Before approving a prompt, check which account or app is involved, what information the assistant is asking to access, and whether it can only read that information or can also change, send, or delete it. If the request seems broader than the task, pause rather than approving it automatically. That is the practical answer to “How to give an AI assistant access to your apps without over-sharing.”
The principles below apply across integrations, but the consent screens and available controls vary by assistant, connected app, and account provider. Google’s OAuth guidance offers useful examples of scopes, partial permissions, and revocation; it does not establish how every AI assistant handles connections or uses data.

Start with the task, not the permission prompt
Decide what you want the assistant to do before connecting an account. For example, you might want it to find an event in a calendar, summarize files you select, or help draft an email. These are examples of different tasks, not promises that every provider offers the same feature or uses the same permission model.

A feature that searches for an event may need to read calendar information; a feature that sends an email may need permission to send messages. The important distinction is between access tied to that chosen function and a broad request covering information or actions the function does not appear to need.

Google’s OAuth policy uses a similar least-privilege principle for developers: request the smallest set of scopes needed for the functionality the user knowingly chose. Its example distinguishes an occasional email-sending feature from full mailbox access. In practical terms, do not treat a request for broad access as automatically appropriate just because the assistant is asking for it. Compare the requested data and actions with the feature you intend to use. Google’s OAuth 2.0 Policies describe this requirement for apps using Google authorization.
What to check before approving a connection
A permission screen is a decision point. Read it as a description of the access being requested, not as a complete explanation of what the assistant will do with data after access is granted.
- App and account identity: Check which assistant or application is requesting access and which account you are authorizing. A familiar feature name is not a substitute for verifying the identity shown in the consent flow.
- Data categories: Note whether the request covers one kind of information, such as calendar data, or multiple categories. A broader set of data may support more functionality, but it also grants access beyond a single task.
- Permitted actions: Look for whether access is read-only or also allows creating, editing, sending, or deleting. These capabilities have different consequences. For instance, reading email is not the same action as sending it.
- Connection timing: Consider whether access is being requested while you select a feature that needs it, or during initial setup before you have chosen a relevant task.
- Choice and removal: Check whether the screen offers separate permission choices and whether you know where to manage or revoke the connection later. A screen may not offer independent choices for every requested permission.
- Data-use disclosures: Review the assistant’s privacy policy and data-use information for details such as retention, processing, and sharing. A list of requested permissions alone does not answer those questions.
Google says its OAuth consent screen displays project information and requested scopes, and its policy requires accurate app identity. Those are Google-specific requirements, not a guarantee that every provider presents the same details or uses the same terminology. Google’s consent-screen and scope guidance explains what its developers configure for this flow.

How to compare a narrow request with a broad one
Use the task as your reference point. A useful connection is not necessarily the one with the fewest words on its screen; it is the one that grants no more data or capability than the chosen feature needs. The following comparison is a decision aid, not a ranking of assistants or a claim that every provider offers each option.
| What to compare | Narrower access | Broader access |
|---|---|---|
| Data breadth | Limited to the app or data category relevant to the task | Covers multiple categories or a larger portion of an account |
| Action breadth | Read-only or limited to the operation the feature needs | May include creating, editing, sending, or deleting |
| Timing | Requested when you choose a feature that needs it, where supported | Requested up front, including before you choose a dependent feature |
| User choice | Separate choices may let you approve only the relevant permission, if the flow supports them | A combined request may ask for several permissions together |
| Disclosure | The app identity, requested access, and relevant data-use information are clear | The purpose or data-use details are difficult to understand or do not seem to fit the feature |
| Revocability | You can find a way to remove access when it is no longer needed | You do not know how to manage or remove the connection |
For each row, use what the prompt actually says and what the provider documents. Do not infer that a connection is read-only because a feature sounds passive, or that it allows deletion because it mentions account access. If the screen does not make an important capability clear, pause and look for an explanation from the provider before granting access.
Grant access in stages when the provider supports it
Connecting an account at initial setup can be convenient, but it may ask you to decide about access before you know which functions you will use. Google recommends incremental authorization: request access when a user selects a feature that needs it, explain why that access is needed, and avoid requesting unrelated scopes at initial sign-in. This is guidance for developers using Google OAuth, not a promise that all assistants use incremental permission prompts. Google’s OAuth best practices explain the approach.

- [Dont Hesite to Order] 24 hours customer services and professional technology team are standing by
- Choose one task. Identify the specific action you want to perform, such as finding a calendar event or drafting a message.
- Connect only the relevant app. If the assistant lets you connect apps one at a time, begin with the app needed for that task rather than enabling unrelated integrations.
- Review the requested access at the moment it appears. Compare the data categories and actions named in the prompt with the task. Prefer a narrower read-only or task-specific option if the provider offers one.
- Decide permission by permission when possible. If the flow presents separate choices, grant only the data category or action required for your task. If it bundles permissions together, evaluate the bundle as a whole rather than assuming you can approve only one part.
- Use the feature and reassess later. If a new feature requires additional access, consider that separate request when it appears. Do not assume an earlier approval means every later request is necessary or covered by the same explanation.
Staging access can make the decision easier to understand because the request is linked to a feature you selected. It does not, by itself, establish how a provider stores or processes data, and not every service supports this pattern.

