If a Word document spills only a little onto a second page, try Word’s Shrink One Page command in the desktop app. It reduces font sizes throughout the document, so save a copy first and check the result for readability. If the overflow comes from excess whitespace or a wide layout, adjust margins, spacing, or orientation instead.
Use Shrink One Page in Word desktop
The command is not displayed by default. Add it to the Quick Access Toolbar, then use it to try to reduce the document by one page. Microsoft describes it as an option for a short document with a small amount of text on its last page; it may not make a longer document fit on a single page.

- In the Quick Access Toolbar, open Customize Quick Access Toolbar, then choose More Commands.
- Under Choose commands from, select All Commands.
- Select Shrink One Page, choose Add, then select OK.
- Select the new Shrink One Page button and inspect the revised document.
Word attempts to shrink the document by one page by reducing text size and spacing. The effect is global: font sizes used in the document are reduced, which can make text too small. Save a separate copy before applying the command. You can undo it immediately with Ctrl+Z, but Microsoft says there is no quick way to restore the original font size after you save and close the document. See Microsoft’s Shrink text to fit in Word instructions.

Word for the web has a different route in Microsoft’s support instructions:
#1 Best Overall
- Compact design saves desktop space and allows for close, comfortable mouse position.
- Optimized key spacing and key travel for fast, fluid typing.
- Sleek, low-profile design complements any workspace.
- Expressive input key[2] for quick access to emojis, symbols, and more.
- Connect up to 3 devices and switch seamlessly between them[1].
- Switch to Edit Mode.
- Press Ctrl+A to select all text.
- Choose Home > Shrink Font Size. Use it again if needed, then review the result in View > Reading View.
If shrinking the text in the web version does not get the document to fit, open it in the desktop Word app and adjust it there. The web and desktop controls are not identical. See Microsoft’s instructions for both versions.
Try layout changes before reducing font size
When the overflow is caused by page geometry or excess spacing, changing the layout may preserve text size better than shrinking every font. Choose the adjustment that addresses the actual cause:

| Option | Best suited to | Trade-off |
|---|---|---|
| Shrink One Page | A short document that barely spills onto another page | Reduces font sizes throughout the document, which may affect readability. |
| Adjust margins or paragraph spacing | Overflow caused by generous margins or spacing | Changes the layout; check any formatting requirements. |
| Change orientation | Wide tables, diagrams, or other broad content | Landscape changes the page shape and may not suit ordinary prose. |
Change margins
Choose Layout > Margins and select a preset or Custom Margins. Word pages use one-inch margins by default, according to Microsoft. Narrower margins can create more usable page area, but keep any required document or print specifications in mind. See Microsoft’s instructions for changing margins.

Change orientation
Choose Layout > Orientation, then select Portrait or Landscape. Landscape can help with wide content, but changes the shape of the page and is not automatically a good fit for text-heavy documents. See Microsoft’s document layout guidance.

Review line and paragraph spacing
Use Word’s paragraph spacing controls to check line spacing and the space before or after paragraphs. Removing excessive spacing can reclaim vertical room without changing font sizes. See Microsoft’s guidance on indents and spacing.

After any change, review the pages in print layout or print preview. Check that text remains readable and that tables, images, and other content have not shifted into an awkward or clipped layout. The result depends on the document’s content, styles, tables, images, and Word version; no single setting guarantees that every document will fit on one page.
