How to Evaluate Documentation Tools for an Open-Source Project

A practical framework for comparing documentation authoring tools, static generators, and hosted platforms around your project’s content, contributors, releases, and maintenance capacity.
Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Choose documentation tools by testing how well they fit your content, contributors, release policy, and maintenance capacity—not by picking the most attractive theme. First separate the three jobs involved: authoring and organizing source content, generating the published site, and hosting or deploying it. One tool may handle only one or two of those jobs.

Start by separating authoring, building, and hosting

A documentation workflow has three distinct layers:

As an Amazon Associate I earn from qualifying purchases.

  • Authoring: the formats and tools contributors use to write and review source content.
  • Building: the generator that turns source files into pages, navigation, and other site assets.
  • Hosting and deployment: the service or infrastructure that runs builds and serves the published site.

MkDocs, for example, generates static HTML that can be served from different hosting providers. Read the Docs combines Git-based build automation with documentation hosting. They therefore are not interchangeable choices in every part of the workflow. Compare the specific jobs your project needs, including whether your team wants to own its CI and hosting setup or use a managed service. MkDocs documentation describes its static output, while Read the Docs documentation describes its build and hosting workflow.

Set requirements before comparing tools

Write down what the project’s documentation must do. Treat essential requirements as pass/fail; score preferences only after a tool meets those requirements.

  • Content: list tutorials, installation and configuration guides, API or reference material, release notes, diagrams, code examples, localization, and existing source files.
  • Formats: identify whether contributors need Markdown, MDX, reStructuredText, AsciiDoc, notebooks, or another format. MkDocs is Markdown-focused. Read the Docs lists tools and workflows spanning Markdown and MDX, Sphinx formats, and AsciiDoc through Antora. MkDocs and Read the Docs’ documentation tools list describe those options.
  • Contributor workflow: record whether contributors use Git, need pull-request previews, want a local preview, and can diagnose build errors. MkDocs documents a local preview server with automatic reload; Read the Docs documents pull-request previews. These are features to try in your project, not proof that one workflow is easier for every team. MkDocs documentation; Read the Docs documentation.
  • Ownership: decide who maintains dependencies, plugins, build configuration, domains, and deployment—and who responds when a build or publication fails.
  • Governance: establish account and domain ownership, privacy needs, acceptable service dependencies, and any plan limits or paid capabilities the project requires.

Compare the approaches that fit your requirements

Use this as a shortlist, not a ranking. The descriptions below come from the projects’ or platform’s documentation; they are not independent measurements of speed, usability, or reliability.

Approach What the documentation establishes What to test for your project
MkDocs Markdown source, a YAML configuration file, themes and plugins, local preview with automatic reload, and static HTML suitable for hosting in multiple places. Whether Markdown and available extensions cover your content; how much theme or plugin configuration you must own; and who builds and deploys the static output.
Read the Docs Git-based automatic builds, multiple documentation versions, pull-request previews, configuration and reproducible-build guidance, localization, redirects, and Community and Business offerings. Its documentation says the Community offering hosts over 100,000 open-source projects at no cost; the page does not give a publication year for that figure. Whether managed builds, hosted versions, and previews suit your workflow; and whether current terms, limits, and plan details meet the project’s needs.
Docusaurus Documentation routes and a versioning workflow that copies current docs into versioned content. Whether the project needs those snapshots and can maintain them. Its guidance warns versioning can increase build time and codebase complexity and make contributor improvements harder.
Sphinx Listed by Read the Docs as a technical documentation generator supporting reStructuredText and Markdown. Whether required content or an existing Sphinx ecosystem makes it a fit; test the necessary extensions and build setup.
Antora Listed by Read the Docs as an AsciiDoc site generator. Whether the project’s existing content and contributor skills suit AsciiDoc. The cited tools list does not establish a detailed feature comparison.

Choose a release-version policy before enabling versioning

Versioned documentation is a product and maintenance decision. Decide what readers need before turning on a tool’s versioning feature:

  • Will the site publish only the current documentation, the current and unreleased documentation, or manuals for supported release branches?
  • How many software releases must remain documented, and who will correct errors in older manuals?
  • How will readers distinguish current, unreleased, and unsupported documentation in navigation and URLs?

Docusaurus’s versioning workflow copies current documentation into versioned content. Its official guidance cautions: “Most of the time, you don’t need versioning as it will just increase your build time, and introduce complexity to your codebase.” That is product guidance, not a measured comparison. Read the Docs also documents multi-version hosting; test whether its approach matches the project’s release process. Docusaurus versioning guidance; Read the Docs documentation.

Prototype the experience contributors and readers will actually use

Do not decide from feature lists alone. Build the same small but representative sample in each shortlisted approach:

  • A landing page and a long guide with headings and internal links.
  • An API or other reference page, a code example, and an image.
  • One older release manual, if versioning is a requirement.

Then ask a new contributor to make and review a change, and ask a project reader to complete realistic tasks such as finding an installation instruction or a configuration option. Observe how each prototype handles:

Measure maintenance and portability across a release cycle

Initial setup is only one part of the cost. Estimate ongoing work over a release cycle, including dependency and plugin upgrades, broken links, version snapshots, build failures, account administration, and deployment ownership. Ask whether more than one maintainer can reproduce and fix a build, and whether the project can retain its source files and move to another generator or host if its needs change.

Reproducible builds are worth checking directly: Read the Docs provides guidance for configuring them, but that guidance is not evidence that a specific project’s builds will be reliable or maintenance-free. Prototype the actual workflow, document how to recover from a failed build, and identify who owns each part of publication. Read the Docs documentation.

Make the decision with a project-specific scorecard

Shortlist two or three approaches that meet the required formats and hosting constraints. Include a static generator and a hosted build-and-host service as separate entries when both models are viable. For each candidate, record pass/fail against required capabilities, then score the trade-offs that matter to your project—such as contributor friction, release handling, and ongoing ownership. Use evidence from the prototype, not assumptions about a tool’s popularity or a feature list.

Before adopting the result, check current service terms, limits, and tool versions in their official documentation; plans and capabilities can change. Read the Docs distinguishes Community and Business offerings, so confirm the terms that apply to the project rather than assuming a plan fits indefinitely. Read the Docs documentation.
