How to Find and Change Outlook Settings in Windows 11

Outlook settings differ between new and classic Outlook. Learn where to change app preferences, notifications, account details, and Windows defaults.

Outlook settings in Windows 11 depend first on which app you have: new Outlook or classic Outlook. Their menus and available controls differ. Outlook’s own settings handle app and account preferences; Windows Settings controls notifications, background permissions, and which app opens email links. Use the matching steps below, and check both places when a setting involves Windows behavior.

Identify whether you have new Outlook or classic Outlook

Before following a settings path, identify your Outlook version. New Outlook and classic Outlook have separate interfaces and instructions. Microsoft’s overview of new Outlook for Windows describes the newer app, while Microsoft’s instructions for switching out of new Outlook cover the toggle some classic Outlook installations provide.

  • New Outlook: It may be preinstalled on Windows 11 or available from the Microsoft Store. Some eligible users can switch to it from another Outlook experience.
  • Classic Outlook: This remains a separate app with its own menus, including the File tab and Account Settings.

If a control described below is missing, confirm which app is open and use Microsoft’s directions for that version rather than assuming the setting is broken. Menu labels and available options may also differ by build, account, or organization policy.

Where settings live: Outlook or Windows

Use Outlook’s settings for preferences within the app, such as mail display, signatures, calendar options, and account configuration. Use Windows 11 Settings for system-level behavior, including notification banners, background permissions, and default apps. Some tasks require both: allowing Outlook notifications in the app does not by itself guarantee Windows will display them.

Import preferences when moving to new Outlook

Microsoft lists a selection of classic Outlook preferences that can be imported into new Outlook. The import is selective, so don’t assume every preference, account detail, or add-in will transfer. For the import to work, classic Outlook’s Store my Outlook settings in the cloud option must be enabled.

  • Mail: Conversation grouping, reading-pane position, message-list density, preview text, signatures, automatic replies, and notification preferences.
  • Calendar: Meeting hours, time zones, reminders, date and time formats, week start, workweek days, and calendar view.

For the current import procedure and the settings covered, see Microsoft’s guide to importing settings and installing add-ins in new Outlook. A work or school administrator may manage some options.

Get Outlook notifications, including when the app is closed

For calendar alerts while new Outlook is closed, Microsoft’s procedure involves Outlook preferences and Windows permissions. Check both if alerts do not appear. The labels may change as the app is updated; follow the current on-screen wording and Microsoft’s new Outlook guidance.

Dell Latitude 5420 14" FHD Business Laptop Computer, Intel Quad-Core i5-1145G7, 16GB DDR4 RAM, 256GB SSD, Camera, HDMI, Windows 11 Pro (Renewed)
  • 256 GB SSD of storage.
  • Multitasking is easy with 16GB of RAM
  • Equipped with a blazing fast Core i5 2.00 GHz processor.
  1. In new Outlook, enable Send notifications when Outlook is closed.
  2. Under Notify me about, expand Calendar and choose Desktop.
  3. In Windows 11, open Settings > System > Notifications, allow Outlook notifications, and check that banners are permitted.
  4. Check Outlook’s background operation permission in Windows if alerts still do not arrive when the app is closed.

Windows notification settings are separate from Outlook’s notification preferences. A setting changed in only one place may not be enough for the behavior you want.

Add an account or change server settings

Outlook for Windows supports Microsoft accounts, work or school accounts, Gmail, Yahoo, iCloud, and Exchange accounts. Some providers require you to change security or account settings on their own website before connecting. See Microsoft’s instructions for adding an email account for the current setup flow.

Change account details in classic Outlook

In classic Outlook, open File > Account Settings > Account Settings, select the account, and choose the available change or repair option. The exact controls depend on the account type and provider. Microsoft’s account-settings guide provides version-specific directions.

Use provider-supplied server values

If you need to configure server details manually, obtain them from your email provider. They can include the account type, incoming and outgoing server names, SSL requirements, ports, and authentication method. Do not substitute guessed values: incorrect details can prevent mail from sending or arriving.

Make Outlook the default email app in Windows 11

Choosing a default email app is a Windows setting, not an Outlook preference. Microsoft’s default-program instructions describe this process; the exact options shown can depend on your installed apps and Windows version.

  1. Open Start and search for Default apps, then open Settings > Apps > Default apps.
  2. Select Outlook from the app list.
  3. Choose the applicable mail file and link types shown, then set Outlook as the default for them.

Coming from Windows Mail, Calendar, or People?

Microsoft says support for the Windows Mail, Calendar, and People apps ended on December 31, 2024, and recommends moving to new Outlook or Outlook.com. This applies to those legacy Windows apps; it does not mean support for classic Outlook ended. See Microsoft’s Windows 11 transition information.
