How to Install Zimbra Mail Server on an Ubuntu VPS

Install Zimbra correctly on an Ubuntu VPS by matching the Daffodil release to a supported 64-bit Ubuntu image, preparing a dedicated host, configuring A/MX/CAA/PTR DNS, installing the required license, securing ports, and validating TLS and mail flow.
Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Install Zimbra on a clean, dedicated Ubuntu LTS VPS whose release matches your selected Zimbra Daffodil build. Before the first mailbox is created, set a stable fully qualified hostname, publish working A and MX records, install the required license, restrict the firewall, and complete TLS configuration. Zimbra changes global system configuration and bundles mail, directory, database, and web services, so treating it as an ordinary application on a shared VPS is a common cause of failed installations.

What you need before installing Zimbra

A successful deployment starts with infrastructure and DNS, not the installer screen. Zimbra Collaboration is designed to be the only application suite on its server. The installer changes system-wide settings and expects to manage services that may conflict with an existing web server, database, LDAP service, or mail transfer agent.

Use a dedicated, clean VPS

  • Provision a full default Ubuntu Server installation rather than a preconfigured web, control-panel, or mail image.
  • Use a 64-bit image supported by the exact Zimbra Daffodil release you selected.
  • Choose a static public IPv4 address. Confirm that the provider lets you set reverse DNS (PTR) for that address.
  • Do not install another MTA, LDAP server, database, or web server on the host. Remove or disable conflicting software before running Zimbra.
  • Keep SSH access available for administration, preferably with key authentication and a separate administrative account.

Do not create the zimbra Unix user yourself. The installer creates it with the permissions and group membership required by the suite.

Plan capacity without inventing a minimum

Zimbra’s general documentation does not publish one universal CPU, RAM, or disk minimum for every VPS workload. Mailbox count, message volume, attachment size, indexing, retention, antivirus scanning, and backups all change the requirement. Size storage for the mail data plus indexes, logs, temporary files, local backup copies, and recovery headroom; monitor actual use and expand before the filesystem approaches full capacity.

Provider checks that matter for mail

Check Why it matters
Supported 64-bit Ubuntu release The image must match the Zimbra release support matrix; a newer image is not automatically compatible.
Static IP and PTR control Stable addressing and reverse DNS improve SMTP identity and are often required for reputable outbound delivery.
SMTP port 25 policy Some VPS networks block outbound port 25 by default. Obtain an unblock or use an approved relay.
Storage, IOPS, snapshots, and backups Mail stores and indexes are persistent workloads; snapshots are useful for recovery but are not a substitute for application-consistent backups.
Firewall or security-group controls You need independent control of ports 25, 80, 443, 465, 587, and any optional POP3 or IMAP service.
NTP, IPv6, and abuse support Accurate time supports TLS and authentication; predictable IPv6 routing and a provider that permits mail workloads prevent delivery surprises.

Choose the Ubuntu and Zimbra versions together

Zimbra’s Daffodil download matrix lists version 10.1.0 GA images for 64-bit Ubuntu 24.04, 22.04, 20.04, and 18.04. The single-server guide’s system table specifically lists Ubuntu 18.04, 20.04, and 22.04. Those lists are not identical, so use the current download matrix for the release package and then verify that the installation guide for that package supports your image. Do not assume that an Ubuntu version appearing on one page is supported by every Daffodil build.

Decision Safe approach
Ubuntu 24.04 Use only when the selected Daffodil package and its current documentation explicitly support it; it is present on the Daffodil download matrix but not on the cited single-server guide table.
Ubuntu 22.04 Listed by both the Daffodil matrix and the single-server guide table.
Ubuntu 20.04 Listed by both the Daffodil matrix and the single-server guide table.
Ubuntu 18.04 Listed by both sources, but it is an older Ubuntu LTS; apply the support and security policy that applies to your chosen Zimbra release.

