OCR recognition and transaction-table extraction are separate steps: a searchable PDF can still have its descriptions, dates, and amounts misaligned when copied as plain text.
1. Check the PDF and preserve the original
- Test for selectable text. Open the PDF and try selecting and copying a transaction line. If you can select the text, the file may already contain a text layer; if the page behaves like a single image, OCR is likely needed. A scanned PDF can contain image data only, as Adobe explains.
- Save a backup. Keep an untouched copy of the statement before editing or sending it through a processing service.
2. Prepare the scan for recognition
OCR results depend on the page image being legible. If text is faint, skewed, or cropped, improve the scan before recognition. Adobe’s Scan & OCR tutorial demonstrates enhancing a scanned or camera image, adjusting page borders, and cleaning and straightening the page. Microsoft likewise recommends a clear photo or high-quality scan for document analysis in its bank statement model documentation.

3. Make the scanned PDF searchable in Acrobat
- Open the statement in Acrobat.
- Select All tools > Scan & OCR > In this file.
- Choose the page range and recognition language that match the statement.
- Select Recognize Text. Acrobat adds a searchable text layer to the page; its documented Scan & OCR workflow also covers multi-file recognition.
This makes text searchable and selectable; it does not by itself guarantee that a copied block of text will retain the transaction table’s row and column structure.
4. Turn the transaction table into spreadsheet rows
If the statement has a clear table, export or copy the table into a spreadsheet and confirm that every date, description, and amount remains on the same transaction row. Avoid treating OCR’s plain-text output as a finished ledger: wrapped descriptions, separate debit and credit columns, or a balance column can be flattened into an ambiguous text sequence.

For recurring or programmatic processing, document-analysis APIs can return more structure than basic OCR:
- AWS Textract: Its document analysis supports text, tables, and structured data, and provides confidence scores and bounding boxes for detected elements. This is better suited to an integration or repeated workload than a one-off, no-code task.
- Azure AI Document Intelligence: Microsoft’s documented
prebuilt-bankStatement.usmodel extracts statement and transaction details as structured JSON from US bank statements. The documented scope is US statements, not bank statements worldwide. The service accepts PDFs and recommends a clear, high-quality scan; see the model documentation. - Adobe PDF Extract API: For a developer workflow, the PDF Extract API extracts text, tables, images, and other structure from native and scanned PDFs into JSON; tables can also be provided as CSV or XLSX. This is distinct from the consumer Acrobat OCR steps above.
5. Review and reconcile the extracted transactions
Compare the output with the original statement before relying on it. Adobe specifically advises users: “After running OCR, review the document to ensure the text is accurate and complete.” If you find mistakes, correct them or rerun OCR with adjusted settings, as described in its OCR guidance.

- Check transaction dates, especially where the date format could be ambiguous.
- Compare each description and amount with its position on the original page.
- Verify debit and credit signs, decimal points, and any separate debit/credit columns.
- Where the statement provides them, compare transaction counts and opening, closing, or running balances. These are useful checks, not a guarantee that extraction is correct.

Choose based on whether the job is one-off or recurring, whether you need searchable text or structured transaction rows, the statement’s country and language, the desired output format, and whether cloud processing is acceptable for the financial data. None of the cited vendor documentation establishes a universal accuracy rate: results depend on the statement, scan quality, and software or model configuration.
