Export your important notes to files you can open outside the original app, keep an editable copy when the app supports one, and verify those files before uninstalling, resetting, or changing devices. Sync is not automatically a file backup. The available formats and batch tools depend on the app, operating system, account and plan, so use the workflow below rather than assuming every app has a universal export.
Export first, then switch
A safe migration has three separate actions: create an export, place it somewhere you can browse without the source app, and open the result to check it. An app may synchronize its private library between devices without creating ordinary files in your cloud drive. If you uninstall the app or lose access to an account before making a separate export, that synchronized copy may not help you move to a different note system.

Start with the notes that would be difficult or impossible to recreate: handwritten lecture books, signed forms, sketches, project notebooks, and pages containing attached scans. Record where each exported file is saved. Keep the source app installed until the files pass your checks.
Build an inventory before exporting
Inventory prevents a common migration error: exporting visible pages while overlooking folders, attachments or notebooks that are stored elsewhere.

- Mark notes that must stay editable. A PDF is usually a viewing copy, not an equivalent working document.
- Identify attachments. Check attached PDFs, scans, images and audio separately; an export can handle an attachment differently from handwritten ink.
- Separate high-risk material. Put legal, financial, medical and irreplaceable notes in a priority list and export them first.
- Choose a destination you can browse. A folder in Files, a computer folder, a supported cloud drive or another external location is more useful than leaving the only copy in an app library.
Use a simple naming pattern such as 2025-2026 Biology - Lectures or Client meeting - 2026-10-13. Names that include the notebook and date make missing exports easier to spot.
Export formats: choose for the next task
The right format depends on whether you need to continue editing, read the notes on another device, or preserve a folder for reference. When an app offers more than one format, keep two useful forms instead of forcing one file to do every job.
| Format or output | Best use | Important limitation |
|---|---|---|
| App-native document | Re-importing into the same app or retaining that app’s editing model | Often depends on the original app and its supported platforms |
| Reading, printing and opening on devices without the source app | Flattened or static; later edits in the source app do not follow it | |
| Image export | Individual pages that need to be placed in another document or image workflow | Does not preserve notebook structure or app-specific editing features |
| Folder ZIP | Moving a group of notebooks while retaining their folder hierarchy | Requires an app and platform that support folder export |
Goodnotes calls its native file a Goodnotes Document. It is intended for import back into Goodnotes and continued editing there. Its PDF export is broadly viewable but flattened, so handwriting is not preserved as the same editable object. Microsoft describes a OneNote PDF in similar terms: “When you save as a PDF, you’re saving a static snapshot of your notes.”

Goodnotes: export and backup paths
Export individual documents, pages or folders on iPhone and iPad
Goodnotes on iOS and iPadOS supports exporting one or multiple documents, selected pages and folders. To move a whole folder, use the library’s export command for that folder and choose the available file destination. The folder export is packaged as a ZIP and preserves the folder structure, which is more useful than exporting every notebook into one undifferentiated pile of PDFs.
- Open the Goodnotes library and identify the document, page selection or folder you need.
- Use the library or document Share/Export command and select the required scope: selected pages, a document, multiple documents or a folder.
- Choose Goodnotes Document if you may re-import and edit in Goodnotes.
- Choose PDF when the priority is viewing outside Goodnotes, printing or handing the notes to another app.
- Use the system share sheet and select Save to Files or another destination you can open independently of Goodnotes.
- For a folder export, confirm that the resulting ZIP appears in the destination and that its internal hierarchy is present after opening it.
Exporting a folder is not the same as relying on iCloud Sync. Goodnotes says iCloud Sync keeps the library available across Apple devices, but it does not create individual notebook files that you can browse in iCloud Drive or the Files app. A manual export followed by Save to Files is the route to ordinary, browseable files in that location.
Use Auto Backup as a separate, one-way copy
On iOS and iPadOS, Goodnotes Auto Backup can copy notes to Google Drive, Dropbox, OneDrive or a WebDAV destination. Goodnotes explicitly describes this as “a one-way process”: changes in the destination do not edit the Goodnotes library. It is therefore different from two-way iCloud Sync and should be treated as a second copy, not as a way to edit the source from the cloud.

