To free up Google storage, first check which service is using it, then delete only what you no longer need and permanently clear the relevant Trash. A personal Google Account’s storage is shared by Drive, Gmail, Google Photos and, where applicable, WhatsApp backups, so deleting Drive files alone may not be enough. At the account limit, uploads, email and photo backups can be affected.
Why Google storage fills up—and what happens at the limit
A personal Google Account includes up to 15 GB of storage shared across Gmail, Drive and Google Photos. Google’s Drive storage guide also includes WhatsApp backups in its explanation of shared storage. The allowance and affected services described here are for personal Google Accounts; work or school accounts can have different limits set by a Workspace license or administrator. Google Drive Help and Google Account Help explain the shared quota.

When the quota is reached, Google says you may be unable to upload or create Drive files, send or receive Gmail, or back up photos and videos. That makes a full account more than a Drive housekeeping problem: check the entire account before deciding what to remove.
Find what is using your storage
- Open Google’s storage manager while signed in to the account you want to clean up.
- Review the breakdown by service and the cleanup categories Google presents. Look across Drive, Gmail and Photos, and check WhatsApp backups if they apply to your account.
- Start with large files and items you recognize as no longer needed. Google notes that videos and large photos commonly use substantial storage.
Google’s storage manager and the labels it displays can change. If the screen differs, use Google’s current storage-management page to locate the service or cleanup category consuming space.

Remove files and messages you no longer need
Clear Trash and Spam in the affected services
Moving something to Trash does not immediately return its storage: Google says trashed items continue to count until permanently deleted. Review Trash in the service where you deleted the item, and clear Gmail Spam if it is contributing to the total. Permanent deletion cannot be undone, so check the contents before clearing them. Google’s storage-management guidance describes this cleanup step.
Sort Drive files by size
In Google Drive, open Storage to see files ordered from largest to smallest. Review the biggest items first; large videos, old presentations, audio recordings, drafts and copies may be candidates, but size alone does not make a file disposable. For work or school accounts, Google’s Workspace cleanup tutorial also recommends reviewing large files.

Search Gmail for large attachments
Use Gmail’s search bar to find candidates, then inspect messages and attachments before deleting. Google gives these example searches:
has:attachment larger:10Mfinds messages with attachments larger than 10 MB.filename:.pdf larger:5Mfinds PDFs larger than 5 MB.older_than:2y has:attachmentfinds older mail with attachments.
These searches surface possible cleanup targets; they do not determine whether a message or attachment is safe to delete. Permanently clear Gmail Trash and Spam if you need the space back immediately.

Check backups and app data; handle duplicates manually
Google recommends reviewing device backups and hidden app data as part of storage cleanup. Drive does not provide a built-in automatic duplicate finder in the cited guidance, so duplicate-file review must be manual. Compare filenames and contents before removing a copy, particularly if it may be the only version you need.
Keep files by moving a copy out of the cloud
If you want to keep a file but no longer need it in Drive, download it to a personal device or another local destination, such as an external hard drive, and confirm the download completed. Then delete the cloud copy and permanently clear it from Trash. Downloading alone does not reduce Google storage; the quota falls only after the cloud copy is removed. Google describes the download-then-delete option in its storage policy and management guidance.

Choose between cleanup and more cloud capacity
If deletion is not suitable, Google identifies Google One as a way to increase storage shared by Gmail, Drive and Photos. Plan details and prices can vary, so check Google’s current offer for your account rather than relying on an old price or plan description. The practical choice is whether you can safely remove or move enough data, or would rather pay for recurring additional cloud capacity.
Recheck the quota if it still looks full
Storage totals may not change right away after a large cleanup. Google says to allow up to 48–72 hours after deleting multiple files for the total to update; its help page also suggests trying advanced cleanup if the account still appears full after 30 minutes. These are troubleshooting instructions, not a guarantee that every account will refresh on an exact schedule. See Google’s storage-management troubleshooting guidance.

What over-quota policy means for your account
Google says that if an account remains over quota for two years, its content may be removed or become eligible for deletion. Google says it will contact users at least three months before content is eligible and give them an opportunity to address the quota or download content. This is not a notice that content is deleted immediately when the two-year mark is reached. Read the full explanation in Google Account Help.
If this is a work or school account
Do not assume the personal-account allowance applies. A Workspace storage limit may be determined by the organization’s license or administrator, and available controls can differ. Use the Drive quota view to identify large files, then contact your organization’s administrator if the limit or cleanup options do not match what you expect. Google’s Workspace Learning Center tutorial covers reviewing files by size.