Licensing is a prerequisite

Daffodil 10.1 uses Zimbra’s new licensing system. A license from an older edition does not work with 10.1, and the documentation states that Daffodil v10 cannot be installed without a license. Obtain the required v10.1 license or key information before launching the installer. Keep the license details available while answering the configuration prompts; postponing licensing can leave the deployment incomplete.

Set the hostname and DNS before installation

Pick the permanent mail hostname first. In the examples below, mail.example.com is the host and example.com is the mail domain. Substitute your own names consistently in the operating system, Zimbra configuration, and DNS.

Hostname requirements

  • Use a fully qualified domain name (FQDN), not a short hostname.
  • Make the VPS hostname stable and resolvable from the server and from the public Internet.
  • Ensure the name returned by hostname --fqdn will match Zimbra’s zmhostname after installation. The documented Let’s Encrypt procedure checks this equality.
  • Set reverse DNS at the VPS provider so the public IP resolves back to the same mail hostname, where the provider permits it.

After setting the hostname with your distribution’s hostname tools, verify locally with hostname and hostname --fqdn. Check that the fully qualified result remains correct after a reboot.

Publish the required records

Record Illustrative value Purpose
A mail.example.com → your VPS public IPv4 address Maps the mail host to the server used by SMTP and client services.
MX example.com → mail.example.com with an appropriate priority Directs Internet mail for the domain to Zimbra.
CAA Authorize letsencrypt.org Allows Let’s Encrypt to issue a certificate for the hostname when using the documented automated TLS procedure.
PTR Your VPS IP → mail.example.com Provides reverse DNS used by receiving mail systems when evaluating SMTP connections.

Zimbra checks MX information during domain creation and requires both A and MX records for sending and receiving Internet mail. DNS is therefore a functional prerequisite, not a finishing touch. Even when you configure a relay host and disable direct DNS lookups, an MX record is still required if the server must receive mail from the Internet.

Verify DNS from more than one network

Use your DNS provider’s records and a public resolver to confirm that the A and MX answers are visible. For example, run dig A mail.example.com and dig MX example.com from the VPS and from an external network. Confirm that the MX target has an A record and that neither record points to an old address. Wait for the published TTL when changing records; repeatedly restarting Zimbra does not accelerate DNS propagation.

Prepare Ubuntu safely

  1. Apply tested updates. Log in over SSH, refresh the package index, and apply the security and maintenance updates approved for your deployment. Reboot if the kernel or core libraries were upgraded, then verify the hostname again.
  2. Install netcat. Install the distribution package that provides the nc command. Zimbra lists netcat as a prerequisite for its checks.
  3. Inspect existing services. Use the service manager and socket tools to identify web servers, databases, LDAP daemons, MTAs, or other programs listening on mail and web ports. Stop and disable services that Zimbra will own; uninstall them when they are not needed.
  4. Check AppArmor. The single-server prerequisites call for AppArmor to be disabled and not running. Follow the Ubuntu release procedure to disable it, reboot if required, and verify its status before installing.
  5. Synchronize time. Enable a reliable NTP service and confirm that the system clock is synchronized. Correct time is important for TLS certificates, authentication, logs, and scheduled jobs.
  6. Confirm administrative access. Keep a tested SSH session and a recovery path. Do not lock yourself out while changing firewall or security settings.
  7. Do not create the Zimbra account. Leave creation of the zimbra user to the installer.

Before proceeding, check that the FQDN resolves to the VPS, the reverse DNS value is sensible, the server is dedicated, and no conflicting process is bound to the ports you intend to expose.

Configure the firewall and service ports

The documented external defaults are shown below. Open only the protocols your users actually need, and restrict administrative or internal service ports to trusted networks. A cloud security group and the VPS’s local firewall should express the same policy.

Port Protocol or service Typical use
25 SMTP Server-to-server mail delivery and inbound Internet mail.
80 HTTP Web access and temporary HTTP validation for certificate issuance.
110 POP3 Legacy unencrypted POP3, only if deliberately supported.
143 IMAP Legacy unencrypted IMAP, only if deliberately supported.
443 HTTPS Webmail and secure administration access.
465 SMTPS Implicit-TLS SMTP submission where enabled.
587 Submission Authenticated client message submission.