Auto Backup is available on iOS and iPadOS, not in Goodnotes for macOS. Goodnotes says its default background behavior usually waits about 12 hours after a successful background backup before the next run. An increased-frequency option runs about every 1–2 minutes. The default interval means work completed shortly before a device change may still be absent from the cloud copy.
- Open Goodnotes settings and locate Auto Backup.
- Choose a supported destination: Google Drive, Dropbox, OneDrive or WebDAV.
- Choose the export format and destination folder according to whether you need editable Goodnotes files, PDFs or both.
- Before a reset, operating-system update or device switch, select Back Up Now rather than waiting for the normal background cadence.
- For the first full upload, keep Goodnotes visible and watch its backup status. Do not assume that starting the command means every notebook has finished uploading.
- Open the destination independently and inspect several recent files before changing devices.
Auto Backup does not support iCloud Drive. If iCloud Drive is your required destination, manually export the files and save them to Files instead.
Goodnotes on Android, Windows and Web
The documented workflows for Goodnotes on Android, Windows and the Web describe exporting individual notebooks as PDFs. The downloaded file typically appears in the device’s Downloads folder. Those platforms do not currently provide a full manual library-backup function in the same way as a complete library archive, so export important notebooks and store the resulting files separately.
Because these workflows are notebook-by-notebook, use a checklist and mark each export as it completes. Do not assume that signing in on a new device is equivalent to producing a portable backup. Feature availability can vary with platform, device, account and plan.
OneNote: make a PDF snapshot of the current content
Microsoft’s instructions for Microsoft 365, OneNote 2024, OneNote 2021 and OneNote 2016 describe exporting the current page or content to PDF. The resulting file captures the state at export time. Edits made later in OneNote do not update that PDF.

- Choose File > Export.
- Select the scope offered for the current page or content.
- Choose PDF and complete the save dialog.
- Open the saved PDF outside OneNote and check that handwriting, page order and any visible attachments are present.
If you expect to keep editing in OneNote, retain the original notebook as long as possible in addition to the PDF snapshots. A PDF is useful for portability, but it is not a re-importable OneNote notebook.

Apple Notes on iPhone: export PDFs and Markdown carefully
Apple’s current iPhone guidance documents exporting an individual note as a PDF and as Markdown. Use PDF when the note’s appearance and handwriting are the priority; use Markdown when you need text in a plain, portable structure and the note’s content supports that representation.
There is an important attachment edge case: when a note contains a multipage PDF or scanned document, the exported PDF includes only the first page of that attached file. Before treating the note export as complete, open the original attachment and save or export it separately.
Apple also notes that drawings cannot be edited in Pages. Tags, mentions, checklists and links to notes do not remain active items in the resulting Pages document. If any of those features matter, keep the original note or capture the information in a format that preserves the intended behavior.
- Open the individual note on iPhone.
- Use the note’s share or export command and select PDF or Markdown, depending on your next application.
- Save the result to Files or another independent destination.
- For every attached multipage PDF or scan, export the attachment itself as a separate file.
- Open the saved files and compare page counts and attachment contents with the original note.
Sync, backup and export are different jobs
| Action | What it normally provides | What it does not guarantee |
|---|---|---|
| App sync | Keeps an app library aligned across supported devices | Browseable files, a format another app can import, or protection from account and app-access problems |
| One-way auto backup | A separate copy sent to a supported cloud destination | Two-way editing or instant upload of work completed just before a switch |
| Manual export | Files you can name, move, open and verify independently | Perfect preservation of every app-specific feature or attachment relationship |
Goodnotes provides a clear example. iCloud Sync operates at the library level and does not expose individual files in iCloud Drive. Auto Backup copies outward to selected services and does not copy changes back. Manual export creates files that you can inspect in Files or another storage location.
Keep two copies when the app allows it
For valuable handwritten material, the strongest practical combination is an editable source-app file plus a broadly viewable copy.
- Editable copy: Use the app-native format, such as a Goodnotes Document, when you may return to the same app.
- Viewing copy: Use PDF for a stable representation that can be opened without the source app.
- Attachment copy: Export multipage PDFs, scans and other important attachments separately when the app’s export rules can truncate or flatten them.
This approach does not make proprietary formats universally importable. It gives you a way to continue in the original app while retaining a readable fallback if the next app cannot interpret the native file.

