To find out why a rental property is draining cash, calculate what it actually collects each month, subtract the bills and reserves the owner is responsible for, then subtract the full debt payment. That shows whether the problem is weak income, high operating costs, financing—or a combination. Make changes only after checking lease terms, local rules, and realistic costs.
Calculate the property’s monthly cash flow
Use a single time period—monthly—for every line. Include money actually received, not just rent scheduled in the lease.

Cash flow before income tax = rent and other property receipts collected − owner-paid operating bills − allowances for vacancy, repairs, and replacements − total debt payment.

Keep the mortgage payment visible as debt service rather than burying principal and interest among operating costs. Include an allowance for irregular work: a month without a repair bill does not mean the property has no future repair or replacement costs. The California Board of Equalization’s property-valuation guidance lists categories such as management, insurance, leasing, maintenance, utilities, and replacement allowance; use those as a checklist, not as a universal budget or legal rule. For example, a property can show positive income after routine bills and still have negative cash flow once its loan payment and a realistic reserve are counted. Conversely, a tax deduction is not necessarily a cash payment. Keep cash paid and tax-accounting treatment in separate records.
Find where the shortfall comes from
Reconcile rent due with rent collected
Compare the lease schedule with bank deposits and your rent ledger. Identify vacant periods, late or missed payments, concessions, and turnover costs. If the scheduled rent looks adequate but collections are not, the immediate issue may be occupancy or collection rather than the property’s operating budget.
Check actual operating bills
Sort invoices and statements into categories such as property tax, insurance, owner-paid utilities, management, leasing, maintenance, and repairs. Use actual bills rather than a generic expense ratio. Look for changes, duplicate charges, or services that can be renegotiated, and seek competing quotes where practical. Do not defer necessary repairs or safety work to make a monthly worksheet look better.

Separate loan costs from property operations
Review the loan statement, escrow, interest rate, payment schedule, and any other property-related debt. Confirm whether a payment change reflects taxes or insurance in escrow, a rate adjustment, or a change in principal and interest. A lower monthly payment is not automatically a cheaper loan over its full term.
Choose an intervention that fits the cause
Estimate the likely monthly improvement, one-time cost and payback time, uncertainty, legal or lease constraints, effect on the property and tenant relationship, and any borrowing or tax consequences. Do not assume a single lever will solve a shortfall that has several causes.
Improve income cautiously
Compare current rent with credible local rental evidence for similar properties, then check the lease and applicable local rules before changing rent or charging separately for a service. No universal market rent or permitted increase can be inferred without a location and lease details. Weigh any potential increase against vacancy, turnover, collection, and compliance costs; a higher asking rent may not produce higher collected income if a tenant leaves or the unit sits empty.

Review expenses without under-maintaining
Check insurance coverage and renewal terms, utility responsibility, management services, leasing charges, and maintenance invoices. Renegotiate or obtain quotes where appropriate, but compare like-for-like coverage and service. Cutting essential upkeep can create larger repair costs, harm the property, or conflict with obligations to tenants.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Fix the driver behind crashes, sound loss and screen glitches3Repair Windows errors before they cause bigger problemsAsk whether financing can be improved
Ask the lender for a property-specific quote before treating a refinance, changed term, or other loan adjustment as a solution. Compare fees, eligibility, rate, remaining term, total interest, and the risk of extending debt—not just the proposed monthly payment. The available evidence does not establish a current rate or a likely outcome for any owner.
Consider an exit if the gap is not manageable
If realistic and lawful operating changes cannot close the deficit within your financial capacity, compare continued ownership with selling or another exit. Use property-specific estimates for transaction costs, taxes, debt payoff, and the consequences of selling; these depend on your circumstances and jurisdiction.

Track changes and keep records
Keep leases, receipts, invoices, loan statements, and a monthly property ledger together. After each change, compare actual collections and payments with the prior period so you can see whether the measure improved cash flow or shifted costs elsewhere. The IRS explains that good records help landlords monitor rental activity, prepare financial statements and tax returns, identify receipts, track expenses, and support reported items: IRS rental real estate recordkeeping guidance.
Keep tax treatment separate from cash flow
For U.S. federal tax purposes, rental income generally includes amounts received for use of property. IRS Publication 527 covers rental income, mortgage interest, taxes, operating expenses, depreciation, and repairs. It generally distinguishes repairs and maintenance from improvements that better, restore, or adapt property, which generally must be capitalized. Depreciation is tax cost recovery; it does not put cash in the owner’s account. See IRS Publication 527, and consult current IRS guidance or a tax professional about facts such as personal use, passive-loss limits, and ownership structure.
For UK property, HMRC has its own rules on allowable maintenance and repair expenses and capital improvements. Do not apply U.S. tax treatment to a UK property, or vice versa; consult HMRC’s rental income guidance for the relevant circumstances.
