To make a WooCommerce invoice show the same number as the customer’s order, configure the invoice extension to use the order number as the invoice number. In WooCommerce Print Invoices & Packing Lists, enable Use Order Number as Invoice Number. In Print Invoice & Delivery Notes, put {order_number} in the invoice-number field. WooCommerce has an underlying order ID and a customer-facing order number. They are related, but they are not always the same value. An invoice extension can print the customer-facing order number, while WooCommerce URLs and some payment integrations continue to use the underlying database ID.
For example, an order may display as 2026-00427 in the shop and on an invoice, while an administration URL still contains the internal ID used to retrieve that order. Changing the displayed order-number format does not rewrite that URL identifier or the database record.

The practical target is therefore straightforward: the invoice’s visible number should be generated from the same order-number value that WooCommerce displays to staff and customers. This is different from making an invoice and an order share only a similar prefix or date.
Choose the numbering model before changing settings
Decide whether your business needs a literal match or a legally controlled invoice series. The choice determines which counter, if any, should own the number.

Direct mirroring makes the invoice number equal to the WooCommerce order number. It is the simplest model for stores that want one reference on order emails, packing documents, PDFs, support tickets, and customer conversations. The invoice extension reads the order number instead of allocating a second sequence.
Formatted order numbers with mirroring
This model still has one source of truth, but the order number is formatted first. A sequential-order extension can provide a starting number, prefix, suffix, date or time tokens, and zero-padding. The invoice then prints that complete formatted value. If the store wants an invoice such as WEB-2026-00427, the formatting belongs in the order-number configuration, not in a second invoice counter.
Independent invoice sequence
An independent sequence is appropriate only when accounting or tax rules require invoices to have their own controlled series. It is intentionally different from the WooCommerce order number. WooCommerce documentation describes separate invoice counters and yearly-reset arrangements for this model. Choosing it means staff must retain both references and explain the relationship in records; it cannot produce an exact match by design.

Step 1: Check the existing WooCommerce order numbers
Before installing or configuring anything, inspect several existing orders and decide whether their current numbers are acceptable. Record the largest number and note whether the store already uses a prefix, suffix, date component, or leading zeroes.

- If the current order numbers are suitable, leave the order-number system alone and configure only the invoice extension to mirror them.
- If the store needs a new format, plan the change before enabling invoice mirroring. Decide the starting value, prefix, suffix, date or time tokens, and number of padded digits.
- Do not assume that changing a setting will rewrite historical orders. Existing orders retain their existing numbers.
On an empty site, WooCommerce Sequential Order Numbers Pro starts at 1 unless a different start is configured. On a site with existing orders, newly generated numbers follow the largest existing order number or the configured higher starting value. Setting a lower start does not make new orders collide with numbers already in use.
Step 2: Configure the WooCommerce order-number format
If you need formatted numbers, install and configure WooCommerce Sequential Order Numbers Pro before changing the invoice extension. Its relevant controls include a starting number, prefixes, suffixes, date and time tokens, and zero-padding.
- Open the sequential-order-number settings within WooCommerce.
- Choose the starting number. For an established store, verify that the resulting next number is higher than the largest existing order number.
- Add the desired prefix and suffix, if any.
- Choose date or time tokens only when they serve a clear operational purpose. Decide whether the sequence should remain continuous or use a date-based pattern.
- Set the padding width if you want values such as
000427instead of427. - Save the format and create or inspect a test order before turning on invoice generation.
Changing this configuration affects future numbering; it does not renumber existing orders. Historical invoices therefore keep the number that was assigned when each order was created. If a format change is necessary, document the effective date so staff can distinguish old and new records.
Step 3: Tell the invoice extension to use the order number
WooCommerce Print Invoices & Packing Lists
- Open the invoice-number settings for the extension.
- Enable Use Order Number as Invoice Number.
- Save the setting.
- Generate a preview or PDF from an order that has a known displayed order number.
The invoice should now print the same visible value as the WooCommerce order. Do not also add a separate invoice prefix, date token, or counter unless you deliberately want the invoice to differ.
Print Invoice & Delivery Notes
- Open the extension’s invoice template or invoice-number configuration.
- Place
{order_number}where the invoice number should appear. - Remove any independent invoice-number placeholder or auto-incrementing value from that field.
- Save the template and render a PDF or print preview.
The placeholder resolves to the order number for each order. It is not a literal string that should appear on the finished document.

