How to Manage, Edit, Pause, or Delete Scheduled Tasks in Gemini

Gemini has separate scheduling controls for chat scheduled actions and Gemini Spark tasks. Follow the correct web or mobile steps to edit, pause, resume, or delete a schedule without removing unrelated work.
Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Gemini has two different scheduling systems, and the correct management screen depends on which one created your schedule. Scheduled actions in Gemini chat are recurring prompts managed from Settings & help > Scheduled actions. Gemini Spark schedules are attached to Spark task threads and managed in the Gemini web app under Spark > Schedules. The controls, account requirements, limits, and consequences of deletion are different, so identify the feature before changing anything.

This guide covers how to find, edit, pause, resume, and delete both types, what happens when you delete an entire Spark task, and how to troubleshoot schedules that do not run.

First, identify which Gemini feature owns the schedule

Use the location where you originally created or viewed the schedule as the quickest test. A recurring request you made in an ordinary Gemini conversation is a chat scheduled action. An automated piece of work created in Gemini Spark belongs to the Spark scheduling system, even if the task sends you a summary in a chat.

Manage scheduled actions in Gemini chat

Find your scheduled actions

  1. Open the Gemini web app and select Settings & help.
  2. Select Scheduled actions.
  3. Review the list of actions and their current on or off state.

On mobile, open the profile menu and choose Scheduled actions. If the entry is missing, check the account and activity requirements in the access section below rather than looking in Spark; these are separate features. The list is the authoritative place to check whether an action is currently enabled, paused, or still present after you changed it from a conversation.

Edit a scheduled action

  1. Open Settings & help > Scheduled actions.
  2. Find the action you want to change and open its More menu.
  3. Select Edit.
  4. Change the instructions, timing, or other available fields.
  5. Select Save.

Google also allows an alternative conversational method: open the chat associated with the scheduled action and ask Gemini to edit it. Be explicit about both the new instruction and the desired frequency or time. Changes made either way apply to future occurrences; they do not rewrite a result that has already been delivered. After saving, return to the Scheduled actions list to confirm that the new state and timing are displayed.

Delete a scheduled action

  1. Go to Settings & help > Scheduled actions.
  2. Open the action’s More menu.
  3. Select Delete and confirm if Gemini asks.

This removes the selected chat action. It does not delete unrelated chats or any Gemini Spark task. If several actions have similar names, open each one first and compare its prompt and timing so you do not remove the wrong recurring instruction.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Pause or resume an action

  1. Open the Scheduled actions list.
  2. Locate the action.
  3. Turn its switch off to pause it, or turn the switch on to resume it.

A paused action remains in your list so you can reactivate it later. Gemini will not run the prompt while it is paused. Pausing is preferable to deletion when you expect to need the same wording and schedule again; it also avoids having to recreate the action when a temporary project ends.

Know when an action has produced output

In the web app, Gemini marks the relevant chat as unread when the output is ready. On mobile, Gemini sends a notification when device notification settings allow it. A missing notification therefore does not necessarily mean the action failed; check the chat and your operating-system notification permissions. Also verify that you are looking at the same Google Account that owns the action, especially if you use separate personal and Workspace profiles in the same browser.

Requirements and limits for chat scheduled actions

  • Keep Activity: Google requires Keep Activity to be turned on for scheduled actions.
  • Personal accounts: The feature is being made available gradually to personal Google Accounts, so two otherwise similar accounts may not see it at the same time.
  • Work or school accounts: Access requires a qualifying Google Workspace edition. An administrator can control whether the needed Gemini features are available.
  • Capacity: Google’s current guide allows up to 10 active scheduled actions at once. Paused actions are not active, but deleting an action is the way to remove it permanently.
  • Freshness: Gemini prepares scheduled-action output ahead of delivery. Information that changes quickly, such as stock prices, may not be current when you receive it.

If the menu is unavailable, verify that you are signed into the intended Google Account, turn on Keep Activity if your organization permits it, and check Google’s live help page for the current rollout and Workspace eligibility. Reaching the active-action limit is another reason a new schedule may fail to appear; review old actions and pause or delete ones you no longer use.

Manage schedules attached to Gemini Spark tasks

Find Spark schedules

  1. Open the Gemini web app.
  2. Select Spark.
  3. Select Schedules.
  4. Choose the Ongoing, Paused, or Completed grouping to locate the schedule.

