Follow up promptly, politely, and with the invoice details in front of the client. Start by checking that the invoice is correct and reached the right person; then use a short reminder, a specific request for a payment date, and a direct conversation if email gets no response. If payment is difficult, consider a written installment plan. Escalate only after giving the client a clear route to resolve the balance.
Before following up, check the invoice and its route
Confirm the payment terms in your agreement and the actual due date. Do not call an invoice overdue until that date has passed. Check the invoice number, amount, payment instructions, and the contact it was sent to. If the client uses a purchase-order or finance portal, verify that the invoice was submitted correctly there. An error or submission problem can delay payment, so a quick check may resolve the issue before it becomes a difficult conversation.

- Confirm the amount still outstanding and whether any payment has already arrived.
- Check that the invoice went to the right contact or portal and can be opened.
- Have a clean copy ready to resend, along with the payment instructions.
Send a calm first reminder shortly after the due date
Make the first overdue contact soon after the agreed due date. The UK Small Business Commissioner advises contacting the client as soon as an invoice becomes overdue to establish why payment has not been made and following the supplier’s escalation process (official guidance on payment records and escalation). That is a prompt-contact recommendation, not a universal day-by-day email schedule.
Keep the note brief and useful. Identify the invoice, amount, and due date; attach or resend it if helpful; include payment instructions; and ask whether anything is needed to process it. A neutral question leaves room for the client to say the invoice was missed, has an administrative issue, or needs clarification. The Australian government’s business guidance also recommends a polite phone or email reminder and notes that calm contact can resolve some late payments without harming the relationship (Australian government guidance on overdue invoices).

Subject: Quick check: invoice [number]
Hi [Name], I’m checking in on invoice [number] for [amount], which was due on [date]. I’ve attached it here in case it’s helpful. Could you let me know whether it’s in the payment queue, or if you need anything else from me? Thanks, [Name]
If there is no reply, ask for a payment date
After a few business days without a response, reply in the same email thread so the invoice and earlier note remain easy to find. Restate the invoice number, amount, and due date, and ask when payment is expected. Invite the client to flag a dispute or processing obstacle rather than assuming the reason for the delay.

This interval is a practical workflow suggestion, not a legal standard or a cadence proven to preserve clients. Adjust it to the client relationship, your agreement, and any established accounts-receivable process. Avoid adding a late fee or threat unless the contract and applicable rules support it.
Use direct contact when email is not resolving it
If the client remains silent, call or contact the person responsible for payment. Ask whether the invoice was received, whether its details are correct, and whether it is scheduled. Keep the tone focused on finding the obstacle and agreeing on a next step.

If the client cannot pay in full, consider a written plan
Ask whether installments would help and decide whether the proposed schedule works for your business. If you agree, confirm the amounts and dates in writing by email. Treat the plan as an arrangement to be tracked, not as payment already received; update the balance as each installment arrives.
If the balance remains unpaid, escalate deliberately
Send a firmer written notice identifying the outstanding balance and giving a clear deadline to pay or respond. Keep copies of invoices, messages, call notes, promised dates, and payment records. A simple ledger or accounts-receivable tool can help; the UK Small Business Commissioner says businesses may consider invoicing software to automate reminders and track payments (guidance on tracking and payment practice).

Before claiming interest, late fees, or recovery costs, check the contract, governing law, customer type, and local rules. Formal collection or legal action is a later option: weigh the amount at stake, likely costs, and possible effect on the client relationship. Do not present a legal entitlement as universal.
UK payment timing: check the rules that apply to your invoice
The following are UK-specific guideposts in GOV.UK guidance current in 2026, not general rules for other countries and not a replacement for checking the contract and current law. Where no payment date is agreed, GOV.UK says a customer generally must pay within 30 days of receiving the invoice or the goods or service. For commercial payments, agreed dates are usually within 30 days for public authorities and 60 days for business transactions; a longer business-to-business period may be agreed if it is fair to both businesses. With no agreed date, GOV.UK describes a payment as late 30 days after invoice receipt or, if later, delivery of goods or services. GOV.UK also says a business has the right to charge late-payment interest but may choose not to (GOV.UK guidance on late commercial payments; GOV.UK guidance on payment terms).

Keep the sequence visible
For each invoice, record its status, due date, reminder dates, client replies, promised payment dates, and your next action. A spreadsheet, paper accounts-receivable ledger, or invoicing software can do this; choose a method that fits your invoice volume and makes follow-up history easy to retrieve. If reminders are automated, review the message and timing so they fit the agreed terms and do not send after payment has arrived.