Verify every export before uninstalling anything
An export is only useful if it is complete and readable. Verification should happen while the original notes are still available for comparison.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
- Check the file exists. Browse to the destination without opening the source app.
- Open representative files. Test a short note, a long notebook, a page with dense handwriting and a page with drawings.
- Compare page counts. A mismatch can reveal an incomplete export or an attachment that was handled separately.
- Inspect handwriting at normal and zoomed sizes. Look for missing strokes, blank pages, clipped margins or unreadable ink.
- Check names and order. Make sure notebook names, page order and folder hierarchy survived the export.
- Open attachments independently. Verify every multipage PDF or scan, not just the page on which it was attached.
- Test the destination on another device or account when practical. A file that exists but cannot be opened where you need it is not a completed migration.
Keep a short migration checklist with one line per notebook and columns for native export, PDF export, attachment check and verification date. This is especially important when Android, Windows or Web workflows require individual notebook exports.

“My synced notes are not visible in Files.”
This is expected for Goodnotes iCloud Sync: it synchronizes the app library rather than creating individual files in iCloud Drive. Return to the source app, manually export the required documents and choose Save to Files or another browseable destination.
“The cloud backup is missing today’s pages.”
Do not rely on a default background interval immediately before a switch. In Goodnotes, recent work may still be waiting under the usual roughly 12-hour cadence. Use Back Up Now, keep the app visible during the first full upload and confirm the destination status and files.
“The PDF opens, but I cannot edit it like the original.”
That is the normal trade-off for a flattened or static PDF. Re-export in the source app’s native format when the app supports it and you need continued editing there. Keep the PDF as the portable viewing copy.

Use a folder-level export where the platform supports it. Goodnotes on iOS and iPadOS can package a selected folder as a ZIP while preserving the hierarchy. Notebook-by-notebook PDF exports on Android, Windows and Web require you to recreate organization with consistent names and destination folders.

“An attached scan is incomplete.”
Check whether the export includes only a preview or first page. Apple specifically warns that an iPhone note’s exported PDF contains only the first page of an attached multipage PDF or scanned document. Export the attachment separately and verify its full page count.
“The export option is missing.”
Check the platform, app edition, account and plan. Export and backup features are not uniform across operating systems. If a full-library backup is unavailable, export the most important notebooks individually, save them outside the app and verify them before switching.
A decision framework for choosing your migration path
Choose native plus PDF when editability matters
Use this path for school notes, working designs or notebooks you may revise. Save the app-native document for re-import and a PDF for independent reading. This is the most resilient option when the source app supports both formats.

Use PDF for records that need to be opened, printed or shared without the original app. Remember that the result is a snapshot and may not retain active checklists, tags, links or other app-specific behavior.
Choose folder or batch export when structure matters
Use a folder-level export where available, particularly for Goodnotes on iOS and iPadOS. If the platform only exports one notebook at a time, plan a naming convention and a completion checklist before starting.
Choose manual export plus a separate backup destination before a major event
Before a factory reset, device replacement or app migration, trigger the latest manual backup, then export the most important items to a location you can browse. A second destination reduces the chance that a delayed upload or account problem becomes your only failure point.
Final pre-switch checklist
- Every important notebook, folder and page is listed.
- Notes that need future editing have a native-format copy where available.
- Portable PDFs or images exist for viewing outside the source app.
- Multipage PDFs and scans have been checked or exported separately.
- Goodnotes users have distinguished iCloud Sync from file export and have used Back Up Now before the switch.
- Auto Backup users have confirmed the destination and waited for completion.
- Android, Windows and Web users have exported each important Goodnotes notebook rather than assuming a full library archive exists.
- Files open from their saved location, with readable handwriting, correct page counts and expected folder structure.
- The original app remains installed until verification is complete.
Only after these checks should you uninstall the old app, erase the old device or make the new note-taking app your primary workspace. The goal is not merely to have a cloud status that says “synced”; it is to possess readable, retrievable files and, where possible, an editable copy suited to the next stage of your notes.
