If an Excel workbook was moved or renamed, repair a live external link with Data > Queries and Connections > Workbook Links, select the source entry, choose More Commands > Change source, and point Excel to the correct file. That preserves formulas. Do not use Break links unless you deliberately want to replace those formulas with their current values. If the cell shows #REF!, diagnose the formula itself first: a deleted cell, invalid lookup coordinates, or a function that cannot read a closed workbook may be the real cause.
Make a copy before changing paths, breaking links, or accepting a migration repair. Excel editions and platforms can use slightly different labels, but the same decisions apply: identify the reference type, choose whether formulas must stay live, correct the source or formula, then recalculate and verify representative results.

First identify what is actually broken
Excel uses several kinds of references that can look similar when something changes. Choosing the wrong repair command can leave a workbook apparently fixed while silently removing live calculations.

Workbook link versus hyperlink
A workbook link is a formula reference to another Excel workbook. A formula might look like =SUM([Budget.xlsx]Annual!C10:C25) while the source workbook is open. After the source is closed, Excel may display an equivalent reference such as =SUM('C:Reports[Budget.xlsx]Annual'!C10:C25). A hyperlink is a clickable link in a cell or shape. The Workbook Links repair process changes formula-based workbook links; it does not repair broken hyperlinks. Repair those separately by editing the hyperlink address.

Workbook link versus query or connection
Power Query and other Get Data connections are not ordinary workbook links. Manage their sources and refresh behavior in Data > Queries & Connections (or the equivalent pane in your version), not by changing a Workbook Links entry. A visible value can also come from a defined name, a pivot connection, or another object, so inspect those if no workbook-link entry explains the problem.
What #REF! means
#REF! means that part of the formula refers to an invalid cell, row, column, range, or workbook reference. A moved file can cause a link prompt, but a path change alone cannot repair a formula that points to a deleted column or an impossible lookup coordinate. Treat the error as a formula diagnosis until you have proved that the source path is the only problem.
Protect the workbook and confirm the intended source
- Close any unsaved copy you do not want to alter and duplicate the destination workbook. Give the backup a clear name and keep it outside any automated sync or migration process that might overwrite it.
- Open the destination workbook and note which sheets, cells, charts, names, and reports show stale values or errors. Record a few expected values from the source so you can verify the repair.
- Locate the intended source workbook. Confirm its current filename, folder, SharePoint or OneDrive location, and access permissions. Open it directly to ensure that the file is not merely visible in a disconnected folder.
- Check whether the source is the correct revision. Relinking to a file with the right name but different columns or sheet names can produce plausible yet incorrect results.
Microsoft recommends examining the source before making significant changes. If the source is unavailable because of permissions, network connectivity, cloud status, or an incorrect folder, resolve that access issue first. Do not freeze values just to suppress an update prompt.
Repair a moved or renamed workbook while keeping formulas live
Use this workflow when the source still exists and the destination should continue updating from it.
- Open the destination workbook and allow it to load. If an external-content warning appears, you can postpone updating while you inspect the path; refusing the update means displayed values may remain at their most recently saved state.
- Go to Data > Queries and Connections > Workbook Links. In some Excel versions the command appears directly on the Data tab or uses a slightly different pane name.
- Find the entry for the moved or renamed source. Open its More Commands menu and select Change source.
- Browse to the actual source workbook, select it, and confirm. Excel updates formulas associated with that source entry.
- Recalculate or refresh as appropriate. Use Formulas > Calculate Now or the equivalent calculation command if calculation is set to manual; refresh a connection when the data comes through a query.
- Compare several linked cells with the open source, including a value near the start and end of a range and at least one report or chart that consumes the data.
- Save the repaired workbook only after the values and formulas are correct. Keep the untouched backup until the workbook has passed normal use.
Changing the source at the Workbook Links level is the right choice when the same source moved and many formulas depend on it. It retains the external formulas rather than converting them to static numbers.

