How to Fix Missing or Inaccurate AI Meeting Recaps in Microsoft Teams

Find a missing Teams AI recap by checking for a transcript, eligibility, meeting settings, and access. If the summary is wrong, compare it with the transcript and recording.
Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

If a Microsoft Teams AI recap is missing, first check whether the meeting was transcribed, whether it meets recap requirements, and whether you have permission to see the transcript or recording. If a recap is inaccurate, compare it with the transcript and recording before relying on its decisions, figures, names, or assigned tasks. Teams generates recaps from meeting data; it cannot reliably correct speech that was never captured or was transcribed incorrectly.

Start with the meeting’s recap and source files

  1. Open the meeting chat or the event in your Teams calendar after the meeting ends, then select Recap.
  2. Look for a transcript or recording. If neither exists, check whether transcription or recording actually started during the meeting; a recap needs meeting source data.
  3. Confirm that the event lasted at least five minutes and was transcribed in a language supported for AI summaries. Microsoft recommends recording and transcribing for the best recap experience. Meeting duration and language are eligibility checks, not a guarantee that every recap component will appear immediately. Microsoft’s Recap in Teams guidance identifies Microsoft Copilot or Teams Premium as eligible license paths for Intelligent Recap.

Teams bases Intelligent Recap features on the event transcript, attendance data, and PowerPoint Live data. As a result, an error in the transcript can make the summary less useful even when the recap was generated successfully.

If there is no transcript, check who could start it

The question “I can’t transcribe a meeting in Microsoft Teams” often comes down to meeting options or the participant’s role. Ask the organizer to review the meeting settings; attendees may not be allowed to change them.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Copilot: Check whether Copilot was turned off for the meeting. If it was off and transcription is unavailable, Microsoft says the organizer should close the meeting, enable Copilot in meeting options, and restart the meeting.
  • Recording and transcription: Check whether Who can record and transcribe is set to No one, or limited to organizers and co-organizers or designated presenters. The role restriction can prevent an attendee from starting transcription.
  • Future meetings: An organizer can enable automatic recording and transcription so the transcript starts with the meeting. With an eligible Copilot or Teams Premium license, meeting options also control who can start recording or transcription and who can access the resulting files. These are separate controls: permission to start a recording is not the same as permission to view it.

See Microsoft’s instructions for transcription troubleshooting and Teams meeting options.

TONOR Conference Microphone for PC, USB Microphone for Win & Mac, G11 | Omnidirectional Condenser Mic with 190 cm/74inch Cable, Plug&Play, Desktop PC & Laptop for Teleconference, Court Reporter
  • Omnidirectional Microphone - It is not a Speaker or Speakerphone, it is a condenser microphone. The microphone has an omnidirectional pickup pattern with a pickup distance of 11.5 ft, making it easy to capture the most subtle sounds from 360° directions and transmit the sound more loud and clear. Participants can hear each other without raising their voices.

  • Convenient Mute Button - Quickly mute/unmute your microphone. The built-in blue indicator light for checking whether the USB microphone is working.
  • Well Designed Cable - The microphone is constructed of sturdy and metal material and the base is fitted with an anti-slip mat which keeps it stable on desktop during use. It is small, convenient and does not require much space when in use. Connected with a 1.8m nylon shielded wire, it effectively eliminates signal interferences to achieve the best recording results.

If others can see the recap but you cannot, check access

A transcript or recording may exist even when an individual attendee cannot open it. The organizer can restrict access to everyone, organizers and co-organizers, or specific people. Copilot is unavailable to attendees excluded from recording or transcript access, even if Allow Copilot is set to Only during the meeting.

If the organizer changes the access option during a meeting, the meeting must end and restart before the change takes effect. For an existing artifact you cannot open, ask its owner for access. Later SharePoint permissions, sensitivity labels, or a shared recording link can also affect access; meeting-option settings do not override later permission changes. Microsoft explains these controls in Customize who can access a recording or transcript in Teams.

If the recap is inaccurate, inspect the transcript first

Compare disputed claims, speaker attribution, and listed tasks with the transcript and, when accuracy matters, the recording. The transcript shows what Teams recognized; the recording lets you check what was actually said. Pay particular attention to decisions, numbers, names, and task ownership.

Microsoft warns: “Some AI-generated content might be inaccurate, incomplete, or inappropriate.” Treat the recap as a convenient summary, not an authoritative record. If the transcript itself is wrong, correct the conditions that affect speech capture for future meetings:

When the Meeting Recaps app does not list the meeting

A missing item on the Meeting Recaps app homepage does not by itself prove that no recap exists. The homepage lists scheduled meetings from the past 30 days that were recorded or transcribed; it excludes instant or Meet Now meetings and meetings with temporary transcription only or no recording or transcript. Open the meeting chat or calendar event and select Recap directly. The Meeting Recaps app is not supported on Teams mobile. See Microsoft’s Meeting Recaps app guide.
