For many eligible transactions, use Reclassify transactions if your QuickBooks access supports it. Merge chart-of-accounts entries only when they are genuine duplicates: merging is permanent. If an expense merely appears twice, check for a duplicate record or a bank-feed matching issue before changing or deleting anything.
First identify what is actually wrong
In QuickBooks Online, a transaction’s category is the account where the income or expense is classified. It is not the bank or credit-card account that paid it. Changing the category affects where the expense appears in reports; change the payment account only if that account is itself incorrect.

- One transaction is in the wrong category: edit that transaction.
- Many transactions are in the wrong account: consider Reclassify transactions, subject to access and transaction-type limits.
- The chart of accounts has two genuinely duplicate entries: consider merging them after checking their relationships and reconciliation history.
- An expense appears twice: determine whether there are two records, an incorrect bank-feed match, or a bank fee or interest entry showing on both sides of a register or reconciliation.
Correct one or a few miscategorized expenses
- Find the expense transaction and confirm its payee, date, amount, and memo so you edit the intended record.
- Open the transaction, change the Category field to the correct account, and save. Intuit’s QuickBooks Online Level 2 Manual describes selecting an expense and choosing the correct account in the Category dropdown. The exact layout can vary.
- Check the relevant account register or Profit and Loss report to confirm the expense is now classified as intended.
Reclassify many eligible transactions
Intuit describes Reclassify transactions as a way to “efficiently correct or change recorded transactions in bulk.” The tool is available in QuickBooks Online Advanced and QuickBooks Online Accountant. Accountants using QuickBooks Online Accountant can reclassify transactions for clients on any QuickBooks Online subscription. Access and labels can vary by role, plan, region, and interface rollout. Intuit’s instructions were updated August 5, 2026: Reclassify or move multiple transactions.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Fix the driver behind crashes, sound loss and screen glitches3Clear out junk files and repair common Windows errors- Run a Profit and Loss report to identify the incorrect account and the date range affected.
- Open Settings and choose Reclassify transactions. Some interface versions may place the tool differently.
- Choose the Profit and Loss account type to review income and expense accounts. Filter by account, date, or transaction details.
- Review each result and select only transactions that should move.
- Choose Reclassify, select the correct account, and apply the change. Recheck the report.
Check eligibility before applying a bulk change
- The tool cannot change the bank or credit-card payment account for an expense.
- Inventory adjustments are restricted. Transactions containing products or services may allow a class change but not an account change.
- Payroll transactions must be handled in Payroll.
- Billable expenses have a limitation on changing the related income account.
- Moving a transaction to Accounts Receivable or Accounts Payable requires assigning a customer or vendor.
If a transaction is ineligible, use its supported transaction workflow or ask the responsible accountant rather than trying to force a bulk change.

Handle duplicate-looking categories in the chart of accounts
Open the chart of accounts and compare the two entries’ account type, detail type, and parent or subaccount relationships. If the account itself is right and only its label is confusing, renaming may be enough. Merge only when the accounts are truly duplicates and you intend to consolidate their history.
Intuit says a merge moves past transactions into the account you keep and makes the other account inactive. It is permanent and cannot be undone. Before proceeding, use Intuit’s current instructions for merging duplicate accounts in the chart of accounts to check account relationships and opening-balance equity entries. Preserve reconciliation reports for the account being merged: its reconciliation history is lost, although its transactions remain reconciled. Do not merge accounts connected to online banking or accounts created by QuickBooks without following Intuit’s support guidance.

Correct an auto-categorized bank expense
In Bank transactions, review the Categorized tab and filter for auto-categorized items. Check the transaction and its match status before changing it. Select the assigned category to choose another one, or use Undo to return it to For review. Intuit’s instructions are in Automatically categorize expenses in QuickBooks Online. Turning off Familiar expenses affects future auto-categorization; it does not undo items already categorized.
Investigate an expense that appears twice
Two actual expense records
Compare the records’ dates, amounts, payees, and links to related transactions before editing or deleting anything. Confirm which record is erroneous, and check whether either is reconciled or linked. Do not delete a record simply because two entries look alike.

A downloaded bank transaction was matched or categorized incorrectly
Review the item in Bank transactions. If QuickBooks applied the wrong match or category, unmatch it and correct the record. If an existing transaction should match the downloaded item, find and match that transaction instead of entering another one. See Intuit’s Fix downloaded bank transactions.
A bank fee or interest charge appears twice
If the same fee or interest appears twice in the register or during reconciliation, inspect whether the bank account was selected on both sides of the entry. Intuit’s guidance is to correct the fee or interest account on the reconcile screen or in the bank register, as appropriate: Interest or bank charge shows up twice when reconciling and in the register (updated August 5, 2026).
