How to Investigate Support Dashboard Changes and Admin Logs

Support dashboards show operational signals; audit logs record captured administrative actions. Learn how to compare metrics carefully and verify a reversal with a later event or reliable state check.

Use support dashboards to spot changes in outcomes, then use administrative audit logs to investigate what changed. A dashboard shift does not identify its cause, and a log entry showing an edit does not prove it was reversed. Call a change a reversal only when a later event or reliable state check shows the previous configuration was restored.

Start with the support decision, not a wall of KPIs

Choose measures that help answer a specific operational question: Is the backlog growing? Are customers satisfied? Is agent activity changing? Are service-level agreements (SLAs) being met or breached? A dashboard is most useful when its measures connect to decisions such as staffing, queue management, coaching, or escalation.

For example, Zendesk’s Explore Support dashboard covers ticket backlog, customer satisfaction, agent activity, and SLAs. Its SLA tab includes achievement rate, breached and achieved ticket counts, and active-ticket measures. Zendesk notes that SLA metrics may include deleted tickets when no filters are applied; data filters can exclude them. Check filter settings before comparing results. When assessing an analytics product or setting up a review, examine the measures that matter to your workflow alongside the dimensions available for analysis:

  • Business question: What decision should the measure inform?
  • Definition: What does the metric count, and how is it calculated?
  • Filters and breakdowns: Can you isolate time period, channel, queue, agent, store, or another relevant dimension?
  • Freshness and history: How often does the data update, and how far back can you inspect?
  • Investigation path: Can you drill into records or export data, and does the audit trail cover the relevant administrative events?

These details determine whether two apparently comparable numbers really describe the same population and period.

Check definitions, dates, filters, and refresh before comparing

A chart’s date range may not mean the event date a reader assumes. In AfterShip’s returns analytics, for example, a selected 30-day period on a product dashboard can refer to orders created in those 30 days, not returns submitted then. Other reports use order-created, return-requested, or processed dates. That is a returns-specific example, but the general lesson for support analysis is to inspect the date attribution used by each report rather than infer it from the chart label. AfterShip Return Analytics documentation

Refresh cadence and retention also constrain what a comparison can establish. Microsoft’s Customer Service historical analytics has Summary and Agent dashboard views, KPI visualizations, case reports, and filters including duration, channel, queue, agent, and time zone. Microsoft says this data refreshes every 24 hours and is stored for 24 months; those are Microsoft product limits, not general norms. Its Customer Service dashboards documentation was last updated January 30, 2026.

Gorgias organizes Helpdesk Performance analytics into Overview, Channels, and Help Center areas. Its documentation describes measures for support performance, CSAT, ticket attributes, busy periods, channel reports, popular help-center articles, and search terms; it also says metrics have documented formulas and reports can be broken down by dimensions such as channel, store, and intent. Consult the product documentation for the formula behind a particular measure before drawing conclusions. Gorgias analytics documentation

Before treating a movement as meaningful, record the report, metric definition, selected filters, date attribution, refresh time, and comparison window. If any of these differ between periods, investigate that difference before interpreting the trend.

Search audit logs for the administrative event

Once a dashboard change is defined, identify the setting or object that could plausibly affect it—such as a routing rule, queue configuration, or account setting—and search the applicable audit log. Log search is useful only within the scope of events the platform captured and retained.

Zendesk’s account audit log is documented for Enterprise plans and above. It records changes by agents and administrators, not end-user activities. Entries include the time, actor, IP address, item, activity type, and activity details. Administrators can filter by date range, actor, activity type, and changed item, then export the filtered results to CSV. The UI displays timestamps in the account time zone, while API and CSV exports use UTC, so normalize timestamps before matching an entry to a dashboard window. Zendesk audit-log documentation

Microsoft documents auditing configured at the environment, table, or column level for Customer Service. Administrators can enable relevant Customer Service and unified-routing configuration tables for audit logs, then search audited events through Microsoft Purview. An empty search is not proof that no change occurred: first verify that auditing was enabled for the relevant scope and that the event category is captured. Microsoft audit-log documentation

Log coverage may also have a defined start date or plan boundary. Clerk says its Admin Logs feature is available on Business and Enterprise plans and records events beginning August 24, 2026; earlier actions are not included. Its reverse-chronological feed can be filtered by event type, instance, application, actor, IP address, and time range. This is a Clerk-specific coverage limit, described in its changelog published August 25, 2026. Clerk Admin Logs announcement

Investigate a dashboard movement in six steps

  1. Define the signal. Record the affected metric, the direction and size of the movement, the comparison periods, and the dashboard’s date attribution and refresh cadence.
  2. Identify plausible configuration. Name the setting, record, routing rule, or account object that could reasonably affect the metric. Do not assume that proximity in time establishes a connection.
  3. Search the relevant log. Set the event-time range and filter by actor, activity or event type, and affected object where those fields are available. Account for the platform’s displayed time zone and export format.
  4. Verify log coverage. Confirm that auditing was enabled for the relevant scope, that the sought event type is captured, and that the log’s recording period reaches far enough back and has not expired.
  5. Check for restoration. Compare the original change with later events or a reliable current-state record. A reversal is supported only if a subsequent event or state comparison shows the prior value was restored.
  6. Report the inference carefully. A sequence of a configuration change followed by a metric movement can guide investigation, but by itself it does not establish that the change caused the outcome.

Describe findings at the strength the evidence supports

Keep observations and conclusions distinct. A dashboard can show that an outcome changed within a defined period. An audit log can show that a particular actor changed a particular item, if the relevant event was captured. A later compensating event or a reliable comparison with the prior state can support the narrower conclusion that the configuration was restored.

Do not turn those separate observations into a causal claim without additional evidence. The dashboard trend and the configuration history establish timing and recorded actions; they do not, on their own, rule out other explanations for the metric movement. Likewise, an edit followed by no visible log entry is not proof of reversal unless the log’s coverage and the relevant state are verified.