You can also open the relevant Spark task and use its work panel, which lists schedules belonging to that task. The Schedules page is the cross-task view; the work panel is useful when you already know which task you need to change. Checking all three groups matters: pausing does not remove a schedule, and a finished schedule remains visible under Completed rather than disappearing.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Edit timing or instructions

  1. Open Spark > Schedules and select the schedule.
  2. Edit the timing and instructions directly in the schedule details.
  3. Select Save.

For a non-time-based trigger, choose Edit with Gemini and describe the change conversationally. State what event should trigger the task and what work should be performed after that event. The mobile app supports conversational edits, but the complete Schedules-page management experience is currently available on the web. If you cannot see a full edit form in the mobile app, switch to the web app rather than creating a duplicate schedule.

Pause or resume a Spark schedule

  1. Open the schedule’s details.
  2. Open the More menu.
  3. Select Pause to stop future runs, or Resume to turn it back on.

Pausing changes the schedule’s state without removing its configuration. Resume it from the same details screen when you want future runs to continue. Review the displayed time and trigger before resuming, particularly if the schedule was paused during travel or while Spark access was unavailable.

Delete one Spark schedule

  1. Open Spark > Schedules.
  2. Select the schedule.
  3. Open More and choose Delete.

Deleting a schedule is narrower than deleting its task. Use this option when the task thread and its other schedules should remain available. A deleted schedule is not the same as a paused schedule: deletion removes that schedule configuration, whereas pausing preserves it for a later resume.

Delete an entire Spark task and understand the consequences

Deleting a Spark task thread is a broader cleanup operation. Google says it removes the task’s associated schedules and task activity. It does not delete Workspace files that the task created or modified.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Use task deletion only when you no longer need the task’s history and all schedules connected to it. If you want to stop one recurring run while preserving the task and its other schedules, delete or pause the individual schedule instead. Before deleting the thread, list any schedules you intend to keep and move those schedules to another task if that workflow requires them.

Completed schedules

A schedule in the Completed group cannot be edited or resumed. Its only available management action is deletion. If you need a future run, create a new schedule from the task rather than trying to reactivate the completed one. This behavior is different from a paused schedule, which remains configurable and can be resumed.

Spark access, capacity, and timing behavior

  • Active schedules: Google’s current Spark guidance sets a limit of 50 active schedules.
  • Concurrent work: No more than 15 Spark tasks can run concurrently. Reaching usage limits can prevent a scheduled run from starting.
  • Delays: High traffic can delay a run, and scheduled times are approximate rather than a guarantee of execution at an exact minute.
  • Availability: Google describes Spark as available where Gemini Apps are supported except in the European Economic Area, Nigeria, Switzerland, and the United Kingdom. Eligibility is also tied to supported personal accounts and can change, so check the live Spark help page before relying on the feature.
  • Cloud execution: A Spark schedule runs in Google’s cloud. A time-based schedule stays tied to the time zone in which it was created.
  • Moving to another time zone: If you relocate and want the schedule to use the new local time, ask Gemini to edit the schedule using the new time zone; do not assume the original schedule will automatically follow you.
  • Feature or subscription changes: Turning Gemini Spark off pauses its schedules. Downgrading or cancelling a subscription that provides Spark access can also remove access and pause schedules while retaining their data.
  • Fast-moving work: Spark monitoring is not designed for rapidly changing data or time-critical actions, such as an alert that must tell you to buy tickets immediately.

These limits explain why a schedule can look correctly configured yet fail to start. A busy service, 15-task concurrency cap, or 50-active-schedule cap can intervene. Treat a displayed time as an expected window, not as a guaranteed completion deadline.

What to do when a schedule is missing or does not run

You cannot find “Scheduled actions”

  • Confirm that you are in Gemini chat settings, not the Spark area.
  • Check that Keep Activity is enabled for the account.
  • For a work or school account, ask your administrator whether the Workspace edition qualifies.
  • For a personal account, allow for Google’s gradual rollout and verify the current eligibility guidance.
  • Check the account switcher in the Gemini app and browser; an action belongs to the account that created it.