What partial approval means—and what it does not
Some authorization flows allow users to approve some requested permissions while declining others. Google’s guidance for granular permissions says users can choose which non-sign-in scopes to approve when an application requests multiple such scopes. The application must then check which scopes were granted. That is a documented behavior for relevant Google OAuth flows, not evidence that every assistant or consent screen offers independent checkboxes. Google’s granular-permissions guidance explains the distinction.
If you see separate choices, approve only those that fit the feature you want to use. If you decline one, expect that a dependent feature may not work as intended. Google directs developers to disable functionality associated with a denied scope and avoid API calls that would fail. This describes Google’s developer guidance; it does not guarantee how another product responds to a declined permission.

If a prompt offers only an all-or-nothing choice, do not assume that a narrow selection is possible behind the scenes. You can decline, pause, or seek the provider’s explanation if the requested bundle seems excessive for the task. A feature being unavailable after you decline is a reason to reassess whether you want that feature, not by itself a reason to grant unrelated access.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone. What OAuth scopes and tokens tell you
In Google’s OAuth system, a scope describes resources or operations an access token can permit. After consent, Google’s OAuth overview describes a token or authorization code and a list of granted scopes; an application should compare the granted scopes with those needed for a feature. This is a useful way to understand permission-based connections, but it is not a description of every assistant’s authorization flow. Google’s OAuth overview explains how access to Google APIs works.
A scope can help you judge the breadth of a request, but its name is not a complete privacy assessment. Scope names and classifications are specific to the API. Some Google scopes are classified as sensitive or restricted and may require additional verification; third-party servers accessing restricted user data may also be subject to a security assessment. Those are Google developer requirements, not a universal trust score for an app or assistant. Google describes restricted-scope requirements in its restricted-scope verification guidance.
Best Value
Most importantly, an access request is not proof that an assistant reads every item it could technically access, keeps all accessible data, or trains on it. The permission description concerns the access being requested; it does not establish the assistant’s actual processing, retention, sharing, or training practices. Look to the provider’s current privacy policy and data-use disclosures for those issues, and avoid drawing conclusions the consent screen does not support.
When to pause or decline
Pause before approving if you cannot connect the requested access to the feature you selected. The aim is not to reject every permission, but to avoid granting a wider or less understandable set of permissions without a reason.
- The prompt names data categories unrelated to your intended task.
- The requested actions appear broader than necessary, such as edit or send access for a feature you only expect to use for reading, and the provider does not explain why.
- You cannot tell which app or account is requesting access.
- The request appears during setup, but you have not chosen a feature that needs the connected data.
- The prompt is unclear about what is being accessed, or the provider’s explanation does not resolve your concern.
- You cannot find the provider’s privacy or data-use disclosures, or you do not understand the terms relevant to your decision.
Declining may prevent a feature that depends on the permission from working. That is a trade-off to weigh against the access being requested. If you are unsure, seek current information from the assistant or account provider instead of treating the prompt as proof of either safety or misuse.
Review and revoke connections you no longer need
Access should not remain connected by default after its purpose has ended. Google’s OAuth policy tells developers to revoke tokens when account access or permissions are no longer needed and to permanently delete revoked tokens from their systems. That is developer guidance for Google OAuth. As a user, look for connected-app or account-connection settings in the assistant and, where available, the account provider. Exact menu names and paths vary by service, so use that provider’s current help information rather than assuming a universal location.
- List the connections you still use. Check the assistant’s settings for connected apps or accounts and note which integrations are tied to features you still want.
- Remove obsolete access. Use the assistant’s connection controls or the account provider’s controls to revoke a connection you no longer need, following that service’s current instructions.
- Check the result. Confirm that the connection no longer appears as active where the service provides that status. A feature that depended on the connection may stop working until you authorize access again.
- Reconsider any future prompt. If you reconnect, review the app identity, data, and actions requested at that time rather than relying on the previous approval.
Google’s OAuth best practices discuss revocation and token handling for developers. They do not identify the consumer settings menu for any particular assistant, so consult the relevant provider for service-specific steps.
A practical decision rule
Before approving, be able to answer three questions in plain language: What task am I choosing? What data and actions is this connection requesting? Why does that access fit this task? If you cannot answer the last question, or the request clearly includes more than you need, pause, decline, or seek clarification. If you do approve, connect only what you need now, use separate choices when the flow offers them, and remove access when you no longer need it.