Keep internal LDAP, database, message-store, and monitoring ports off the public Internet. If you do not offer POP3, do not open 110. If your selected release documents additional secure IMAP or POP services, apply its exact port and TLS guidance rather than opening broad port ranges.

Download the package and run the installer

Obtain a matching package

  1. Select the Daffodil release and Ubuntu image from Zimbra’s official download matrix.
  2. Obtain the corresponding Daffodil 10.1 license or key information.
  3. Download the package to an installation computer, then transfer the archive to the VPS over a protected administrative channel.
  4. Verify that the archive is complete, extract it in a temporary directory, and review the included release notes before changing the system.

Do not mix an installer built for one Ubuntu release with another image merely because the package appears to start. A package mismatch can fail during dependency checks or leave unsupported combinations that are difficult to upgrade.

Start the menu-driven installation

From the extracted directory, execute the installer script included with the package as root (for packages whose shipped script is named install.sh, this is typically sudo ./install.sh). The script checks for prerequisite Zimbra packages, installs the components you select, and then opens a configuration menu.

  1. Read each license and component prompt. Select only the roles required for this server; a single-server deployment commonly keeps the suite together, but the package’s component list is authoritative.
  2. Enter the logical hostname exactly as your chosen FQDN, such as mail.example.com.
  3. Enter the mail domain, such as example.com. Check that it matches the public MX record.
  4. Set a strong administrator password and store it in a protected password manager.
  5. Provide the Daffodil 10.1 license or key information when requested.
  6. Review the final configuration summary carefully. Correct a hostname, domain, component, or password before accepting the changes; fixing a wrong identity after provisioning is more disruptive than restarting the menu.

Allow the installer to complete without closing the SSH session. It may create users, configure LDAP and the database, write mail and web configuration, and start several services. If a prerequisite check fails, stop and fix that prerequisite rather than forcing the installation.

Validate the new server before creating mailboxes

Confirm the identity and service state

  • Run hostname --fqdn and compare it with Zimbra’s zmhostname. They must identify the same FQDN.
  • Use Zimbra’s service-status command, zmcontrol status, to identify components that failed to start.
  • Check that the administration console and webmail respond over HTTPS at the configured hostname. A certificate warning at this stage indicates TLS is not yet correctly deployed; do not train users to bypass it.
  • Review installer and service logs for dependency, DNS, permission, or license errors before adding users.

Test DNS and mail flow

  1. Resolve the A record for the mail hostname from outside the VPS.
  2. Resolve the MX record for the mail domain and verify that it points to the intended host.
  3. Confirm that the VPS firewall and provider security group allow the selected SMTP and client ports.
  4. Send a controlled test message from an external account to the new domain, then reply from Zimbra to an external recipient.
  5. If outbound delivery fails, check whether the provider blocks port 25, whether reverse DNS is configured, and whether you need a relay host.

Provision the first production domain and accounts only after these identity, licensing, DNS, and service checks pass. Creating mailboxes cannot repair an incorrect MX record or an unsupported operating-system combination.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Enable HTTPS with Let’s Encrypt

The documented Ubuntu procedure uses Certbot and a Let’s Encrypt certificate. It requires correct DNS, a valid FQDN, a CAA record permitting letsencrypt.org, and temporary access to port 80 for standalone validation.

  1. Confirm that hostname --fqdn and zmhostname return the same public FQDN.
  2. Confirm that the A record resolves to this VPS and that the CAA record allows Let’s Encrypt.
  3. Make port 80 reachable from the Internet for the validation request.
  4. If Zimbra is currently listening on port 80, follow the procedure for changing the proxy or mail mode before requesting the certificate so Certbot can bind the validation port.
  5. Run the release-appropriate Certbot command to obtain the certificate for the mail hostname.
  6. Deploy the resulting certificate and private key into Zimbra using the documented certificate-deployment procedure, then restore the normal proxy and service mode.
  7. Reload or restart the affected Zimbra services and open the administration console and webmail over HTTPS to verify the complete chain.