Step 4: Prevent duplicate date information
Date tokens require special attention. WooCommerce’s example warns that a year can appear twice when the sequential order format already contains a year token and the invoice prefix or suffix adds another year token. For instance, an order format that already produces 2026-00427 can become an unwanted value with two year segments if the invoice template adds another year placeholder.
When the order number is the source for the invoice, remove duplicate date placeholders from the invoice template. Keep the date token in one place—normally the order-number format—and let the invoice copy the completed value.
Step 5: Test the complete output, not just one screen
Matching is only successful if the same value survives every output path your store uses. Test with several representative orders after activating the setting.
- Open a recent order in WooCommerce and write down its displayed order number.
- Generate an invoice preview and confirm that the invoice number is identical, including prefixes, suffixes, date segments, and leading zeroes.
- Download the PDF and compare it with the on-screen preview.
- Send or generate the order email that contains the invoice and check the number shown there.
- Repeat the check with an older order created before the new configuration.
- Inspect a refunded order and confirm that the refund documentation and the original invoice still point to the correct order.
- Place a new test order and verify that the next number follows the intended sequence rather than starting a second counter.
Keep a short test record containing the order ID, displayed order number, invoice number, PDF result, and email result. This makes a later template or plugin change easier to diagnose.
Why an invoice can still show a different number
A separate invoice counter is still active
If the invoice extension is configured with its own auto-incrementing series, it will produce a different value even when the order-number format is correct. Disable that series or replace its field with the order-number mapping option. Running two counters cannot create an exact match.
The template contains extra text or tokens
A copied invoice template may add a prefix, suffix, or year token around the mapped value. Compare the raw template with the intended output and remove additions that are not part of the WooCommerce order number.

The order predates the change
Order-number settings do not renumber existing orders. An older order can therefore use a previous format while newer orders use the revised one. This is expected; do not edit historical numbers merely to make them look like current ones without an accounting and record-keeping reason.
The displayed value and the URL value are being confused
The number in a WooCommerce administration URL is the internal order ID used for database lookup. It may not equal the formatted number printed on the invoice. Use the order screen’s displayed order number for the comparison, not the numeric segment in the URL.
The PDF was generated from a stale template
Regenerate the document after saving the mapping setting. If one output is correct and another is not, compare the templates used by the PDF, print, and email paths; they may have separate invoice-number fields.

Invoice and customer-facing order numbers can match while a payment gateway still shows another reference. WooCommerce documents that some gateways continue to use the underlying order ID rather than the formatted order number. Its examples include Apple Pay via Stripe, PayU, PayU Turkey, and RedSys.

This means a payment receipt, gateway dashboard, or bank statement may contain an ID that does not look like the invoice number. Keep the WooCommerce order record available so staff can cross-reference the gateway’s reference with the order. Do not change the invoice format solely to imitate a gateway identifier when the goal is a consistent customer-facing order and invoice number.
Refunds, historical records, and support workflows
Refunds do not create a reason to renumber the original order. Test that the refund process continues to reference the same order and that any credit or refund document uses the extension’s intended numbering behavior.
For support, train staff to search by the displayed order number first, then use the order record to retrieve the internal ID when a gateway or URL exposes it. Customers normally quote the number printed in their confirmation email or invoice, while technical logs may quote the database ID. Both can identify the same order when handled through the WooCommerce record.
When migrating templates or changing numbering formats, preserve historical PDFs and emails. A format change is a boundary for future orders, not a rewrite of the store’s prior documents.

Exact matching is convenient, but it is not automatically the right accounting design. Use a separate invoice sequence when your accountant or local rules require invoices to be sequential independently of orders, reset on a defined schedule, or remain unaffected by cancelled or non-invoiced orders.
In that case, configure the invoice extension’s independent counter and retain the WooCommerce order number as a separate reference on the invoice. Make the relationship obvious in the document—for example, one field for “Invoice number” and another for “Order number”—without pretending that the two values match.
Confirm the required sequence, reset policy, treatment of voided invoices, and record-retention rules with the responsible accounting professional. The technical setting cannot decide those legal requirements for you.
Operational checklist
- Choose direct mirroring, formatted mirroring, or a separate invoice series.
- Inspect existing order numbers and record the largest current value.
- Configure the order-number format first if prefixes, date tokens, suffixes, or padding are required.
- Enable Use Order Number as Invoice Number, insert
{order_number}, or select the equivalent mirror-order-number option in the chosen extension. - Remove an independent invoice counter when exact matching is required.
- Check for duplicate year or date tokens.
- Compare recent, old, refunded, PDF, print, and email outputs.
- Document the difference between the visible order number and any internal ID used by URLs or gateways.
- Preserve historical invoices when changing future numbering.
Best configuration for most stores
For a store that simply wants customers and staff to see one consistent reference, use the existing WooCommerce order number and enable the invoice extension’s order-number mapping. If the store needs a professional format, configure the order number once with the desired prefix, date pattern, suffix, and padding, then mirror that finished value on every invoice output. Keep a separate invoice counter only when an accounting requirement makes the mismatch intentional.
