When an AI office tool cannot use a file or connected app, first identify where the failure occurs: connection, availability, source-file access, search, content retrieval, or a particular action such as editing. Then check the account and permissions at that layer. A connected app does not automatically work in every chat or grant access the signed-in account does not already have.
Start by identifying the failure
Before reconnecting anything, note which AI product you are using, which provider holds the file, the interface (web, desktop, or mobile), and whether the accounts are personal or work/school. Confirm that you are in the intended AI workspace and signed into the provider account that can open the target file.

These are different problems, not interchangeable symptoms. In particular, finding a filename or seeing an app marked connected does not establish that the tool can read the contents or perform every action.
Check whether the signed-in account can open the file
Open the document directly in Google Drive, SharePoint, OneDrive, or the relevant source service while signed into the same account used by the AI connection. If that account cannot open it there, the connector cannot supply access it does not have. Do not broaden sharing beyond what your organization permits.

For ChatGPT’s Google Drive and SharePoint apps, source-service permissions still apply. Microsoft Copilot connectors also use existing source permissions. A connection is not a way around provider access controls.
Confirm provider authorization and administrator approval
If the connection itself fails, select the intended provider account, review the requested permissions, and complete the provider’s authorization flow. In a work or school environment, approval may be controlled at more than one level: the AI workspace administrator can determine whether an app or action is offered, while a Google Workspace or Microsoft Entra administrator may need to approve provider permissions. These administrators may be different people, and an end user may not be able to approve either control.
Google Drive in ChatGPT
Connect the Google account that can open the files. Requested permissions depend on the action: reading files, viewing metadata, and creating or updating files can require different access, and Docs, Sheets, or Slides actions may need additional scopes. Ask the Google Workspace administrator to review and approve only the permissions needed for the intended use. Also check whether the ChatGPT workspace permits the app and action.

SharePoint in ChatGPT
Use the work or school Microsoft account with access to the relevant SharePoint content, complete Microsoft authorization, and obtain Microsoft Entra administrator consent if requested. SharePoint and Microsoft 365 permissions continue to limit retrieval. The ChatGPT SharePoint app supports SharePoint and supported OneDrive for work or school; personal OneDrive is not supported through this app. Personal SharePoint sync is not configurable, and administrator-managed sync has workspace eligibility requirements. Personal Microsoft Copilot connectors
For a personal connector, connect and authorize the service, then enable it in the relevant Copilot interface. Make sure the Microsoft account used for Copilot matches the account used for OneDrive or Outlook; a mismatch can leave the connector unable to find the expected material. These steps apply to Microsoft Copilot connectors, not to ChatGPT’s separate integrations. Microsoft’s connector guidance is at Connecting AI assistants to services using connectors.
If the app is connected but the AI cannot use it
Check whether the app is available in the specific chat, model, interface, and workspace you are using. Start a new chat and try a narrow request, such as asking for one document by its exact title. If the app’s controls are still missing, verify product and workspace availability before repeating authorization.

Then check the requested action. An app that can read a document may not be allowed to edit, create, share, send, or delete one. The action must be supported, its permissions must be approved, workspace policy must allow it, and any user confirmation prompt must be completed. An app-level permission setting does not override provider permissions or workspace rules.

Ask an authorized administrator to assess the impact and approved options.
Separate a missing file from unusable file contents
When a file does not appear in results
Check whether the source has been configured for the relevant workspace, whether the file is within the administrator-managed sync scope, and whether initial indexing has completed. Also recheck the connected account and its direct access. A file outside configured scope, not yet indexed, or inaccessible to that identity may not appear even when the app connection is otherwise healthy.

When the file appears but its contents do not work
A search result can expose a filename or metadata without making the underlying content available for analysis. Check whether the connector supports the file’s format and the task you are asking it to perform. If your provider and organization allow it, uploading the file directly or exporting it to a supported format may be a separate workaround. Uploading does not change what the connector itself supports, and uploads are subject to their own limits.

Check the service and network when permissions look right
If authorization and source access are correct but the problem persists, check the provider’s service status. OpenAI advises against repeatedly disconnecting and reconnecting when app controls remain missing; after checking the relevant settings and status, contact support with what you observed.

For Microsoft 365 Copilot in a managed organization, an administrator should check whether required service endpoints are reachable and whether proxy policies, firewalls, URL filtering, Conditional Access, tenant restrictions, or app controls are blocking the experience. Microsoft also says third-party cookies must be enabled for Copilot in Word, Excel, and PowerPoint for the web. Requirements vary by Copilot experience and application, so administrators should consult the requirements for the exact product surface in use: Microsoft 365 Copilot requirements.
Escalate with the details that help diagnose it
When the issue needs an administrator or support team, provide observations rather than guessing at a root cause. Include:
- The AI product, connected provider, interface, and exact error message
- When the issue began, plus device and operating system
- Whether the account is personal or work/school, and whether it can open the file directly at the source
- Which authorization and administrator-approval steps were completed
- Whether the failure affects one file, all files from one service, or multiple connected apps
- A screenshot where appropriate, avoiding exposure of sensitive information
