Use Word’s built-in PDF export, then open the PDF and check its links and layout before sharing it. PDF is designed to preserve a document’s appearance across computers, but Microsoft does not guarantee identical results for every Word version, font setup, document, or PDF viewer.
Before you export: prepare the Word document
Save the editable Word file first. On a Mac, give the PDF a different filename so you keep both versions; Microsoft recommends this in its Mac PDF instructions.

- Use descriptive hyperlink text that identifies the destination instead of labels such as “click here.”
- Apply Word’s built-in heading styles to organize the document, and add alt text to meaningful images if accessibility matters.
- Run Word’s Accessibility Checker before exporting when accessible output is important.
- After export, pay particular attention to unusual fonts, complex tables, floating images, headers and footers, and section-specific page breaks. These are practical review points, not a Microsoft-published list of guaranteed problem areas.

Export from Word on Windows or another desktop platform
Use Word’s built-in PDF save or export workflow rather than an unrelated virtual printer. Microsoft’s Office desktop PDF/XPS guidance covers the export process, including choosing PDF and using the Options step before publishing. Exact menu names and placement depend on the Word app and version, so follow the PDF or export choices available in your installation.

The desktop guidance covers multiple Word generations, including Microsoft 365 and Word 2024, 2021, 2019, and 2016. It describes PDF as looking the same on most computers; that is the format’s intended benefit, not a promise of pixel-identical rendering in every environment.
Export a PDF in Word for Mac
Microsoft’s Mac instructions apply to Word for Microsoft 365 for Mac, Word 2024 for Mac, and Word 2021 for Mac. Follow this path:

- Choose File > Save As.
- Enter a filename different from the Word document’s name.
- Choose PDF in the File Format box.
- Select Export.
Microsoft says the PDF will retain formatting and often be smaller than the original in its Word for Mac instructions. Treat that as the expected purpose of export, not a guarantee that every document element will render identically in every viewer.
Export from Word for the web or choose accessible output

Microsoft documents this web workflow: choose File > Save As > Download as PDF. Its accessible PDF article also describes automatic tagging support for Word on the web, Microsoft 365 Word on Windows, and Word for Mac. Menu wording or availability may vary as the service changes.

Choose the electronic-distribution and accessibility option when appropriate
Where available, Word may offer Best for electronic distribution and accessibility (uses Microsoft online service). Microsoft says this option sends the document to a secure Microsoft service for conversion and returns the result immediately; the service does not store the file content on its servers. Because it uses an online service, confirm that the option is permitted for your organization and suitable for protected or sensitive documents before using it.
Check the PDF’s links and formatting before sending
Open the exported file in a PDF viewer and inspect the actual deliverable. Microsoft’s guidance supports tagged navigation, accessible hyperlink text, and the goal of retained formatting, but does not promise that every link will survive every export route or provide a universal fidelity test.

- Open the PDF and compare its page count and overall appearance with Word’s print layout.
- Review headings, line and page breaks, tables, images, headers, and footers on representative pages.
- Click a sample of external links and internal links or bookmarks. Include links inside tables if the document has them.
- If a link or layout issue matters, fix it in the Word source, export again, and recheck the revised PDF.