Change only one external reference
If one cell points to a different file while the rest of the workbook is correct, select that cell and inspect the formula bar. Replace only the old external workbook path with the new location. Preserve the sheet name, workbook name, and cell or range reference exactly. For example, change the path portion of =SUM('C:OldReports[Budget.xlsx]Annual'!C10:C25) while leaving Annual!C10:C25 unchanged.
Editing a single formula avoids redirecting every reference that happens to use the same Workbook Links entry. It also makes it easier to handle a one-off exception, but it is more error-prone than changing the source centrally when dozens of formulas should move together.
Understand the displayed path
Excel can store relative path information and combine it with the source workbook’s current path when the destination opens. The path shown in the formula bar is therefore not always a complete picture of what is stored. Names or paths containing spaces or non-alphabetical characters are enclosed in single quotation marks. Do not remove those quotes while editing an external reference.
Diagnose #REF! before changing a path
When a cell displays #REF!, click it and read the complete formula. The error may be unrelated to a moved workbook.
A referenced row or column was deleted
A formula such as =SUM(B2,C2,D2) can become invalid after one of its referenced columns is deleted or overwritten. Inspect the sheet’s recent structural changes and compare the formula with neighboring cells. Restore the missing column or revise the formula to the intended surviving cells. Do not relink the workbook unless the formula also contains an external source that changed.

A lookup coordinate is outside its range
Reference functions must request a row and column that exist inside their range. For example, =INDEX(B2:E5,5,5) is invalid because B2:E5 contains four rows and four columns. Reduce the row or column arguments, or expand the range if the fifth row or column is genuinely part of the data. Apply the same check to VLOOKUP, HLOOKUP, CHOOSECOLS, CHOOSEROWS, and similar functions.

INDIRECT points to a closed workbook
An INDIRECT reference that targets a closed external workbook can return #REF!. Open the source workbook when the formula requires it, or redesign the formula so it does not depend on an unsupported closed-workbook reference. Changing the source path in Workbook Links will not make INDIRECT read a closed file.
A dynamic-array formula uses a closed source
Some dynamic-array functions that reference a closed workbook can produce #REF!. Open the source and recalculate to test whether that is the cause. If the workbook must work with the source closed, replace the pattern with a supported design, such as importing the data through a query or storing the needed values locally.
The formula contains both a bad path and a bad reference
Repair the source first only when the external workbook path is demonstrably stale. Then reread the formula. If #REF! remains, correct the invalid cell, range, or function arguments separately. A successful relink does not validate every coordinate inside a formula.
Resolve mapped-drive, UNC, and relative-path problems
Two computers can reach the same server through different path forms. A source opened through a mapped drive such as Z:ReportsBudget.xlsx can create a mapped-drive link, while opening it through a UNC path such as \ServerReportsBudget.xlsx can create a UNC-based link. Excel does not necessarily switch between those forms merely because both routes work.

Check the path each user can access
- Ask the affected user to open the source by the same route used when the link was created.
- Compare the source location shown in Workbook Links with the drive letter or UNC server name available on that computer.
- If a drive letter is not mapped for a user, change the source to a UNC path that the user’s permissions allow, or establish the required mapping consistently.
- For relative links, keep the destination and source in the expected folder relationship. Moving only one folder can change how Excel resolves the stored relative information.
Cloud-synchronized folders add another failure mode: a file can appear in File Explorer while still being online-only, unavailable offline, or blocked by sign-in permissions. Verify that the source opens and that the current account can read it before relinking.
Handle update prompts and an unavailable source
When Excel asks whether to update links, Update attempts to read the source now. Use it after confirming the path and access. If the source is temporarily disconnected, choose Don’t Update to open the workbook without fetching new data. Excel then uses the latest stored result; it has not repaired the link or refreshed the numbers.
Do not interpret a displayed number as proof that the source is available. Test by opening the source, updating the link, and checking a value that changed recently. If the prompt returns on every open, investigate the stored path, credentials, network availability, and whether an unused defined name or hidden sheet still references the old file.

Break links is a data-preservation decision, not a repair. Microsoft states that formulas using the linked workbook are replaced by their current values; the formula logic is removed and future updates from that source stop.

