing setup, number of streams, transfer needs, and backup requirements. A portable external SSD is one possible option for active project storage or moving media between locations, but the available product documentation does not establish a specific model, capacity, or minimum performance specification.

Common media-management problems
Clips show as offline
Likely cause: source files were moved, renamed, or deleted outside Premiere. What to do: use Link Media to locate the correct source, check matching properties and the prior path, and verify the relinked result.
A relink appears to work but the footage is wrong
Likely cause: a file was accepted on filename alone or the selected source was not the intended media. What to do: confirm the file’s identity and inspect the affected clips; a mistaken Premiere relink can replace the offline source throughout the project.

Likely cause: the handoff contains the project but not all the required assets, or consolidation was set to collect a different media type than the recipient needs. What to do: verify the consolidation choices—original, optimized, proxy, or another selected set—and test the destination copy before removing the source files.

Finishing work is using proxies
Likely cause: the project has not been switched back to its full-resolution sources for finishing. What to do: follow the application’s proxy-reconnect procedure; for the specified Premiere workflows, Adobe recommends reconnecting full-resolution media before color correction, complex effects or compositing, and audio mixing.
