How to Make CC Emails Stand Out in Outlook

Use conditional formatting to change the message-list font color for emails where you’re included in Cc. The steps differ in new, web, and classic Outlook.

Use Outlook’s Conditional Formatting to highlight messages where you’re on the Cc line. Create a rule that changes the font color in the message list; Microsoft’s example uses orange. The menu path depends on your Outlook version.

Highlight Cc messages in new Outlook or Outlook on the web

  1. Open Settings > Mail > Conditional Formatting.
  2. Select + Add rule and give the rule a name.
  3. Choose the condition that identifies messages where you’re included in the Cc line.
  4. Choose a font color for the message list and save the rule.

The rule changes how matching messages appear in the message list. Microsoft says conditional-formatting rules apply to read and unread messages and to all folders except Drafts. Rules are prioritized in the order displayed; if rules conflict, the first rule takes precedence. Microsoft’s conditional-formatting instructions say the feature requires an individual using a work or school account with a qualifying Microsoft 365 subscription. The guidance does not name the exact eligible plans.

Highlight Cc messages in classic Outlook for Windows

  1. On the View tab, select View Settings.
  2. Select Conditional Formatting, then Add, and name the rule.
  3. Select Font to choose how matching messages look.
  4. Select Condition and specify that you’re included in Cc.
  5. Confirm the dialogs to apply the rule.

Microsoft notes that not every classic Outlook conditional-formatting option is available in new Outlook. If an option you need is missing, Microsoft directs users to Help > Feedback > Make a suggestion.

Check account eligibility

Conditional formatting is subject to Microsoft’s stated account and subscription requirement: an individual must use a work or school account with a qualifying Microsoft 365 subscription. The cited Microsoft guidance does not identify which plans qualify, so check with your organization or Microsoft’s current plan information rather than assuming a particular subscription includes it.

Use categories for messages you want to label manually

Color categories can help identify and group messages, but they are assigned to individual messages; Microsoft’s category guidance does not describe them as automatic detection of Cc messages. In new Outlook and Outlook on the web, manage categories through Settings > Accounts > Categories. You can assign a category from the message list or while a message is open. Microsoft’s category instructions also state that IMAP accounts do not support assigning categories.

Mailbox display settings do not target Cc messages

Outlook on the web and Outlook.com let you change general display choices such as message-list layout, density, reading-pane placement, Focused Inbox, and theme. These adjust the mailbox view overall; conditional formatting is the documented way to visually distinguish messages based on being included in Cc. See Microsoft’s mailbox display settings guide.

What Outlook says about messages addressed to you

Microsoft’s best-practices page says: “To: Me Any message sent directly to you or with you on the Cc line is sent to the Inbox and isn’t processed by other rules, even if it’s also sent to a Contact Group.” Treat that as Microsoft’s description of the behavior it covers, not a guarantee for every mailbox or account configuration.
