When an online probate, executor, bank, tax or account-closure form fails, do not keep clicking Submit. First identify the exact service, your legal role and the error category; then compare every field and attachment with the service’s official requirements. If the problem is technical, use that provider’s documented browser guidance. Preserve the case number and escalate through the official support channel with the exact error text.
Estate workflows are not interchangeable. A court portal may restrict access to practitioners, a bank may require identity verification from a legal personal representative, and an online-account provider may accept a closure request but refuse to release login credentials. The sequence below helps you diagnose the failure without creating a duplicate case or choosing an irreversible option by mistake.

Start by classifying the failure
The same “error” banner can represent a legal-ineligibility problem, a mismatch in a name or date, an invalid file, or a browser session failure. Classifying it before changing anything prevents you from fixing the wrong layer.
| Error category | Typical clues | First action |
|---|---|---|
| Eligibility or authority | The service says the applicant, estate, account or case is not eligible. | Check the service’s applicant rules and your authority to act before editing fields. |
| Field validation | A field is highlighted, or the form reports inconsistent particulars. | Compare names, identity numbers, dates, values and roles with the specified official records. |
| Attachment or upload | A file is rejected, cannot be opened, or the submission says a document is missing. | Check the file type, pages, readability, certification and filename separately. |
| Sign-in or browser | The page will not load, a session expires, or a button does nothing. | Follow the named portal’s technical instructions; do not copy browser advice from another service. |
| Irreversible choice | The form warns that closure, release or another request has consequences. | Stop and read what the selected request permits and prevents before resubmitting. |
Use this safe troubleshooting sequence
1. Stop repeated submissions and preserve evidence
Repeated attempts can create duplicate applications, conflicting records or extra fees. If the service has warned about duplicates or an irreversible action, stop submitting until you understand the message.
Record the exact on-screen wording, the date and time, the form name, the web address shown in the browser, and any application or case number. Take a screenshot if the portal allows it without exposing unnecessary personal information. Note which step failed and what you had already entered or uploaded. This record gives support staff something reproducible instead of a description such as “the form does not work.”

2. Verify the portal, service and case type
Open the service from the official agency, court, bank or provider website rather than from an old bookmark or an unsolicited message. Confirm the country, agency or company, exact form name and whether you are starting a new case, responding to a request for rework, tracking an existing case or closing an account.
Read the eligibility section before changing data. A family relationship alone may not establish authority. Depending on the workflow, the permitted applicant could be a named executor, administrator, legal personal representative, practitioner or another specifically defined person. The deceased person, will, estate value and other circumstances can also determine whether an online route is available. If your case falls outside those rules, a validator error is not something that can be solved by retyping the same information.

Use the records the service names, not memory or a previous website form. Lay out the death certificate, will, grant or letters of administration, identification documents, tax records and any account correspondence that the instructions require. Check each field one at a time.
- Names: enter spelling, order, accents and punctuation as requested. Distinguish a current name from a name at death when the form asks for both. Do not silently substitute a nickname or a later legal name.
- Identity details: copy the exact identity or reference number, including leading zeroes and any required spaces or hyphens.
- Dates: use the portal’s stated format and confirm whether it wants the date of birth, date of death, grant date or another event. Do not guess whether a value such as 03/04 means 3 April or 4 March.
- Estate or account values: follow the service’s currency, unit and rounding instructions. A value in whole units is not interchangeable with a value entered in thousands.
- Authority: select the role supported by your document. An executor, administrator, attorney or next of kin may have different powers, and some services accept only one of those roles for a particular action.
Singapore’s Probate eService specifically warns that applicant and deceased particulars should be consistent with supporting records. A discrepancy can trigger a request for extra documents or require filing through a Service Bureau rather than an online submission. That warning illustrates a general rule: a portal may be functioning correctly even when it rejects information that does not match its evidence requirements.

