If Microsoft Copilot gives a generic answer or cannot find company information, first check which Copilot experience you’re using, what your work or school account is licensed to access, and whether the needed source is available to that experience. Then verify your access to the source, make the prompt specific, and check the citations before relying on the answer. Microsoft’s interface, license names, and controls can change, so confirm the options shown in your current account and tenant.
Why is Microsoft Copilot giving inaccurate answers?
Copilot’s answer depends on the information it can use for that prompt. Grounding connects a response to available work, attached, or public web information. If Copilot cannot find relevant, accessible sources, Microsoft Support says, “it may give a more general answer.” A plausible-sounding response is not proof that it found or correctly interpreted the company source you had in mind.

Start by identifying the experience and account. A work-account Copilot Chat experience oriented to the public web is not the same as an experience that can use organizational data. Microsoft describes Copilot Chat Basic as unable to use organizational data through Microsoft Graph in Copilot Chat; Microsoft 365 Copilot Premium can use organizational data through Microsoft Graph and Work IQ. The names and availability may change, so check your current subscription and interface rather than assuming a feature is included.

|---|---|---|
| Copilot Chat Basic | Public-web-oriented grounding; it does not use organizational data through Microsoft Graph in Copilot Chat, according to Microsoft’s overview. | For work material, attach a file, use content already open in an eligible Microsoft 365 app, or use an agent that has access to organizational data if available and configured. |
| Microsoft 365 Copilot Premium | Organizational data through Microsoft Graph and Work IQ, subject to access permissions and organization settings. | Confirm the intended work account, relevant work-data controls, source access, and whether the information is in a source Copilot can use. |
| External business system via connector | Information made available through an organization-configured connector. | Check connector enablement, your authorization, query specificity, and whether synced content has been indexed. |
These are capability distinctions, not guarantees that every answer will be correct. In all routes, access permissions and administrator controls still apply. For current account-specific details, consult Microsoft’s Copilot Chat licensing and availability overview.

Why can’t Copilot find my company data?
Copilot follows your existing permissions. Microsoft Support says, “Copilot can only reference internal organizational data that you have access to.” If you cannot open the exact file, message, or record yourself, Copilot should not be expected to retrieve it for you. Open the item directly in SharePoint, OneDrive, Teams, email, or the connected business system using the same account.
If you can open it but Copilot still misses it, work through these possible causes separately:
Rank #2
- Wrong experience or account: confirm you are signed in to the intended work or school account and that the experience supports the kind of organizational grounding you need.
- Source not selected or enabled: check the current Copilot Chat controls for Work IQ or relevant work sources. Labels and placement can move; use the source controls available in your tenant.
- Connector or authorization issue: for an external system, ask your administrator whether its connector is configured and enabled and whether your account or group is authorized.
- Indexing is incomplete: content from synced connectors may not be available until indexing has completed. Microsoft does not provide a universal indexing duration, so avoid assuming a fixed wait time.
- Governance or protection restriction: discovery controls, data governance, sensitivity labels, or encryption rights can limit what Copilot can reference. Microsoft’s architecture guidance says encrypted content requires the user to have both EXTRACT and VIEW rights for Copilot to interact with it.
- Outdated or ambiguous source: an older page, duplicate file, or previous version may be found instead of the authoritative current source.
For permissions or controls you cannot change, contact the item owner or Microsoft 365 administrator. Ask them to check the specific item and your access, rather than requesting broader access than your work requires.

Use a source Copilot can access, identify it clearly, and narrow the request to the relevant material. Where available, attach or link the authoritative file and tell Copilot to use that file only. If you need Teams information, name the team, channel, conversation, or date range as specifically as you can.
Rank #3
- Confirm the work account and experience. Check the account shown in Copilot and whether that experience is licensed and configured to use organizational data.
- Check source controls. In the current Copilot Chat interface, look for Work IQ and relevant work-source controls; select or enable the source you need if the option is available.
- Open the exact item yourself. Verify that the SharePoint file, OneDrive document, Teams content, or external record opens under your account.
- Prompt with concrete scope. Name the source system, project, document title, date range, and relevant owner or team. Ask for links or citations and identify which version is authoritative.
- For an external connector, verify setup. Ask the administrator whether the connector is enabled, your group is authorized, and synced indexing has completed.
- Check freshness and protection. Prefer the latest authoritative file. If Copilot cannot use protected content, ask the administrator to review discovery settings, sensitivity labels, and encryption rights.
- Verify the response. Inspect inline citations and the Sources list, open the cited item, and compare it with the answer before sharing or acting on it.
Example prompts
- “In the SharePoint project folder, use the current launch plan dated September 2026. Summarize the milestones and link each point to its source. Ignore earlier versions.”
- “From the Teams conversation in the Northstar project channel between 1 and 30 September 2026, list the decisions and who owns each action. Include citations or links.”
- “Use this attached file only. What are the three approval requirements in section 4? Quote the relevant wording and identify the page.”
These prompts make the intended source and scope clearer; they cannot grant access to a source or override tenant controls.

Grounding can provide citations, but a citation is a route to evidence, not a guarantee that the answer interpreted it correctly. Microsoft advises users to review sources and confirm critical details before sharing or acting.
Rank #4
- Open each relevant citation or item in the Sources list and verify that it supports the specific claim.
- Check the file title, date, version, and context; make sure Copilot did not rely on an outdated or similarly named document.
- For important decisions, compare the answer with the authoritative source and ask Copilot to identify the section or date supporting its conclusion.
- If no relevant citation appears, treat the response as unverified. Provide a better source, narrow the prompt, or ask an administrator to investigate access or configuration.
Microsoft’s guidance on what information Copilot uses to answer a prompt, grounding with a work or school account, and Microsoft 365 Copilot connectors explains these source and access distinctions. For administrators, Microsoft Learn’s Copilot setup guidance and Copilot architecture documentation cover configuration and protection considerations.
