Valuable items may need scheduled personal articles coverage or a specialist collections policy. The right choice depends on the policy’s limits, exclusions, valuation rules, and the collection’s value.
Build an inventory that can support a claim
Document each meaningful item individually. A useful inventory connects the physical object to its identifying details, condition, ownership history, and stated value.

Record identifying details and condition
For each item, note the sport, athlete or team, item type, manufacturer, year, identifying marks, condition, and where and when you acquired it. Add dimensions when they help distinguish or describe the piece. Chubb’s sports memorabilia guidance also recommends recording details such as the name, manufacturer, condition, year, dealer, and value.
Take clear photographs
Photograph each item from multiple angles, including close-ups of signatures, labels, grading or authentication marks, and any damage. State Farm lists photographs and descriptions among the records that may be useful when documenting collectibles. Keep a digital copy of the images with the inventory.

Keep ownership and authenticity records
Save receipts, invoices, auction records, certificates of authenticity, grading records, provenance information, previous appraisals, and relevant authentication correspondence. These records help explain what the object is, how it entered your collection, and how you arrived at its stated value. A certificate or grading record is supporting evidence; it does not by itself guarantee authenticity, insurance coverage, or a particular claim payment.
Store a duplicate of the inventory and its supporting documents somewhere separate from the collection, such as a secure digital backup. The National Association of Insurance Commissioners advises keeping item photos and a copy of the appraisal with a home inventory: NAIC home inventory guidance.
Establish the value for insurance
Ask the insurer what valuation basis it uses for scheduling and settling a claim before commissioning an appraisal. The value appropriate for an insurance schedule may differ from a fair-market estimate or another valuation prepared for a different purpose.

Use an appraisal suited to the assignment
For insurance scheduling, Chubb says retail replacement value is generally relied upon because it accounts for the urgency of procuring a similar item after a loss. That is Chubb’s guidance, not a universal rule; confirm the required valuation basis with your insurer and the appraiser. Ask whether the insurer will accept the proposed appraisal and what information it must contain.
Value can depend on condition, rarity, authenticity, demand, and other factors, according to State Farm. Preserve the appraiser’s report and the documents or market evidence used to support it. Do not assume a purchase price, online listing, or certificate alone establishes the amount an insurer will pay.
Know when an appraisal may be required
There is no single appraisal rule for every insurer or collectible. State Farm says documentation requirements vary by insurer, policy, collectible type, and value. As one U.S. provider-specific example, Chubb’s Personal Collections page says an appraisal is required only for individual collectibles valued at $100,000 or more; eligibility and issued policy terms still control. Check the current requirements for your insurer, location, and item rather than applying that threshold elsewhere.

Decide whether your current policy is enough
Do not assume a standard homeowners or renters policy fully protects valuable collectibles. Start with the actual contract and ask your agent how its personal-property limits and special collectible sublimits apply to your items. NAIC recommends checking with an agent and considering a separate policy or endorsement when existing protection is insufficient.

Review the personal-property limit, any special sublimits for collectibles, covered causes of loss, deductible, exclusions, and claim valuation language. A policy may cover some loss but still have a limit or settlement basis that does not match the collection’s value or your expectations. Chubb notes that most homeowners policies provide limited coverage for valuables; the specific contract determines what applies to you.
Scheduled personal articles coverage
Ask whether eligible pieces can be scheduled individually under a personal articles policy or endorsement. State Farm describes its Personal Articles Policy as allowing individual eligible items to be scheduled beyond special homeowners limits and identifies sports cards among collectibles. Availability, eligibility, and terms depend on insurer and location.

Specialist collections coverage
A specialist policy may offer an approach designed for collections. Chubb’s U.S. personal collections description explicitly includes sports memorabilia and presents blanket coverage, itemized coverage, or a combination. It also describes product-specific appraisal and settlement features. Those are Chubb-specific descriptions, not standard terms across the insurance market; availability and the issued policy language govern.

- Limits: Are items covered individually or under a blanket limit? Is there a per-item cap?
- Causes of loss and exclusions: What events are covered, and what exclusions apply?
- Deductible: What amount would you pay toward a covered claim?
- Valuation and settlement: What value basis applies when the item is scheduled, and how is a claim settled?
- Location and transit: Does coverage extend away from home, during shipping or transit, or internationally?
- Documentation: What records or appraisal are required, and are there value thresholds?
- New acquisitions: Are newly acquired items covered temporarily, and what deadlines or limits apply?
- Value reviews: How often does the insurer expect scheduled values to be reviewed?
For example, Chubb’s U.S. Personal Collections page describes newly acquired collectibles as covered for up to 90 days and 25 percent of itemized coverage, and a payment up to 150 percent of the itemized amount when market value before loss exceeds coverage, under stated terms. These are provider-specific features, not guarantees for every loss or terms readers can assume apply to another policy. Confirm the issued form, eligibility, and conditions with the insurer.

Keep the inventory and coverage current
Update the inventory when you add a significant piece, discover new identifying information, or the item’s condition changes. Revisit scheduled values when market demand changes or when your insurer requires an update. State Farm says there is no single reappraisal schedule that works for every collection; Chubb recommends more frequent reappraisals for categories with greater volatility, including baseball cards and sports memorabilia. Ask your insurer and appraiser what review interval makes sense for your collection.
A practical sequence for insuring a collection
- Inventory: List each meaningful item, describe its condition and identifiers, and photograph it.
- Gather records: Match receipts, auction documents, authenticity and grading records, provenance, correspondence, and prior appraisals to the relevant items.
- Back up the file: Keep copies of the inventory, images, and records separate from the physical collection.
- Confirm the valuation assignment: Ask the insurer what value basis and appraisal format it accepts, then consult an appraiser about the appropriate assignment.
- Review existing coverage: Check limits, sublimits, exclusions, deductibles, covered losses, and settlement language in your current policy.
- Compare alternatives: Ask about scheduling or specialist coverage and compare the policy details, including transit, new acquisitions, and documentation requirements.
- Record the decision: Keep the appraisal, inventory, policy schedule, and written coverage information together, and update them when the collection or its values change.
For U.S. policy examples, see Chubb Personal Collections, State Farm Personal Articles Policy, State Farm’s collectibles guidance, and NAIC’s home inventory guidance. Coverage varies by state, underwriting, eligibility, item, and contract; verify local terms directly with the insurer.