- Confirm that every report, chart, conditional format, and downstream calculation can operate without future source updates.
- In the Workbook Links pane, select the source and choose the command to break links. Menu wording varies by Excel version.
- Inspect key cells afterward. A formerly linked formula should now display a value rather than an external formula.
- Review defined names, query parameters, and other objects separately. Breaking a workbook link does not guarantee that every reference stored elsewhere has been removed.
If the source is merely unavailable today, do not break the link. Keep the backup and restore connectivity or correct the path instead.

Excel for Mac and Power Query differences
Excel for Mac has a Workbook Links workflow for fixing links to data, but the procedure does not repair hyperlinks. Use the Mac equivalent of the Data tab’s Workbook Links command and follow the same source-versus-formula decision.
Files that use Power Query (Get Data) should be managed through Queries & Connections. Edit the query’s data-source settings, credentials, or file path, then refresh it. A query may feed cells that look like ordinary linked values without appearing as a Workbook Links entry, so changing Workbook Links will not fix that connection.
Special case: Google Sheets migration to Microsoft 365
A workbook migrated from Google Sheets can have a different problem from an ordinary moved Excel file. Google IMPORTRANGE formulas do not map directly to Excel in every case, and the source and destination may have new SharePoint or OneDrive identities.
Use the Excel for the web compatibility workflow
- Open the migrated workbook in Excel for the web and locate the compatibility or broken-link card.
- Select the broken link and choose Change source.
- Choose the correct file in the intended SharePoint or OneDrive location.
- Allow the linked content to refresh, then inspect formulas that were flagged for manual attention.
Microsoft documents a migration-specific MigrationSourceID mapping. The original Google file ID must be associated with the destination file for the automated repair path; migration tools may need to configure that mapping. Confirm that both files are in the intended locations and that the account has access.
The compatibility workflow can replace some incompatible Google Sheets functions with Excel equivalents, but Microsoft cautions that some formulas remain for manual repair. Treat an apparently completed migration as a checklist, not a guarantee that every formula is equivalent.
Quick Recap
Choose the right action
| Symptom or goal | Correct first action | What happens to formulas |
|---|---|---|
| The source workbook moved or was renamed and formulas should continue updating | Workbook Links > More Commands > Change source | External formulas remain live and point to the selected source |
| Only one cell has the wrong external file | Edit that cell’s formula bar reference | Only the selected formula changes |
The cell shows #REF! after a column or row was deleted |
Repair the invalid cell or range reference | The formula is corrected; changing a file path is unnecessary |
| A lookup asks for a row or column outside its range | Correct the function arguments or expand the range intentionally | The lookup remains a formula with valid coordinates |
| A query or Get Data source fails | Edit it in Queries & Connections and refresh | Query logic remains managed by the connection |
| The source is temporarily offline | Choose Don’t Update, then restore access | Latest saved values remain; the link is not repaired |
| No future source updates are wanted | Back up, then use Break links | Linked formulas become their current values |
| A migrated Google workbook has broken imports | Use Excel for the web compatibility card and verify source-ID mapping | Some formulas may be converted; others require manual work |
A verification checklist after repair
- Open the selected source directly and confirm it is the intended revision.
- Check the Workbook Links pane for stale entries that were not part of the repair.
- Inspect representative formulas, not just displayed values.
- Force a calculation or refresh and confirm that at least one recently changed source value arrives.
- Check charts, pivot tables, defined names, and hidden sheets that depend on the repaired data.
- Close and reopen the destination workbook to test the path under normal startup conditions.
- Have another user, or the account that normally opens the file, test access when mapped drives, cloud permissions, or network shares are involved.
- Retain the backup until the workbook has completed a normal reporting cycle.
Common mistakes that make a link problem worse
- Breaking links to silence a warning: this deletes the external formula logic and prevents future updates.
- Relinking every entry for a one-cell exception: changing the central source can redirect valid formulas that should remain elsewhere.
- Replacing every
#REF!with a new path: invalid coordinates, deleted cells, and unsupported closed-workbook functions need formula repairs. - Assuming a visible value is current: a declined update or unavailable source can leave the last saved result on screen.
- Ignoring path conventions: mapped-drive and UNC references may be treated as different links even when they reach the same server.
- Using Workbook Links for Power Query: query sources have their own settings and refresh controls.
- Editing a migrated Google formula as if it were an Excel path: source identity and function compatibility may be the underlying issue.