Plan renewal before the first certificate expires. Test the renewal path in a maintenance window and verify that the renewed certificate is redeployed to every Zimbra service that presents it. Do not leave port 80 permanently exposed beyond the validation and redirect policy your installation requires.

Common failures and precise fixes

Symptom Likely cause Fix
The installer rejects the operating system The Ubuntu image is not supported by that Daffodil package or the package does not match the image. Recheck the release matrix and guide table, then rebuild the VPS with a supported 64-bit Ubuntu version and matching package.
Domain creation reports an MX problem The MX is missing, points to the wrong host, or the target has no usable A record. Correct A and MX records, wait for DNS TTLs, and verify them with external queries before retrying.
Mail arrives but outbound delivery fails Outbound port 25 is blocked, reverse DNS is absent, or the SMTP identity is inconsistent. Request an SMTP unblock, set PTR to the mail FQDN, verify firewall rules, or configure an approved relay. Keep the MX record even when relaying.
Let’s Encrypt validation times out Port 80 is blocked, another service owns it, DNS points elsewhere, or the CAA record does not authorize the issuer. Correct the A and CAA records, open port 80, and temporarily change Zimbra proxy or mail mode as required by the certificate procedure.
The HTTPS name does not match The certificate was issued for a different hostname or Zimbra is still presenting an old certificate. Issue the certificate for the exact FQDN returned by hostname --fqdn, deploy it to Zimbra, and reload the relevant services.
Services fail after installation A conflicting daemon, disabled prerequisite, incorrect hostname, time drift, or incomplete license configuration remains. Inspect service status and logs, remove the conflict, restore NTP and hostname correctness, and complete the license configuration instead of forcing individual services.

Production hardening and ongoing operations

  • Backups: Maintain backups separate from the VPS. Include mail data, configuration, and the information needed to restore the license and hostname; periodically test a restoration.
  • Updates: Track both Ubuntu security updates and Zimbra maintenance releases. Read the release notes before applying changes because mail, LDAP, database, and web components are interdependent.
  • Access control: Limit SSH and administration access to trusted addresses, use strong unique credentials, and protect the administrator account with the strongest authentication available for your release.
  • Monitoring: Alert on disk usage, inode exhaustion, queue growth, certificate expiry, service failures, backup failures, and clock synchronization.
  • Deliverability: Keep A, MX, and PTR records aligned, monitor provider abuse notices, and investigate bounces rather than repeatedly retrying a blocked destination.
  • Capacity: Watch mailbox growth, indexing load, and storage latency. Expand the VPS or storage before mail queues and database operations are affected.
  • Change control: Record firewall changes, DNS TTLs, certificate renewals, license details, and maintenance windows so another administrator can recover the service.

Final installation checklist

  • Dedicated VPS running a supported 64-bit Ubuntu LTS image.
  • Ubuntu release and Daffodil package selected from the matching support information.
  • Current Daffodil 10.1 license obtained for a 10.1 installation.
  • Stable FQDN configured; hostname --fqdn agrees with zmhostname.
  • A, MX, CAA, and provider-controlled PTR records verified externally.
  • No competing web, database, LDAP, or MTA service enabled.
  • nc, NTP, SSH access, and AppArmor prerequisites handled.
  • Only required SMTP, web, POP3, IMAP, SMTPS, and submission ports exposed.
  • Installer completed without prerequisite or licensing errors.
  • Administration console works over HTTPS with a trusted certificate.
  • Inbound and outbound test messages succeed, with a relay configured if port 25 is unavailable.
  • Backups, monitoring, renewal testing, and an update plan are in place.

The dependable installation path is deliberate: match the release to Ubuntu, keep Zimbra alone on the VPS, make DNS correct before domain creation, license Daffodil 10.1, expose only necessary ports, and finish TLS and operational testing before inviting users.
