In the UK, the free Tell Us Once service can report a death to most relevant government organisations, but it does not replace contacting banks, insurers, utilities, landlords or many pension providers. Probate and full estate administration are broader legal and financial jobs that may require a solicitor, probate specialist or other regulated professional.
Use a service only after confirming its jurisdiction, organisation coverage, follow-up work, document requirements, provider status and complete fee basis. Treat a notification-only product, a document-finding service and professional estate administration as different products, even when their advertising uses similar language.

Start by identifying the job you are buying
“Bereavement paperwork service” is not a standard legal category. Providers may offer one or more of these distinct tasks:
Government notifications
A government notification tool sends a death report to participating departments and public bodies. In the UK, Tell Us Once is the main example. A registrar explains it after the death is registered, and eligible users can provide information once rather than notifying each participating department separately.

- 12-Month Warranty: Backed by a 12-month manufacturer warranty for peace of mind. Designed to meet strict quality control standards for reliable everyday performance.
Private-organisation notifications
A private service may help notify banks, building societies, insurers, utilities, subscription companies, landlords or other account providers. Coverage varies by provider, and sending a notification does not necessarily close an account, transfer ownership, release money or settle a claim.
Probate and estate administration
Probate or estate-administration assistance deals with the deceased person’s assets, liabilities, tax and distribution to beneficiaries. The work can include valuing assets, paying debts, selling property, preparing tax information, applying for a grant of probate or letters of administration, and distributing what remains. It is substantially broader than sending notices.
Document and information support
Some services help locate accounts, policies or paperwork. That can save time, but it does not automatically give the provider authority to act, and it does not remove the personal representative’s legal responsibilities.

Use Tell Us Once when the deceased was eligible
Tell Us Once is intended for people who lived in England, Scotland or Wales. It can also apply when someone who normally lived there died temporarily abroad. It is not available for someone who lived in Northern Ireland or permanently abroad. The registrar gives instructions after registration.
You may need details about the deceased, the person handling the estate, a surviving spouse or civil partner, and relevant benefits or accounts. The service can contact most participating government organisations in one submission, but it is not a universal death-notification service.

Some situations also require separate contact with a department, such as benefits relating to a deceased child. Ask the registrar or check the service instructions if the circumstances do not fit the normal process.
Use HMRC’s questionnaire for a basic tax route
HMRC’s online bereavement questionnaire gives tailored links and guidance on Income Tax, Inheritance Tax, probate, Child Benefit, tax credits and surviving spouses or civil partners. It is a routing and information tool, not a substitute for professional advice in a complicated estate.
HMRC says the questionnaire is not designed for complex or very high-value estates, overseas property or other overseas assets, deceased employers, or business VAT issues. Those cases may need specialist tax or legal help.
Understand the personal representative’s responsibility
In England and Wales, the executor named in a will or the administrator appointed where there is no suitable executor is responsible for estate assets from the date of death until they have been passed to beneficiaries. GOV.UK states: “You’re responsible for the assets from the date of death until the date everything has been passed on to the beneficiaries.”
That responsibility can involve:
- Finding and valuing money, investments, property and personal possessions
- Identifying debts and paying valid creditors
- Dealing with Income Tax and, where relevant, Capital Gains Tax
- Reporting estate values and liabilities
- Applying for probate or letters of administration when required
- Keeping records and distributing assets to the correct beneficiaries
Professional help is optional, not an automatic legal requirement. GOV.UK says it may be worth considering where an estate contains many assets or trusts. A notification product should not be presented as if it takes over these duties or handles probate unless its written scope expressly says so.

| Service type | Typical purpose | What it may not do | Who should check the result |
|---|---|---|---|
| Tell Us Once | Report an eligible UK death to participating government organisations in one submission | Notify most private companies, close accounts, transfer property or administer the estate | The personal representative or family |
| Private notification assistance | Send notices to selected banks, insurers, utilities, subscriptions or other organisations | Guarantee closure, refunds, claims, transfers or acceptance of authority | The executor or administrator, including all follow-up requests |
| Document-finding support | Locate policies, accounts or records and organise information | Act as executor, obtain probate or make legal decisions without authority | The person legally responsible for the estate |
| Probate or estate-administration professional | Handle some or all legal, tax and administrative steps through distribution | Automatically include every asset, dispute or specialist tax issue; scope must be confirmed | The client, with oversight of instructions and beneficiaries |
The categories can overlap. A professional firm might notify organisations while administering an estate; a notification company might offer only a letter or email service. Compare the written deliverables, not the product name.

