You can keep using Google Drive while limiting who can open your files: set sensitive items’ General access to Restricted, review everyone listed under People with access, and check whether a folder, group, or shared drive still grants access. This makes a file private from unintended Drive users; it does not mean Google stops processing content to provide and secure its services.
What “private” means in Google Drive
For this guide, private means that unintended people cannot open an item through Drive sharing. Google states that Drive content is private to you unless you choose to share it. Google also says content is encrypted in transit and at rest, and that it processes content for product features and security, including search and malware protection. Google says it does not use Drive content for advertising. These are Google’s statements, not an independent audit.

Sharing settings determine who can access a file or folder. They do not change Google’s service processing, secure your Google Account, or protect a copy someone has already made.

Open the file or folder’s Share dialog and inspect General access. If it is set to Anyone with the link or a public audience, change it to Restricted to stop that broad access. Google says people with the link can access an item without signing in; public items may be searchable. A shared link can also reveal the owner’s name and email address.

In the same dialog, review the complete People with access list. Remove accounts or groups that no longer need access. For people who should retain access, choose the least-permissive role that fits: Viewer, Commenter, or Editor.

Check the item’s parent folder and, if applicable, shared-drive membership. Access may come from a parent folder, a group, or a shared-drive role, so removing a person’s direct permission may not remove all routes to the file. A folder or drive manager may need to change the inherited permission or membership.

If the item is in a limited-access folder, do not treat its Access removed list as a complete block: it does not override general access or group membership.

Recheck sharing after moving the item, changing folder permissions, or adding collaborators. Work or school account policies may limit what you can change.

Choose access settings for the way you share
| Setting to review | What it means | When to use it |

| Audience | Restricted limits access to people who have been granted access. Anyone with the link allows link holders to open the item without signing in; public access may be searchable. | Use Restricted for sensitive items. Use broader access only when the intended audience warrants it. |

Use extra controls carefully
Depending on the account and item, an owner may be able to prevent editors from changing permissions, or prevent viewers and commenters from downloading, printing, or copying. These controls can reduce certain actions, but they cannot prevent every way someone who can see content might copy it.
Deleting a shared item is not necessarily an immediate substitute for revoking access: Google says people may make a copy until the owner permanently deletes the file. Review the sharing settings and copies or downloads risk before relying on deletion to end access.

Protect the account and the device too
Drive permissions are only one part of privacy. Google advises users to secure their Google Account. On a shared device, protect access to the device and account itself; Google says the Drive app cannot be given its own passcode. Google also notes that offline access stores information on the device, so consider who can use that device and how it is protected.

When to keep a separate offline copy
If you want a backup independent of Drive, Google supports downloading account data. A separate offline copy can help with recovery, but it does not change permissions or service processing for the Drive copy. An offline copy is not automatically safer: protect it with encryption and secure the device or storage holding it. The right choice depends on whether you need convenient collaboration, a recovery copy, or both.
For particularly sensitive files, weigh the convenience of keeping them in Drive with Restricted access against the local security and recovery needs of an offline copy. Neither option removes the need to secure the account and the devices that can open the files.
