Use Automator for existing workflows and file-focused jobs; consider a third-party tool only when you need triggers or actions the Apple apps do not provide.
Choose a task that is safe to repeat
Start with one routine task whose steps are clear and predictable—for example, preparing the same set of actions when you open an app or processing a group of files in the same way. Write down the steps in order before building anything. If a task involves judgment, sensitive information, sending a message, or changing or deleting important files, keep a confirmation step rather than automating it without review.

Apple describes Shortcuts as a way to combine actions that work with apps, Apple-device content, and online services. Apple’s Automator guide similarly says, “With Automator, you don’t need to know complicated programming or scripting languages to create automations — you can create a custom workflow and have your Mac do the work for you.”
Pick the right Mac automation tool
| Tool | Good fit | What to consider |
|---|---|---|
| Shortcuts | No-code, multi-step tasks across supported apps and services; event-triggered routines. | Available actions and triggers depend on the workflow and your macOS version. Shortcuts can also be run from the app, Siri, a widget, Spotlight, or another app, though not every workflow has every run option. |
| Automator | Existing Automator workflows and jobs centered on files, such as batch renaming, resizing images, archiving, or backups. | Apple’s macOS Sequoia 15 guide also documents variables, loops, and adding AppleScript, JavaScript, or shell scripts when built-in actions are not enough. |
| Keyboard Maestro | More elaborate macros that combine varied triggers with ordered actions or scripts. | Its documentation describes hotkey, time, application, device, and script-related triggers. It is an optional third-party tool, not a prerequisite. |
| Alfred | Workflows started by a keyword, hotkey, external source, or file action, then connected to actions or scripts. | Check which edition includes the specific feature you want before choosing it. |
For most beginners, try Shortcuts first. Choose Automator when you already rely on it or the job is mainly file processing. If neither offers the triggers or control you need, explore Keyboard Maestro or Alfred. The product documentation describes capabilities, not comparative speed or reliability, so the best fit depends on your task and tolerance for setup and upkeep.

Build and test a shortcut before automating its trigger
- Write the sequence. Break the recurring job into small actions, in the order you perform them. Prefer a task with a clear start and finish.
- Find actions in Shortcuts. Open the Shortcuts app and look for actions that match each step. Add them to a shortcut in order. Apple’s Shortcuts User Guide for Mac explains how to create, arrange, and run shortcuts.
- Run it manually. Test the shortcut yourself before adding an event trigger. Check the result and adjust the sequence if an action does not do what you expect.
- Add a trigger if useful. Apple documents triggers such as time of day and opening an app; available choices vary by automation and system version. See Apple’s Intro to shortcuts with automations in Shortcuts on Mac and Add automations to Shortcuts on Mac.
- Review how it runs. Some automations can be configured to run without asking, and some actions may have their own automatic-execution setting. Check both rather than assuming the trigger alone removes every confirmation. An unattended action gives you less opportunity to notice a mistake before it happens.
- Review permissions and retest. Grant only the data access the shortcut needs, then run the completed automation in the circumstances where you expect to use it.
Apple’s Shortcuts guide describes automations as a way to run actions based on events such as time of day, arrival at a location, or opening an app. The exact trigger and action options available on your Mac depend on the installed macOS version and the workflow.
Use Automator for file jobs or workflows you already have
Automator remains useful if you have an existing workflow or want a file-oriented process. Apple’s Automator User Guide for macOS Sequoia covers examples including batch renaming and resizing images, as well as archiving and backups. It also explains how workflows can use variables, loops, and scripts.

If you want to move an Automator workflow to Shortcuts, Apple says most workflows can be imported by dragging the workflow file into Shortcuts for conversion. “Most” does not mean every workflow will convert perfectly: inspect the converted shortcut and test its output before relying on it. Follow Apple’s instructions for importing Automator workflows into Shortcuts.
Keep permissions and trust in view
Shortcuts requests access to data when needed, and Apple provides controls for changing or resetting permissions. Review each request against what the workflow actually does; avoid granting access that is not necessary. Apple explains these controls in Adjust basic privacy settings in Shortcuts on Mac.

Be especially cautious with a shortcut sent to you privately. Apple warns: “Apple cannot verify the authenticity or behavior of shortcuts shared privately.” Inspect its actions before enabling it, and do not run a workflow whose effects you do not understand. For actions that send messages, change or remove files, move money, or touch sensitive data, prefer a prompt or confirmation when available.
