Choose Editing if Word offers it; otherwise, the cause may be Protected View, a read-only opening preference, sharing permissions, or an editing restriction. You can change a setting only when you have the necessary access—ask the owner or administrator if you don’t.
Check whether Word is in Viewing or Reviewing mode
In Word, look near the upper-right corner for the mode menu, usually near Share. If it shows Viewing or Reviewing, open the menu and select Editing if that option is available. Word’s document modes distinguish read-only viewing from editing; Editing is available only when you have permission. Reviewing is for comments and suggested revisions, rather than unrestricted editing.

If Editing is not offered, switching modes cannot grant access the owner has not provided. Continue with the checks below to identify whether Word is showing a safety warning or the file is restricted.

Enable editing in Protected View only for a trusted file
Word may open files from the internet, unsafe locations, or certain email attachments in Protected View. This security feature limits what you can do with the file. Microsoft explains when it appears and how to leave it in its Protected View guidance.

- Confirm that you trust the file’s source and expected its contents.
- If Word displays a Protected View message bar, select Enable Editing.
- If Word instead shows a validation warning, Microsoft documents File > Edit Anyway for certain cases.
Do not enable editing for an unexpected or untrusted file just to remove the warning. Your organization may also prevent users from leaving Protected View.
Turn off the “Always Open Read-Only” preference
If you own the document or are authorized to change it, check whether Word is opening it read-only by preference:

- In desktop Word, open File > Info.
- Select Protect document.
- If Always Open Read-Only is selected, clear it and reopen or continue working with the document.
This setting controls how the file opens; it does not override sharing permissions or editing restrictions. Microsoft’s editing guidance covers this preference and other read-only causes.
Ask for permission if the document is shared with you
A shared document’s owner controls whether you can edit it. If the mode menu does not offer Editing, ask the owner to grant edit permission. In Word for the web, you may also be able to request that the owner enable editing or choose File > Create a Copy to work on a separate version. The copy does not change the shared original. Handle “Restrict Editing” with authorized access
A document may have restrictions set through Review > Restrict Editing. If you are the owner or an authorized user, open that control and select Stop Protection. Word may require the protection password or confirmation that you are the authenticated owner. If you do not have that authorization, contact the owner; there is no appropriate settings change that bypasses their protection. Microsoft describes the authorized options in its guide to allowing changes to a protected Word document.
If the file is a PDF, convert it rather than changing Word permissions
A PDF is not a Word document with an editing lock. If you can get the original Word file, use that instead. Otherwise, Word can convert PDF content into an editable document, but conversion may alter layout or formatting. Microsoft outlines the options in its PDF editing guidance.

Why you still may not be able to edit
- Editing is missing from the mode menu: the owner may not have granted edit permission, or an organization policy may control access.
- The Protected View warning remains: the file may be untrusted, may have failed validation, or your administrator may block leaving Protected View.
- The read-only preference is off but editing is blocked: that preference does not remove sharing permissions or document protection.
- Stop Protection asks for a password: use the password or ask the owner or authorized administrator for access.
Menu names and availability vary by Word platform, version, and organization policy. Microsoft’s cited guidance covers desktop Word versions from 2016 through 2024 and Microsoft 365; mode guidance also includes Word for the web.