You cannot find a Spark schedule

  • Open the web app and check all three groups: Ongoing, Paused, and Completed.
  • Open the task’s work panel; the schedule may be easier to identify there than in the cross-task list.
  • Make sure you are using the Google Account that owns the Spark task.
  • If the Schedules page is absent on mobile, use the web app because full page management is currently web-only.

The run is late or never starts

  • Check whether the schedule is paused or completed.
  • Check whether your account has reached the active-schedule or concurrent-task limit.
  • Allow for high-traffic delays and approximate timing.
  • For Spark, check whether Spark was disabled or a supporting subscription was downgraded; either event can pause schedules.
  • For a time-based Spark schedule, verify the time zone in which it was created and edit it if your intended local time has changed.
  • For a chat action, open its associated conversation and confirm that the action is still enabled and that the prompt was saved.

The output is not current enough

Neither scheduling system is a substitute for a real-time alerting service. Chat scheduled actions may be prepared before delivery, and Spark guidance warns against time-critical monitoring. Rewrite the task for periodic summaries or manually verify information that changes rapidly. Do not rely on either feature for an exact-time purchase, emergency notification, or other action where a delay could cause a loss.

A safe way to choose the right deletion option

  1. Need to remove one recurring prompt? Delete that item from the chat Scheduled actions list.
  2. Need to stop one Spark automation but keep the task? Pause or delete the individual schedule from Spark > Schedules.
  3. Need to remove every schedule and the task’s history? Delete the Spark task thread, knowing that its associated schedules and task activity will also be removed.
  4. Worried about Workspace documents? Deleting the Spark task does not delete Workspace files created or modified by the task, according to Google’s task-management guidance.
  5. Only need a temporary break? Pause instead of delete. This preserves the configuration and makes a later resume straightforward.

Using the feature-specific screen prevents the most common mistake: treating a chat scheduled action and a Spark schedule as if they were the same object. Before confirming a deletion, read the item name, owning task, and schedule state. That short check prevents a broad task-thread deletion when only one recurring run needed to stop.

Frequently Asked Questions

How do I edit a scheduled action in Gemini?

In Gemini, open Settings & help, choose Scheduled actions, open the action’s More menu, and select Edit. Change the instructions or timing and select Save. You can also ask Gemini to edit the action in its associated chat; the change applies to future occurrences.

How do I delete a scheduled action?

Open Settings & help > Scheduled actions, open the More menu for the action, and choose Delete. This removes that chat scheduled action, not unrelated conversations or Gemini Spark tasks.

How do I pause or resume a scheduled action?

From the Scheduled actions list, switch an action off to pause it or on to resume it. A paused action stays listed and Gemini does not run its prompt until you turn it on again.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Where do I find Gemini Spark schedules?

In the Gemini web app, open Spark and choose Schedules. Schedules are grouped as Ongoing, Paused, and Completed. You can also see schedules in a Spark task’s work panel.

Does deleting a Gemini task also delete its schedule?

Deleting a Gemini Spark task thread removes its associated schedules and task activity. It does not delete Workspace files the task created or modified. Delete an individual schedule instead when the task or its other schedules should remain.

Can I edit or resume a completed Spark schedule?

No. A completed Spark schedule can only be deleted. Create a new schedule from the task if you need the work to run again.

Why is my Gemini schedule late?

Spark schedules can be delayed by high traffic, and their times are approximate. Check that the schedule is not paused or completed, that you have not reached the 50-active-schedule or 15-concurrent-task limits, and that Spark or its supporting subscription has not been disabled.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Will a Spark schedule change time zones when I travel?

No. A time-based Spark schedule remains tied to the time zone where it was created. Ask Gemini to edit the schedule using your new time zone if you want it to run at the corresponding local time.

Why can’t I see scheduled actions or Spark schedules?

For chat scheduled actions, confirm Keep Activity is on, use the correct Google Account, and check personal-account rollout or Workspace eligibility. For Spark, use the web app, check all schedule groups, and verify that your account and region support the feature.

The Bottom Line

Choose the right system first: chat actions live under Settings & help > Scheduled actions, while Spark schedules live under Spark > Schedules. Edit, pause, resume, or delete from that feature’s own controls. Delete a Spark task thread only when you also want its schedules and task activity removed; Workspace files remain intact.