4. Audit attachments as independent items
A form can contain correct fields and still fail because one attachment is wrong. For every file, check the following:
- It is the document requested for this person and this case, not a similarly named record from another matter.
- All pages are present, in order and readable at normal zoom. Cropped seals, cut-off signatures and dark or blurred scans can make a file unusable.
- The file type and size meet the portal’s instructions. Convert only when the service permits conversion; do not assume that every portal accepts the same formats.
- Certification, witnessing or notarisation is supplied when the instructions require it. A scan of an uncertified copy is not equivalent to a certified copy.
- The filename follows the prescribed convention. If the service asks for a case number, document type or applicant name, use those elements exactly and avoid special characters that the portal rejects.
- The file opens after saving and is attached to the intended field. A successful upload indicator does not always mean the file is associated with the correct document slot.
Singapore’s Probate eService calls for certified PDF copies and says the physical original will is later needed for verification. A scanner can make a paper document legible and uploadable, but it cannot correct the document’s contents, certify it or establish that you are eligible. Keep originals safe and do not alter an official record merely to satisfy a validator.

If the portal fails before validation, signs you out, or leaves a control unresponsive, use only the technical advice published for that service. The HMCTS MyHMCTS practitioner probate guide, updated 13 July 2026, tells users of that service to use a current Chrome or Edge browser, clear cookies and cache, review firewall and security settings, and try another device. It states that Internet Explorer and Apple Safari are not supported for the described service.
Those instructions are specific to MyHMCTS. Applying them automatically to a bank, tax portal or account provider could remove useful session data without solving the underlying issue. Before clearing cookies, save any case reference and confirm that you know how to sign in again. If a managed work network, security extension or firewall is blocking the page, ask the organisation’s administrator to check it rather than disabling protection permanently.

6. Escalate with a complete, safe report
When the documented checks do not resolve the problem, use the service’s official helpdesk, secure message facility, telephone route or published support email. Include:
- the form and service name;
- your role in the estate or account;
- the exact error text, preserving punctuation and reference codes;
- the date and time, browser and device used;
- the case or application number, especially if one was issued;
- the steps already attempted; and
- non-sensitive context that helps staff reproduce the issue.
Do not send passwords, one-time codes, full identity documents or more personal data than the support route requests. Ordinary email may not be an approved channel for sensitive records. Ask where documents should be uploaded securely.

What the major service examples show
England and Wales: HMCTS MyHMCTS probate
The cited HMCTS material is a practitioner guide, not a general instruction for every citizen applicant. It covers application stages, tax-related information, required codes in some cases, browser support and account assistance. It also documents a narrow legacy combination of inheritance-tax options that produces an error message. If you encounter that message, follow the current MyHMCTS guidance or contact its support route rather than experimenting with tax selections. A rule for that practitioner platform should not be treated as a rule for another probate court or for a personal applicant.
Singapore: Probate eService
Singapore’s online route has eligibility conditions relating to the applicant, deceased person, will, estate and other circumstances. Use the death certificate and will documents named by the service, and make the particulars consistent with them. The service warns that discrepancies can lead to additional-document requests or filing through the Service Bureau. It also identifies a technical helpdesk for technical assistance. If the online route is not available for your circumstances, changing a field value to force acceptance can create a more serious record problem.

Google deceased-user account requests
Google handles requests about a deceased user’s account through a review process that can cover closure, funds or data, subject to privacy protections. Closure, data release and account access are separate outcomes. Google Account Help states: “We cannot provide passwords or other login details.”
Read the consequence text before selecting a request type. Google warns that if an account-closure request is selected, it cannot later process a request to hand over that account’s contents. Therefore, a person who wants information for estate administration should not choose closure merely because it appears to be the quickest way to stop activity. The provider decides what it can do after reviewing the request; a relative’s ability to act does not guarantee access to the account’s contents.
South Africa: SARS and deceased-estate administration
SARS instructs estate representatives to retain the initial case number and use it in later correspondence. It also requires supporting documents to be named correctly. Losing that number or uploading ambiguously named files can slow an otherwise valid application because staff cannot reliably connect a message or document to the estate.
South Africa’s Department of Justice publishes deceased-estate resources that include online registration, application rework and status tracking, along with a support email. Use the guide for the specific rework or tracking action shown in your case. A status page and a new registration are different workflows; opening a second case can make it harder to determine which record is current.

