Its wp_mail() function passes each message to either a mail transfer agent (MTA) running on your VPS or an authenticated remote SMTP service. If neither path is installed and configured, contact-form notifications, password resets and other messages have nowhere to go. The reliable fix is to verify the transport, match the provider’s host, port, encryption and credentials, use an authorized sender address, publish SPF/DKIM/DMARC records, and then trace the message beyond SMTP acceptance.

Why WordPress email fails on a VPS
A VPS gives you an operating system and network address, not a complete outbound-mail system. A default WordPress installation calls wp_mail(); it does not automatically create an SMTP account, queue messages, authenticate a domain or maintain a sending reputation. The server therefore needs one of two things:
As an Amazon Associate I earn from qualifying purchases.
- A local MTA such as Postfix, Exim, Qmail or Sendmail, configured to deliver directly or relay through another server.
- A WordPress SMTP plugin or API integration that connects directly to a remote mail service.
If your VPS has no running MTA and no active remote integration, WordPress can appear to send successfully while no message leaves the server. Even when an MTA is present, delivery can fail because outbound port 25 is blocked, credentials are wrong, TLS settings do not match, the sender domain is unauthorized, or the receiving mailbox rejects or filters the message.
Separate the problem into three handoffs: WordPress to the transport, transport to the SMTP relay or recipient server, and recipient server to the inbox. A test that succeeds at one handoff does not prove the next one succeeded.

Choose the mail architecture before changing settings
Your choice determines who operates queues, authentication, reputation and troubleshooting. For most self-managed WordPress sites, relaying through a third-party mailing service is the practical default because it avoids running an Internet-facing mail system yourself.
| Architecture | Operational skill | Reputation and deliverability | Queues and logs | Setup and cost | Best fit |
|---|---|---|---|---|---|
| Local MTA, direct delivery | High; requires server and mail administration | You own IP reputation, DNS authentication, bounce handling and blocklist risk | Maximum local control; you maintain the queue and monitoring | Longer setup; software may be free, but administration is ongoing | Experienced administrators needing full control or specialized routing |
| Local MTA relaying through a provider | Moderate; maintain the MTA while the provider handles final delivery | Provider supplies delivery infrastructure; you still must authenticate your domain and protect credentials | Local queue plus provider activity and bounce logs | Moderate setup; recurring provider charges may apply | Sites that need a sendmail-compatible local interface without direct Internet delivery |
| WordPress SMTP plugin or API | Low to moderate; no full MTA to operate | Mostly delegated to the provider, subject to your domain setup and account limits | Plugin logs and provider logs; little or no VPS queue control | Usually fastest; plugin and service pricing vary | Lower-volume sites and administrators who do not want to run mail infrastructure |
Running a local MTA always entails server-management expertise. If you are not prepared to maintain queues, TLS, DNS records, abuse controls and reputation, use an authenticated relay instead of attempting direct delivery.

Step 1: Confirm that a transport exists
Check WordPress first
Verify that the site is actually invoking wp_mail(). Trigger a password-reset message or submit a contact form while watching the plugin’s mail log, if it provides one. A form plugin can also suppress mail before WordPress reaches the transport, so inspect its notification recipients, conditional rules and error log.
Check for a local MTA
On a Linux VPS, identify whether Postfix, Exim, Qmail or Sendmail is installed and running. Distribution labels differ, but the service manager and package manager can show the active daemon. For a Postfix system, administrators commonly check the service status and recent journal entries; equivalent commands and log paths differ for other MTAs. If no daemon is installed or active, a local sendmail-compatible call has nowhere to deliver the message.
Check the remote integration
If a plugin or API is intended to send mail, confirm that it is active, that its account connection test succeeds, and that the site is not falling back to PHP’s default mail function. Disable competing SMTP plugins while diagnosing; two plugins can overwrite the From address or transport and make logs misleading.
Step 2: Match SMTP host, port, encryption and credentials
Every connection setting must describe the same submission mode supported by your relay. Copy the provider’s current values rather than guessing from examples intended for another service.

