To make a vBulletin forum private, deny the Guests usergroup permission to view the target channel, deny guest access to thread content when necessary, and explicitly grant both permissions to the approved member group. Save every change, inspect child forums, and test with accounts that represent each relevant role. If unauthorized users must not even see the forum in listings, enable Access Masks and configure the mask for that channel.

What “private” means in vBulletin
vBulletin privacy is controlled primarily through channel-level usergroup permissions. A channel is the forum area users select from the forum list; depending on the vBulletin release, the administration interface may call it a forum or a channel. A usergroup is a collection of registered users who share permissions or access rights. There are two separate questions to answer:
- Can the person view the channel? This controls whether the forum itself is accessible.
- Can the person view thread content? This controls whether the bodies of discussions can be read.
For a genuinely private area, configure both permissions. Denying only one can produce a result that does not match your intent: a user might be unable to open the forum but still encounter a visible listing, or might reach a channel while being unable to read its thread bodies. The exact labels differ between releases, so use the equivalent labels in your installed version.
Before changing permissions
Identify the channel and its children
Write down the exact forum or channel that should be private and check whether it contains child forums. vBulletin normally passes a parent channel’s permissions to its children unless a child has its own override. A private parent therefore does not eliminate the need to inspect child settings. A child-specific permission can change the result for that part of the hierarchy.

Decide who should be admitted
Choose the approved usergroup before editing anything. For example, you may have a group intended for staff or registered members who have been granted access. The procedure below assumes that group is the one that should receive access. If several groups are involved, list the groups a test user belongs to; overlapping memberships are one of the most common reasons a private forum appears open.
Separate channel privacy from listing privacy
Decide whether unauthorized users merely need to be blocked when they try to open the forum, or whether the forum must disappear from forumhome and forumdisplay listings as well. The basic channel permissions address access. Access Masks add control over how restricted forums are presented and can also deny an individual user completely, but the relevant vBulletin option must first be enabled.
Step-by-step: restrict a vBulletin forum to an approved group
1. Open the forum permission editor
- Sign in to the vBulletin AdminCP with an account that can manage usergroups and forum permissions.
- Open Usergroups > Forum Permissions. In newer documentation or releases, the same area may be called Channel Permissions.
- Locate the target forum or channel in the list and open its permission editor.
Do not assume that a similarly named forum is the correct one. Confirm the channel in the hierarchy, especially where private areas have similarly named child forums.
2. Deny guests access to the channel
- Find the Guests usergroup.
- Set Can View Channel to No.
- If guests must not read discussion bodies, set Can View Thread Content to No as well.
- Save the permission change before moving to another group or channel.
Guests need an explicit denial. Leaving the setting unchanged is not the same as deliberately closing the channel, because the effective result depends on the permissions configured for that usergroup and channel.
3. Grant access to approved members
- In the same channel permission editor, select the approved member usergroup.
- Set Can View Channel to Yes.
- Set Can View Thread Content to Yes when members are supposed to read the discussions.
- Save the changes for that group.
The manual’s permission changes do not take effect until they are saved. Save each group’s settings rather than editing several rows and navigating away with unsaved changes.

4. Inspect every child forum
Expand the target channel’s hierarchy and review each child. Parent-channel permissions are inherited by children unless a child overrides them. If a child is meant to remain private, verify that its effective settings still deny guests and grant the approved group. If a child should have different visibility, record that exception deliberately rather than relying on an accidental override.
5. Configure Access Masks when the forum must be hidden
If unauthorized users should not see the private forum in forumhome or forumdisplay, enable Access Masks in the relevant vBulletin option. Then configure the mask for the restricted channel. Access masks can also set an individual user to No, which denies that user access completely. This is useful for a per-user exception within an otherwise approved group.
Access Masks are an additional visibility and exception mechanism; they do not replace the basic channel and thread-content permissions. Keep the group rules correct even when a mask is enabled, so the intended policy is clear and inherited child channels behave consistently.
Choosing the right privacy configuration
Use the least complicated arrangement that matches what readers must be prevented from doing. The following choices describe the practical differences.

The distinction between channel visibility and thread-content visibility matters operationally. A forum can be hidden from a list without every underlying permission being correct, and a user can be denied thread bodies while still seeing some channel-level information. Treat the two permissions as separate controls whenever the requirement is “only approved members can see this forum and its discussions.”