Questions to ask before choosing any service
1. Which jurisdiction and eligibility rules apply?
Ask where the deceased lived, where property is located and which law governs the estate. Confirm whether the service covers England and Wales, Scotland, Northern Ireland, another country or only a particular state or territory. Australian and US government services demonstrate why processes cannot be assumed to transfer across borders: their notification steps and authority rules differ from the UK model.
2. Which organisations are actually covered?
Request a written list or a precise description of participating organisations. “Most organisations” is not enough. Separate government departments from private banks, insurers, utilities, housing providers, pension schemes and subscriptions. Ask whether the provider sends the notice, tracks a response, or merely gives you a template to send yourself.
3. What happens after the first notification?
Clarify who answers calls, supplies documents, records reference numbers and requests refunds or transfers. An organisation may acknowledge a death but later ask for an account or policy number, a death certificate, the will or proof of authority. Decide whether the provider continues until the account is closed or stops after the first message.

4. What authority and documents are needed?
Ask what you must provide at sign-up and what may be requested later. Common examples include:
- The death certificate or an official registration reference
- The will
- A grant of probate
- Letters of administration
- Account, policy, customer or mortgage numbers
- Identification for the representative and relevant beneficiaries
Requirements differ between organisations. A provider cannot promise that one document will satisfy every institution.
5. Who will perform the work?
Find out the named business or professional responsible for your file, the staff qualifications, the relevant regulator or professional body, and whether any work is outsourced. For UK legal services, CMA guidance updated 30 January 2026 says consumers should receive enough information about service characteristics, regulation, qualifications or experience and professional indemnity insurance where relevant. Third-party delivery should be disclosed clearly.

- Please Note: To reach 10Gbps speed, keep the cable under 3.3 ft. For USB A Male to USB C adapters, try flipping the USB C connector. USB C Male to USB A adapters support bidirectional 10Gbps transfer within 3.3 ft
6. What is the complete fee basis?
Ask whether the charge is fixed, hourly, based on the estate’s value or calculated by tasks. Obtain the total expected cost in writing, including VAT where applicable, application fees, postage, identity checks, storage, document retrieval, extra calls and work by another provider. Establish what is excluded and when additional charges can arise. Keep the quote, terms and any estimate of estate value used to calculate the fee.