| Setting | What to verify | Typical failure when wrong |
|---|---|---|
| SMTP host | The exact hostname supplied for authenticated submission, not necessarily the hostname used for incoming mail | DNS error, connection timeout or certificate-name mismatch |
| Port | The provider-approved submission port; port 25 may be blocked by the VPS host | Timeout, connection refusal or a firewall drop |
| Encryption | STARTTLS on a plain submission connection, or implicit TLS when the provider specifies it | TLS negotiation error, unexpected plaintext or immediate disconnect |
| Authentication | Enable SMTP authentication and use the exact account username, password or app password | Authentication failed, often reported as a 4xx or 5xx SMTP response |
| Certificate validation | Keep certificate verification enabled and ensure the VPS clock and CA certificates are current | Expired, untrusted or hostname-mismatch certificate errors |
Do not “fix” a TLS error by disabling certificate verification. Correct the hostname, system time, CA bundle or provider mode instead. If outbound port 25 is filtered, use the relay’s authenticated-submission port, commonly a provider-designated alternative, rather than asking the host to unblock an unauthenticated direct-delivery path.
Use an app password when required
Some accounts reject the normal web-login password for SMTP. Create an app-specific password or API credential when the provider requires it, store it in the plugin’s secret field or environment configuration, and revoke old credentials after migration. Never paste a credential into a public support forum or commit it to a theme or plugin repository.
Step 3: Run a controlled test and preserve the evidence
- Open the SMTP plugin’s test-email screen, or use a password-reset or contact-form action that should invoke WordPress mail.
- Send to a mailbox you control on a different provider from the VPS account. Record the exact time, recipient, visible From address and subject.
- Capture the plugin’s full error text, SMTP response code and message ID. A generic “false” return value is not enough to identify the failing handoff.
- Check the VPS mail queue and mail logs immediately after the test if a local MTA is involved. A queued message indicates that WordPress handed off successfully but the MTA has not completed delivery.
- Check the relay’s activity or event log for acceptance, deferral, bounce or rejection. Match entries by timestamp, recipient and message ID.
Repeat the test only after changing one setting. Changing host, port, encryption and sender simultaneously removes the evidence needed to isolate the fault.
Step 4: Align the sender address with an authorized domain
Set the visible From address to a mailbox or domain authorized by the relay. The domain in the From header should be one you control and have configured for sending; an unrelated consumer-domain address can be rejected or filtered because it fails authentication alignment. Keep the Reply-To address separate when a form should receive replies from the visitor: use your authorized domain in From and the visitor’s address in Reply-To.

Avoid allowing visitors to supply arbitrary From values. That pattern is a common cause of spoofing, DMARC failure and poor reputation.
Check WordPress-generated headers
Inspect a received message’s headers to confirm that the plugin is not rewriting the sender after you set it. Look for duplicate From headers, a server hostname that appears as the envelope sender, or a Return-Path unrelated to your authenticated domain. The envelope sender controls many bounce notifications, while the visible From address controls what users see; both should be intentionally configured.

Step 5: Publish SPF, DKIM and DMARC records
SPF
SPF is a DNS policy listing which servers may send mail for your domain. Publish the exact SPF value supplied by your relay, and merge it with an existing SPF record rather than creating a second one. A domain should have one SPF record; multiple records can cause a permanent SPF evaluation error.
DKIM
DKIM adds a cryptographic signature to outgoing messages. Add the relay’s selector and public key as the DNS record it specifies. The selector is part of the DNS name, so copy it precisely, including punctuation and record type.
DMARC
DMARC tells receiving servers how to handle messages that fail SPF and DKIM alignment with the visible From domain. Start with a monitoring policy if you are migrating multiple senders, review aggregate reports, then tighten enforcement when legitimate sources pass. Ensure every service that sends as the domain is included before moving to a stricter policy.
DNS changes may take time to propagate according to the records’ TTL. After propagation, send a new test and inspect the Authentication-Results header for SPF and DKIM pass or fail results. Passing authentication improves trust but does not guarantee inbox placement.
Step 6: Trace messages after SMTP acceptance
An SMTP relay accepting a message means it accepted responsibility for processing it; it does not mean the recipient placed it in the inbox. If the message is missing:
- Check spam, junk, quarantine and focused or promotional tabs.
- Read the relay’s bounce or deferral code. A permanent 5xx response generally requires correcting the address, policy or content; a temporary 4xx response may clear after retry.
- Inspect the recipient’s complete headers for Authentication-Results, Received lines, Return-Path and filtering explanations.
- Confirm DNS records from outside the VPS network and wait for propagation if the change is recent.
- Review sending-IP and domain blocklists, complaint rates and reputation dashboards supplied by the relay.
- Check whether the account, domain or recipient is suppressed after a prior hard bounce or complaint.
Test at least one mailbox on another provider before concluding that all delivery is broken. A single recipient’s corporate filter can hide a correctly delivered message.

