To get clients to pay invoices on time, agree the payment schedule before work begins, learn how the client processes invoices, submit a complete invoice to the right place, and confirm its expected payment date. If it becomes overdue, follow up calmly and escalate in a way that fits your contract and local law. No payment term or collection remedy applies universally.
Set payment expectations before work starts
Put the terms in your contract or statement of work. Specify when you will invoice, what event starts the payment clock, when payment is due, which payment methods you accept, and whether late-payment charges may apply. Define what counts as completed or accepted work and how either party should handle disputed items.

Choose a billing schedule that fits the project and the client’s procurement process:
- Upfront payment: Brings cash in before work starts, but some clients may need vendor approval or a purchase order before they can pay.
- Milestone invoices: Break a long engagement into smaller payment points. Agree on the milestones and what evidence or approval triggers each invoice.
- On-delivery invoice: You bill when the work is delivered. It avoids waiting until a later billing cycle to submit, but payment still depends on the agreed terms and processing time.
- Post-invoice credit terms: The client pays after receiving an invoice. Clarify the exact due date or calculation, rather than relying on an ambiguous phrase such as “net 30.”
Ask who commissions the work and who processes payment; those may be different people. Before you begin, find out whether the client needs vendor onboarding, a purchase-order number, a particular invoice format, or submission through a portal. The UK Office of the Small Business Commissioner advises businesses to identify the invoice recipient, understand the payment schedule, and obtain any purchase-order number early in its invoice guidance.

Find out how the client’s accounts-payable process works
A correct invoice can still be delayed if it goes to the wrong person or misses a required step. Ask your client these questions before the first billing date:
- Who should receive invoices, and who can confirm their status?
- Is a purchase-order number required, and who will provide it?
- Must invoices be uploaded to a portal or sent to a specific email address?
- What fields, attachments, tax details, or approval references make an invoice complete?
- When does the accounts-payable team schedule payments, and what date should you expect this invoice to be paid?
Record the answers with the project details so you can follow the same procedure for later invoices. If the client changes its process, confirm the new instructions rather than assuming the old submission route still works.
Send an invoice that is ready to process
Issue it promptly, as your agreement requires. The Office of the Small Business Commissioner advises: “Send your invoice immediately after completing the work, per your agreement, to maintain cash flow.” Follow the client’s submission instructions as well as the contract; sending an invoice promptly to the wrong inbox or portal may not start the client’s processing.

- The purchase-order number, if one was provided or required.

Requirements vary by jurisdiction, tax status, and customer type. For example, GOV.UK says a UK business-to-business invoice is legally required when both seller and customer are VAT registered and explains the information required in that situation. Check the applicable local invoicing rules instead of treating UK requirements as a global checklist.
Confirm receipt and follow up before the due date
After submitting an invoice, ask the payment contact to confirm it arrived, is complete, and is scheduled for the date you expect. The UK Small Business Commissioner suggests calling the week before payment is due to check that the customer has everything needed. A brief confirmation can reveal a missing PO number, an approval hold, or a submission error while there is still time to address it.

How to chase an overdue invoice
Start with a calm reminder
Check your records and the agreement first: confirm the invoice was submitted correctly, the due date has passed, and there is no known dispute or agreed change to the schedule. Then contact the client’s payment contact by email or phone. State the invoice number, amount, original due date, and how to pay; ask whether anything is blocking processing and request a specific expected payment date.

Keep the tone factual and professional. Australian Government business guidance notes that a calm reminder can resolve a forgotten payment without harming the relationship. Keep copies of the invoice, submission confirmation, reminders, and any response so there is a clear record of what was agreed.
Escalate in proportion to the delay and circumstances
If the reminder does not resolve the issue, follow the escalation steps in your contract and consider a more formal written request. Depending on the circumstances and local rules, later options may include a letter of demand or a debt-collection service. Before taking action, weigh the amount recoverable against the time, cost, and effect on the business relationship. Australian Government guidance discusses these steps and recommends defining an overdue follow-up process in advance: Payment terms.

Late-payment rules depend on the jurisdiction and contract
Do not assume a payment term, statutory interest rate, or collection remedy applies to every client. The governing law, whether the customer is a business or public authority, the contract, whether an invoice is proper or accepted, and whether the amount is disputed can all matter. Check the current rules and your agreement before claiming interest or taking legal steps.
UK commercial business-to-business examples
For UK commercial business-to-business debts, GOV.UK says an agreed payment date must usually be within 30 days for public authorities or 60 days for business transactions. Businesses can agree to a longer business-to-business period if it is fair to both sides. If no payment date was agreed, GOV.UK says payment is late 30 days after the customer receives the invoice or the service is provided, if that is later. Its guidance describes statutory interest as 8% plus the Bank of England base rate for business-to-business transactions; statutory interest cannot be claimed where a different contractual interest rate applies. Review the live guidance, contract, and facts before calculating or claiming interest: Late commercial payments: charging interest and debt recovery.
Australian business guidance
Australian Government guidance treats payment terms as part of the sales contract. It recommends setting clear terms, checking credit before offering credit, setting credit limits, and deciding how you will follow up overdue accounts. These are practical business recommendations, not a universal statutory due date for every client.

US federal invoices are a limited case
US federal prompt-payment rules concern eligible invoices to federal agencies, not private US clients generally. The Treasury explains that a contract may define the due date and that a 30-day period after receipt of a proper invoice applies in specified circumstances. Consult the contract and the Treasury’s Prompt Payment FAQs for the applicable federal situation.
Use evidence to set expectations, not to promise a result
Department for Business and Trade survey research published in 2024 found that 54% of surveyed UK businesses with business customers typically offered 30-day payment terms. It also found that 36% of surveyed businesses said their business customers took longer than their typical agreed terms; among small businesses, the figure was 49%. These figures describe surveyed businesses, not consultants or agencies specifically, and cannot predict whether an individual client will pay on time. They do show why written terms and a repeatable follow-up process matter. See the Department for Business and Trade research.
Choose billing tools and payment methods for your workflow
There is no single billing arrangement or tool that guarantees prompt payment. Fit the process to client requirements, the size and frequency of your invoices, and the effort involved in tracking payment.