Australia: bank account closure
NAB’s account-closure example shows why bank requirements must be treated as institution-specific. It identifies identity verification for legal personal representatives and a completed, signed form for closing accounts and releasing estate funds. Another bank may require different evidence, signatures, beneficiaries or payment instructions. If a bank form rejects an upload, confirm its own requirements instead of relying on a probate court’s file rules.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Compare a service before choosing an alternative route
There is no universal replacement for a failed online form. When a portal directs you to a bureau, paper process, practitioner route or support team, compare the actual requirements before switching.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Fix the driver behind crashes, sound loss and screen glitches3Clear out junk files and repair common Windows errors| Question | Why it matters | What to confirm |
|---|---|---|
| Who may apply? | A different route may accept a practitioner but not a family member, or vice versa. | Applicant role, representation rules and whether a power of attorney or grant is recognised. |
| What authority is required? | Submitting a death certificate alone may not prove authority to control an account or estate. | Will, grant, letters of administration, court order or institution-specific authority. |
| Which documents and certification? | A route can reject an otherwise readable scan if certification or witnessing is missing. | Required records, original-document checks, certification, signatures and witnessing. |
| How are files submitted? | Paper, secure upload and email have different security and format rules. | Accepted formats, size limits, filename pattern and approved delivery channel. |
| Are there costs or irreversible consequences? | Some routes may involve fees, delay or a decision that cannot be undone. | Fees, duplicate-case warnings, closure consequences and whether data release remains possible. |
| How is support provided? | Unofficial advice may expose sensitive information or send you to the wrong workflow. | Published helpdesk, secure message system, phone number, email and expected reference number. |
Troubleshoot common reader scenarios
“Why is the probate form rejecting my application?”
Check eligibility and applicant role before editing the estate details. Then reconcile the applicant and deceased particulars with the death certificate, will and grant or letters of administration. Review date format, identity numbers and estate-value units. If the portal still rejects the application, capture the exact message and ask the official support route whether the case requires another filing channel.
“What do I do if the online executor form gives an error?”
Confirm that the service recognises you as executor or legal personal representative and that the case type is open to online filing. Do not assume that being a relative is enough. Check whether the form expects a grant, letters of administration, a tax code or another reference. Submit only after the service’s document and authority requirements are met; otherwise request guidance using the case reference.
“How do I upload a death certificate for account closure?”
Use the bank or provider’s own checklist. Verify that the certificate is complete, legible, in the accepted format and attached to the death-certificate field. Check whether a certified copy, signed form, identity verification or legal-personal-representative evidence is also required. Preserve the original and use the provider’s secure upload facility rather than sending a sensitive document to an unverified address.
“How can I close a deceased person’s online account?”
First decide whether the goal is closure, funds recovery, data access or simply stopping notifications. Those outcomes may require different requests. Read the provider’s warning about what happens after closure; with Google’s process, selecting closure can prevent a later request for the account contents, and login credentials are not provided. Submit the request that matches the estate’s objective, not merely the first option that removes access.

Prevent the next rejection
- Create a case folder containing the official records, a copy of each uploaded file, the filenames used and every reference number.
- Maintain a field checklist that records the source document for each name, date, identity number and value.
- Use one controlled, readable scan of each document and avoid repeatedly recompressing or renaming it after submission.
- Record the portal version or date of the instructions when a workflow is being completed over several weeks.
- Keep technical troubleshooting separate from legal corrections: browser changes cannot fix missing authority, and a corrected document cannot fix an unsupported browser.
- After submitting, save the confirmation page and note whether the service created a case, requested rework or merely accepted an upload.
Estate and account-closure forms fail for different reasons, but a disciplined sequence makes the distinction clear: identify the service and role, match entries to authoritative records, validate each attachment, apply only platform-specific technical fixes, and escalate with the original reference and exact error. Treat closure, data access and authority as separate decisions, and do not choose an irreversible request until you understand its effect.