Common symptoms and the fastest diagnostic branch
| Symptom | Likely layer | Next action |
|---|---|---|
| Password resets and forms produce no log entry | WordPress or plugin | Verify the triggering feature, notification rules and active mail plugin; inspect PHP and WordPress error logs. |
| “Connection timed out” | Network or port | Confirm DNS resolution, VPS egress rules and the provider’s submission port; test an authenticated port when 25 is blocked. |
| “Authentication failed” | Credentials or account policy | Re-enter the username, use an app password if required, and confirm SMTP authentication is enabled. |
| TLS or certificate error | Encryption or system trust | Match STARTTLS versus implicit TLS, use the provider hostname, update CA certificates and verify the VPS clock. |
| Relay accepts but no inbox message appears | Recipient filtering or reputation | Read bounce and activity logs, inspect spam and headers, and verify SPF, DKIM, DMARC and blocklist status. |
| Messages remain in a local queue | MTA delivery or relay handoff | Inspect the queue reason and MTA logs; correct DNS, authentication, routing or connection errors before flushing the queue. |
Operating a local MTA safely
Direct delivery gives maximum control but makes the VPS owner responsible for every operational detail. Configure the server as an authenticated submission service or a tightly restricted relay; do not run an open relay. Limit who can submit, enforce TLS where supported, protect credentials, rate-limit abuse and monitor disk space so a growing queue cannot fill the VPS.
Set reverse DNS for the sending IP when your hosting provider permits it, use a stable hostname, and publish matching forward DNS. Maintain SPF, DKIM and DMARC records for every domain that sends mail. Watch queue age, deferred-message counts, bounce rates and provider responses rather than assuming that an active daemon means healthy delivery.
For a local MTA that relays through a provider, verify both legs independently: WordPress must hand the message to the MTA, and the MTA must authenticate to the provider. A successful local handoff can coexist with a provider rejection, so retain both local and provider logs.
WordPress SMTP plugin and API considerations
A plugin is often simpler for a low-volume site, but its behavior varies. Confirm whether it uses SMTP submission or an API, where it stores credentials, whether it logs message IDs, and whether it changes the From or Reply-To headers. Keep only one active mail transport. Update the plugin and WordPress core, but test after updates because a change in PHP, TLS libraries or plugin compatibility can alter connection behavior.
Use a staging site or a dedicated test recipient when changing credentials. Avoid sending test messages to large lists while troubleshooting; repeated retries can trigger provider throttling or reputation controls. If the site sends account, commerce or security notifications, configure a persistent log or external monitoring so a future failure is visible before users report it.
When to switch architecture
- Move from direct delivery to a relay when you lack time to manage reputation, DNS authentication, queues and blocklists.
- Move from a plugin-only connection to a local MTA relay when several applications on the VPS need one controlled outbound interface.
- Keep direct delivery only when you understand IP reputation, reverse DNS, feedback loops, bounce processing and abuse response, and have a reason to retain that control.
- Use a separate transactional email service when reliability matters more than keeping all mail inside the VPS, while still authenticating your own domain.
The correct architecture is the one you can monitor and maintain. A cheaper path that silently loses password resets is not cheaper for the site’s users or support team.
Best Value
A repeatable verification checklist
- WordPress invokes an active, intended transport.
- A local MTA is installed and running, or the remote plugin/API connection is active.
- SMTP hostname, port, STARTTLS or implicit TLS mode, username and password/app password match the provider’s current instructions.
- VPS firewall and hosting policy permit the selected outbound port.
- From uses an authorized domain; Reply-To is used for visitor responses.
- SPF and DKIM records are published exactly once and DMARC aligns with the visible From domain.
- A controlled test produces a timestamp, message ID and inspectable logs.
- Relay activity, bounce codes, recipient headers and spam folders have been checked.
- Queue age, disk space, reputation and authentication results are monitored after the fix.
Frequently Asked Questions
Why does WordPress show a successful send when no email arrives?
The application may only have handed the message to a local MTA or relay. Acceptance at that handoff does not confirm downstream delivery; use the message ID to check relay events, bounces, recipient headers and spam filtering.
Can I use port 25 for WordPress SMTP?
Only when your VPS network permits it and the receiving service supports that path. Many hosts restrict outbound port 25, so authenticated submission on the relay’s designated alternative port is usually more dependable.
Should the visitor’s email address be the From address on a contact form?
No. Keep an authorized address on your domain in From and place the visitor’s address in Reply-To. This preserves SPF, DKIM and DMARC alignment and reduces spoofing and rejection.
How long should I wait after changing SPF, DKIM or DMARC?
Wait for the DNS records’ TTL and verify them from an independent network. Then send a fresh message and inspect its Authentication-Results header; an old message cannot demonstrate that the new records work.
What should I do if the VPS queue keeps growing?
Read the per-message defer or bounce reason before retrying. Correct the underlying DNS, network, TLS or authentication problem, check disk capacity, and only then release or flush queued mail.