7. Is the estate too complex for a basic service?
Tell the provider about trusts, overseas assets, a business, multiple properties, disputes, uncertain debts or a high-value estate. A basic questionnaire or notification package may not be suitable. Ask who will refer you to a specialist and whether that referral creates a separate fee.
How to compare offers without being misled
Put every proposal into the same checklist. Compare equivalent scopes rather than placing a low-cost notification package beside a full probate service.
| Comparison point | Evidence to request |
|---|---|
| Scope | Task list showing notifications, forms, tax, probate, asset collection and distribution |
| Coverage | Jurisdictions and named categories of organisations included and excluded |
| Follow-up | Who responds to questions, chases institutions and handles rejected requests |
| Authority | Documents accepted and situations requiring probate, letters of administration or another proof |
| Provider | Legal entity, regulator or professional body, staff qualifications and insurance information |
| Price | Fixed, hourly, percentage or staged fee; taxes, disbursements and possible extras |
| Exit terms | Cancellation, transfer of papers, payment if you stop, complaints and data-retention rules |
Consumer guidance warns against unclear or misleading price comparisons and incomplete pricing. Be cautious if a salesperson pressures you to sign immediately, adds automatic services without clear consent, or will not identify the person responsible for the work. MoneyHelper’s will-writing guidance, while not a rulebook for post-death administration, similarly advises consumers to understand what a one-off fee includes, ask for the total cost, verify regulation and read the terms.
A practical selection process
- Record the facts. Note the deceased person’s usual residence, date and place of death, family status, property locations, known accounts, debts, trusts, businesses and overseas connections.
- Complete the free official routes first. If eligible, use Tell Us Once after registration. Use HMRC’s questionnaire for initial tax and probate signposting, while recognising its complexity limits.
- Separate private notifications from estate administration. List institutions that still need contact and decide whether you need help with notices only or with the whole estate.
- Collect competing written scopes. Ask each provider to state exactly what it will do, what it will not do and what you must do yourself.
- Verify the provider. Check the relevant regulator or professional register, qualifications, insurance information, complaints route and any disclosed subcontractors.
- Test the fee. Ask for a complete estimate based on your facts, the events that trigger extra charges and who receives any third-party payment.
- Choose the narrowest service that safely meets the need. Do not pay for full administration if you only need organised notifications, but do not rely on a notification tool where the estate needs specialist legal or tax work.
- Keep an audit trail. Store the contract, invoices, submitted forms, dates, organisation responses, document copies and unresolved questions.
Common failure points and what to do
The provider says “notified” but an account remains open
Ask whether notification was the only contracted task. Contact the institution directly with the requested authority documents and record its reference number. Treat closure, transfer and refund as separate outcomes unless the contract includes them.

An organisation asks for documents you did not expect
Check whether it needs a death certificate, will, grant of probate, letters of administration or account number to verify identity and authority. Do not assume the provider’s original notice replaces those documents.

The estate turns out to be complex
Pause before signing up for a basic package if you discover overseas property, trusts, business interests, disputed debts or a very high value. Obtain specialist advice and ask whether work already completed can be transferred without a penalty.
The price increases after work starts
Compare the invoice with the written scope and the event that triggered the extra fee. Request an itemised explanation and use the stated complaints process. If the provider is regulated, ask the relevant body about its complaints or redress route.
You cannot find a required UK notification route
Recheck eligibility and residence. Tell Us Once does not cover people who lived in Northern Ireland or permanently abroad, so a different government process may apply. Do not substitute an English, Scottish or Welsh process without confirming the applicable jurisdiction.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Fix the driver behind crashes, sound loss and screen glitches3Repair Windows errors before they cause bigger problemsWhen professional help is most defensible
Professional probate or estate-administration assistance is particularly worth considering when there are many assets, trusts, overseas connections, business interests, tax questions, uncertain liabilities or disagreements among beneficiaries. It can also reduce the administrative burden where the personal representative cannot manage repeated institution requests.
For a straightforward estate with clear records and no unusual tax or legal issues, a family may choose to handle administration themselves while using official guidance and notifying organisations individually. The decision is about risk, time, complexity and accountability—not an assumption that every bereavement requires a paid provider.
Final checks before signing
- Confirm the deceased person’s jurisdiction and the law likely to govern each asset.
- Use Tell Us Once if the UK eligibility rules fit, then list private organisations separately.
- Decide whether you need notification, document support, probate or full administration.
- Obtain a written coverage list and a clear description of follow-up work.
- Ask which documents and proof of authority may be required later.
- Verify qualifications, regulation, insurance and any outsourced work.
- Get the total fee basis, exclusions, disbursements and cancellation terms in writing.
- Escalate trusts, overseas assets, businesses, disputes and complex or high-value estates to an appropriate specialist.
The Bottom Line
Choose by scope, not by the phrase “bereavement paperwork.” In the UK, start with Tell Us Once where eligible, then decide whether you need private notifications or professional estate administration. The safest choice is the provider that clearly states its jurisdiction, coverage, authority requirements, follow-up duties, professional status and complete cost.
