How to Export Research Paper Metadata and Citation Counts to CSV

A practical guide to exporting paper records and citation counts, choosing between direct CSV and API workflows, and documenting each count’s source and retrieval date.

For a one-time spreadsheet, OpenAlex provides a direct CSV export from its works results. For repeatable downloads or precise field selection, use an API and save the returned records as CSV. In either case, keep the database name and retrieval date with each citation count: counts belong to individual indexes, not to a universal tally.

Choose the source and export route

Source Documented route Limits and access notes
OpenAlex Export works results as CSV, RIS, or text; API supports filters, search, sorting, grouping, paging, and field selection. OpenAlex documents a maximum web export of 100,000 works. Large exports may take several minutes. The export dialog may offer an Excel compatibility option that shortens long column values. OpenAlex export help · OpenAlex API reference
Semantic Scholar Academic Graph API: request paper fields and follow pagination tokens; the API includes citation-related fields and a minCitationCount filter. Limits are endpoint-specific. The documentation lists limits including 500 paper IDs per request, 10 MB per response, and up to 9,999 citations in relevant API contexts; check the current endpoint documentation before a large run. The FAQ describes downloadable Academic Graph datasets as updated monthly. Academic Graph API documentation · Semantic Scholar FAQ
Scopus Select records in results and use Export. Results display the Scopus-specific “Cited by” count. Scopus documents Citation overview for groups of up to 10,000 selected documents. That is a Citation overview selection limit, not a general CSV row limit. Available export fields may vary; check the export dialog and your account. Scopus document search results help
Web of Science Clarivate documents an API route for item-level metadata and times-cited counts. API availability and workflow depend on product and subscription entitlement; the documentation does not establish a universal CSV button for every interface. Clarivate Web of Science API
Google Scholar No official web export or API route is established by the evidence available here. A 2025 repository study reports that the web interface has no data-export capability and no API. This is secondary rather than current official Google documentation, so verify current capabilities independently and do not treat scraping as an official route.

Export a one-time CSV from OpenAlex

  1. Open the OpenAlex works interface and search for papers or refine the results with the filters relevant to your project.
  2. Review the result set before exporting. OpenAlex documents an export control above works results; choose CSV (described as spreadsheet CSV) from the available formats.
  3. Inspect the export options and columns. If you open the file in Excel, decide whether to enable “Shorten column values for Excel compatibility”: it can make long values easier to handle, but truncates data.
  4. Save the file with a meaningful name and record the exact query, filters, database name, and date you exported it.

OpenAlex documents a maximum web export of 100,000 works. If the result set is larger, narrow the query or use its API with paging rather than assuming the interface can export an unlimited result set. The help page says large exports may take several minutes.

Build a repeatable CSV with an API

An API is usually the better choice when you need consistent columns, repeat runs, or a large filtered collection. APIs return structured records rather than a finished spreadsheet, so your script or data tool must collect every page and write the selected values to a CSV file.

Semantic Scholar Academic Graph API

Use the Academic Graph API documentation to identify the paper endpoint, request the paper fields your project needs, and follow pagination tokens until the result set is complete. Citation-related fields and the minCitationCount filter are documented. Check the current limits for the particular endpoint you use; the published constraints do not necessarily apply identically to every operation. Semantic Scholar’s FAQ describes its downloadable Academic Graph datasets as updated monthly, which is useful context if a periodically refreshed bulk dataset fits your task better than individual API requests.

OpenAlex API

OpenAlex’s API supports searching, filtering, sorting, grouping, paging, and selecting fields. Use those controls to define a repeatable query and keep only the fields required for your analysis. Save the query and selected fields alongside the output so another run can be compared or reproduced.

Scopus and Web of Science APIs or exports

For Scopus, follow the selection and export controls available in your results interface, then verify which fields your account makes available. For Web of Science, Clarivate documents an API for exporting item metadata and times-cited counts; check that your subscription entitles you to the relevant API product and workflow. Do not assume that an API or export field set is identical across institutions or account types.

Keep metadata and citation counts interpretable

Before downloading, decide what one row represents—typically one indexed work—and retain enough fields to identify it later. Where available, include a DOI or database identifier, title, authors, publication year, and venue. Inspect the actual export columns because available fields vary by service and may depend on access level.

  • Use a source-specific count heading, such as OpenAlex cited_by_count or Scopus Cited by.
  • Record the retrieval date and the database or index that supplied each count.
  • Preserve the search query, filters, and export or API settings in a separate notes file or accompanying columns.
  • If combining indexes, keep their counts in separate columns rather than merging them into a single number.

A Scopus “Cited by” value counts citations from other documents in Scopus. OpenAlex and Semantic Scholar maintain separate indexes and count fields. Their totals can differ because the indexes cover and match records differently; there is no single “true” count without specifying a corpus and counting method.

Check the CSV before analysis

After export, open the file in a spreadsheet or inspect it with a CSV-aware tool. Confirm that column headers and row counts make sense, then compare a few records with the source interface. Check especially that commas and quotation marks inside titles or abstracts have not shifted fields, Unicode author names display correctly, and long abstract or keyword cells remain intact. If the file was shortened for Excel compatibility, do not use truncated values as complete source metadata.