Why users can still see a private forum
An unintended secondary group grants access
vBulletin combines permissions from multiple usergroup memberships. When a user belongs to more than one group, a Yes can override a No. A person who appears to be a guest-like or ordinary member may also belong to a secondary group with permission to view the private channel. Review every group assigned to the affected account, not only its primary group.
To diagnose this case, create or select a test account that reproduces the problem, list its primary and secondary memberships, and compare each group’s settings for the target channel. Remove the unintended membership or change the permission in the group that is reopening access. Do not fix only the individual account if the same secondary group affects other users.
A child forum overrides the parent
Inherited permissions apply only until a child channel has its own override. A parent may be private while one child remains visible because it was configured separately. Inspect the complete channel tree and compare the child’s settings with the parent. Make the child private explicitly when it contains material covered by the same restriction.
Thread-content permission was left open
Setting Can View Channel to No is not a substitute for reviewing Can View Thread Content. If the requirement includes protecting thread bodies, set the guest value to No and confirm that approved members have Yes. This is especially important when the observed problem is that a user can read discussions rather than merely see a forum name.

The change was not saved
Permission edits are not active until saved. Reopen the edited channel and group after saving to confirm that the values persisted. If you changed more than one group, verify each group separately; saving one row does not necessarily save another unsaved edit.

The forum is still listed because Access Masks are not configured
Basic permission denial and listing visibility are related but distinct. If an unauthorized user cannot enter the forum but can still see it on forumhome or forumdisplay, review the Access Masks option and the mask assigned to the channel. Enable the option if required by the installed release, then configure the restricted channel so it is hidden from users who lack permission.
You tested with an account that has different privileges
Administrators, moderators, approved members, and guests can have different group combinations. A successful test with one role does not prove that another role receives the intended result. Use separate accounts representing each relevant role and record both channel visibility and thread readability.

- Guest test: use an account in the Guests group. Confirm that the target channel is not viewable. If the channel must be absent from listings, confirm that it does not appear in forumhome or forumdisplay after Access Masks are configured.
- Guest content test: attempt to reach a thread in the target area and verify that thread bodies are not readable when Can View Thread Content is set to No.
- Approved-member test: use an account in the approved group. Confirm that it can view the channel and read thread content when both permissions are set to Yes.
- Child-channel test: check every child forum that should follow the parent’s privacy rule. A child override must be tested independently.
- Overlapping-membership test: use a user with the real primary and secondary groups. Confirm that an unintended Yes does not reopen access.
- Moderator and administrator tests: test accounts representing these roles separately, because their group memberships may differ from ordinary members. Record the observed result rather than assuming that the guest or approved-member result applies to them.
Keep a short permission record containing the channel name, the groups edited, the two permission values, any child overrides, and whether Access Masks are enabled. This makes later troubleshooting faster when someone reports that the forum is visible or inaccessible.
Per-user exceptions with Access Masks
Most privacy rules are group-wide: every member of a group receives the same channel settings. Sometimes one person needs an exception. Access Masks can set an individual user to No, denying that person access completely even when the broader group would otherwise be allowed.
Use a per-user mask only when the exception is intentional and documented. First confirm that the person’s group membership is correct, then apply the individual denial to the relevant channel. Test that account directly and test another approved member to make sure the exception did not alter the group-wide rule. When the exception is no longer needed, remove or revise the individual mask so it does not become an unexplained permanent block.
Version differences you should expect
The cited vBulletin material includes an archived vBulletin 4.2.5 manual and current English documentation. Menu names are not identical across releases: one installation may show Forum Permissions, while another uses Channel Permissions. In vBulletin 4.2.5 documentation, Show Private Forum controls behavior for users who lack permission. Because that label and its available choices are version-specific, locate the corresponding setting in the installed release rather than assuming that a newer or older screenshot matches your AdminCP.
The underlying concepts remain the same: set channel-level permissions for each usergroup, distinguish channel visibility from thread-content visibility, account for inherited child settings, consider multiple group memberships, and save every edit. When a label differs, match its purpose rather than copying a path from another version.
A concise maintenance checklist
- Target channel identified correctly in the forum hierarchy.
- Guests set to Can View Channel: No.
- Guests set to Can View Thread Content: No when thread bodies are private.
- Approved group set to Can View Channel: Yes.
- Approved group set to Can View Thread Content: Yes when reading is allowed.
- Child forums checked for overrides.
- Access Masks enabled and configured when listings must be hidden.
- Individual masks reviewed for per-user denials.
- Primary and secondary groups checked for every account that reports unexpected access.
- Every change saved before testing.
- Guest, approved-member, moderator, and administrator test accounts verified separately.
Bottom line
Private vBulletin forums require deliberate permissions, not just a hidden link. Deny guests at the channel level, deny thread content when discussions must remain unreadable, grant the approved group both corresponding permissions, inspect inherited child channels, and use Access Masks when the forum must disappear from listings or one user needs a complete denial. Save the settings and verify the result with accounts that reflect your real group memberships.
