To fix formatting in Word, first identify what is wrong: a selected word or paragraph, text you pasted, repeated headings, or page layout in one section. Then change only that layer. A broad reset can remove formatting you meant to keep or alter more of the document than intended.
Start by identifying what changed
Word formatting can come from direct changes to text or paragraphs, reusable styles, paste settings, or section-based page layout. Match the repair to the scope of the problem:

- One word or paragraph: check its direct formatting.
- Pasted text: check the paste option used.
- Repeated headings or paragraphs: check the applied style.
- Margins, orientation, columns, headers, or page numbers: check section breaks.
- A missing control in a browser: check whether Word for the web supports that change.
Fix one word or paragraph that looks wrong
Select only the affected text, then use Word’s clear-formatting command and apply the desired font or style. Clearing formatting may also remove intentional bold, emphasis, color, or other formatting within the selection, so keep the selection as narrow as possible. Microsoft documents clear-formatting controls across Word interfaces, although their placement varies: Microsoft Support.

If the same formatting is correct elsewhere, copy it with Format Painter. Select the correctly formatted text, choose Home > Format Painter, then brush over the target. Click Format Painter once for one application, or double-click it to apply the formatting to multiple selections. Microsoft also documents Alt+Ctrl+C to copy formatting and Alt+Ctrl+V to paste it: Format Painter in Word.

Choose what to keep when pasting
At paste time, Word’s Paste Options let you choose among three outcomes. Microsoft describes the choice as pasting with “the formatting of the source, destination, or just pure text.” The guidance applies to Word for Microsoft 365, Word 2024, Word 2021, Word 2019, and Word 2016: Control the formatting when you paste text.
- Keep Source Formatting: retains the copied text’s formatting and associated style definition.
- Merge Formatting: generally discards most direct formatting while allowing the pasted text to take on characteristics of the destination paragraph’s style.
- Keep Text Only: removes formatting and nontext elements such as pictures or tables; the text takes on the destination paragraph’s styling.
To change desktop defaults, open File > Options > Advanced and find Cut, copy, and paste. Word provides separate controls for pasting within a document, between documents, when style definitions conflict, and from other programs. Choose the defaults that fit your usual workflow, but use the Paste Options control for an individual paste when you need a different result.

Make headings and repeated paragraphs consistent with styles
Styles are reusable sets of formatting options that you can apply to text. Apply the appropriate style from the Styles gallery rather than manually formatting each matching heading or paragraph. If the style itself needs to change, modify it; Word can update instances using that style throughout the document. On desktop Word, you can also create a style from selected text that you have already formatted through the Styles gallery. Microsoft cautions that some style features may not be available in Word for the web or mobile apps: Add and remove styles from the Quick Styles gallery.
Limit a page-layout change to the right section
Margins, columns, orientation, headers, and page numbering can be controlled by sections. Insert a section break at the start of the area that needs different formatting, then make the change in the new section. The break type determines where that section begins:
Rank #3
- Continuous: starts a new section on the same page; it can support changes such as column count.
- Next Page: starts the new section on the following page.
- Odd Page or Even Page: starts the new section on a page with the specified parity.
If a layout change affects the preceding section, undo it. Place the cursor after the section break, then make the change again. Microsoft’s instructions cover section breaks and layout changes: Insert a section break.
When a formatting option is missing in Word for the web
Some controls are unavailable in the browser rather than broken. Microsoft says Word for the web supports basic font and paragraph formatting, but it cannot adjust line spacing, create or modify styles, or edit margins and orientation. Columns, themes, page color, watermarks, headers, and footers are preserved but cannot be edited there. Open the document in desktop Word for those controls: Differences between using a document in the browser and in Word.

Pick the smallest repair that fits
| Problem | Repair | What it affects |
|---|---|---|
| One word or paragraph looks different | Clear formatting on a narrow selection, or use Format Painter | Selected text |
| Pasted text has unwanted styling or objects | Choose Keep Source Formatting, Merge Formatting, or Keep Text Only | The pasted content |
| Repeated headings do not match | Apply or modify a style | Text using that style |
| Layout changes spill into the wrong pages | Use section breaks and make the change in the intended section | A document section |
| A layout or style control is unavailable in a browser | Open the document in desktop Word | Allows access to controls not editable in Word for the web |
These repairs have different scopes. Start with the affected word, paragraph, pasted content, or section rather than resetting the whole document. For a single selection, clearing formatting is direct but may remove deliberate emphasis; for repeated elements, a style is more maintainable than individual manual changes.
