To make a sign-up sheet in Google Forms, create a blank form, add the questions people need to answer, publish it, and share the responder link. You can review entries in Forms or send them to a linked Google Sheet. If you are assigning scarce time slots, treat the form as a way to collect requests—not as a guaranteed reservation system.
Build the form
- Start a blank form. Go to forms.google.com and choose a blank form. Give it a name that identifies the event or activity.
- Explain the signup. In the description, state the purpose, dates, eligibility or participation instructions, and signup deadline. Include any practical details people need before choosing a shift or activity.
- Add only useful questions. Use short answer for a name, multiple choice or a dropdown when someone should select one option, checkboxes when they may select several, and paragraph for a longer note. Mark essential questions Required; make optional details optional.
- Use clear, fixed choices. List dates or shifts as answer choices when you can. Fixed options make entries easier to review and sort than free-form answers.
Google’s question-type guidance is available in Choose a type of question for your form. For general form-building instructions, see the Google Workspace Learning Center guide to creating your first form.

Choose how to handle email and repeat responses
If you need contact details, decide whether people should enter an email address themselves or confirm the email associated with their Google Account. Verified email collection asks responders to confirm their Google Account email. Google says usernames are not recorded unless email collection is enabled.

#1 Best Overall
- Read Before You Buy — No Video Output: These adapters support charging and USB 2.0 data transfer, but cannot transmit video signals. - Compact & Travel-Friendly: The ultra-compact design allows the adapter to stay plugged into your device without blocking adjacent ports or adding bulk, reducing wear and tear on your original USB ports.
- 12-Month Warranty: Backed by a 12-month manufacturer warranty for peace of mind. Designed to meet strict quality control standards for reliable everyday performance.
Preview, publish, and share
- Preview the form and check it from a responder’s point of view. Confirm that questions are clear, required fields are appropriate, and choices match the dates or shifts being offered.
- Publish the form before expecting people to submit responses.
- Share the responder link by email or social media, or embed the form on a website or blog. Use the responder-facing link rather than a form-editing link.
Google’s instructions for making a form available and sharing it are in Publish & share your form with responders.
Review signups in Forms or Google Sheets
Responses appear in Google Forms. For a roster that you want to sort, filter, or update as signups arrive, choose a linked Google Sheet as the response destination. Google documents the setup in Choose where to save form responses.

Check access before collecting personal details: Google says collaborators on a form automatically receive access to a newly created response spreadsheet. Review the form’s collaborator permissions so the roster is visible only to people who should see it. More response-management options are covered in View & manage form responses.
Handle time slots and capacity carefully
A Google Form can collect which slot someone wants, but a response limit is not a reliable way to reserve individual slots. Google warns that if multiple people respond at the exact same time, the form can accept responses beyond the set limit. For a strict first-come-first-served roster, monitor the response sheet and confirm assignments rather than treating a submitted choice as a guaranteed booking.

If you only need to stop general signups after a deadline or cap, Forms lets you stop accepting responses, set a close date or response limit, and customize the message shown after the form closes. Because simultaneous submissions can exceed a response limit, do not use that cap as a guarantee for scarce places. Google’s response-management instructions explain these controls and the concurrency caveat.
Close the form when signups end
When registration is over, turn off response acceptance or use a close date or response limit. Add a brief closed-form message if responders should know that signup has ended or where to ask about late availability. If you need to maintain a working roster after the form closes, continue managing the linked sheet with the appropriate access permissions.

Form limits to keep in mind
For unusually large forms, Google Docs Editors Help lists limits of 300 content items and 75 sections per form in its form-editing guide. Google also says that starting in September 2026, a form has a total storage limit of 1 GB and a response limit of 500,000; see Create a form with Gemini in Google Forms. These are product limits, not targets for a typical event signup.
