In Outlook, a contact group is usually the same thing as a distribution list: a reusable list of recipients you can email as one address. If you need to add a teammate, remove someone, or rename the group, you’ll want to edit the group itself—not just change recipients in a single email.
This guide shows exactly how to edit a contact group in Outlook across the major clients used in 2024: Outlook for Windows (classic), New Outlook for Windows, Outlook on the web, and Outlook for Mac. You’ll also learn the rules that determine whether the editor works and what to do when changes don’t update.

What a Contact Group (Distribution List) Is in Outlook
Contact groups in Outlook are stored as distribution lists. Depending on your organization and mailbox setup, they may live in your local Outlook profile, Exchange Online, or another mail system.
When you edit a contact group, you’re typically changing one or more of these fields:
#1 Best Overall
- [Ideal for One Person] — With a one-time purchase of Microsoft Office Home & Business 2024, you can create, organize, and get things done.
- [Classic Office Apps] — Includes Word, Excel, PowerPoint, Outlook and OneNote.
- [Desktop Only & Customer Support] — To install and use on one PC or Mac, on desktop only. Microsoft 365 has your back with readily available technical support through chat or phone.
- Group name (display name)
- Email address (for example,
[email protected]) - Members (who receives emails sent to the group)
- Member types (individual contacts vs. recipients)
- Delivery management (who can send to the group, often controlled by the server)
Before You Start: Prerequisites and What Can Limit Editing
Editing works differently depending on how the group is managed (local vs. server-side) and what version of Outlook you’re using.
Confirm which Outlook you’re using
On Windows, you may be using classic Outlook or New Outlook for Windows. On Mac, it’s Outlook for Mac. On any platform via browser, it’s Outlook on the web (OWA).
Know the editing constraints
- Server-managed groups (common in Microsoft 365/Exchange) may restrict who can change membership.
- Shared mailboxes can be editable only if you have the right permissions.
- Address book visibility affects what you can find when adding members (contacts vs. directory users).
- Some fields are not editable in Outlook even if the group is visible to you (especially mail delivery settings).
How to Edit a Contact Group in Outlook for Windows (Classic Outlook)
Classic Outlook is the most feature-complete client for distribution lists. Use these steps if you’re on Windows and your Outlook matches the traditional desktop layout.

- Edit in Classic Outlook if available in your environment.
How to Edit a Contact Group in Outlook on the Web (OWA)
Outlook on the web is often the most consistent option across devices and works well when desktop options are limited.
Step-by-step: Edit distribution list membership in OWA
- Sign in to Outlook on the web at your organization’s Outlook URL.
- Click the People icon (or the app launcher, then People).
- In the left navigation, choose Contact lists or Groups (the label varies by tenant).
- Locate the contact group by name.
- Select the group to open its details.
- Click Edit.
- Update the Members list:
- Add members by searching for names and selecting recipients.
- Remove members by selecting them in the list and choosing Remove.
- Click Save.
OWA won’t show edit controls
- You may not have permission to modify the group.
- Some groups are managed in the Microsoft 365 admin center or by Exchange policies.
- If you’re editing a shared mailbox group, make sure you’re signed in with a user that has access.
How to Edit a Contact Group in Outlook for Mac
Outlook for Mac supports distribution list editing, but the exact menu names can differ by macOS and Outlook version. The overall workflow is consistent: open People, open the group, then edit members.

Step-by-step: Edit group membership on Mac
- Open Outlook on your Mac.
- Go to People.
- Find Contact Groups in the left sidebar (or search for your group name).
- Select the contact group, then click to open it.
- Choose Edit.
- To add members, select the member-adding option (often Add or + Add), pick from contacts/address book, then confirm.
- To remove members, select a member and choose Remove or delete from the list.
- Click Save or Done.
If you can open but not save
That usually points to permissions (server-side restrictions) or a sync issue. Try saving again after waiting 30–60 seconds, or edit the group in Outlook on the web as a workaround.
What You Can and Can’t Change (Important Rules)
Outlook can edit membership for many contact groups, but not every property is editable from the client UI.
Commonly editable in Outlook
- Group display name
- List of members (add/remove)
- Member source selection (contacts vs. directory)
Often not editable from Outlook
- Delivery management rules (who can send to the group)
- Advanced moderation settings
- Some email/security/alias settings
- External send/receive restrictions
Check member type behavior
When you add members, Outlook may interpret entries as either:

If editing appears to work but emails still go to the old member list, don’t assume Outlook is broken. Distribution lists can also be affected by caching, sync delay, and server-side management.
1) Confirm you saved the correct group
- After clicking Save, reopen the group and verify the member list is actually updated.
- If you have multiple mailboxes, confirm you edited the one that owns the group.
2) Wait for directory/address resolution
For server-managed lists, changes can take a short time to propagate. Try sending a test email 5–15 minutes later, especially if the group is in Exchange Online.
3) Check for caching effects
- Close Outlook fully, then reopen it.
- On Windows, if you use cached mode with Exchange, a restart often clears stale address book data.
- For web, do a hard refresh in the browser.
4) The group is permission-restricted
If you can open the group but cannot edit or Save stays disabled, you likely don’t have the right permission. Ask your Microsoft 365 admin to grant you rights or change membership rules.
5) Sync is failing
- Sign out and sign back in (OWA).
- On mobile or desktop clients, trigger a sync by forcing a refresh (or restart the app).
- Verify your account is connected to the same mailbox that contains the contact group.
6) You’re editing a different object than you think
Sometimes what looks like a “group” in Outlook is actually a Microsoft 365 Group or a Team. Those have their own membership rules and editing flows.

Common Mistakes to Avoid
- Editing a suggested recipient list instead of the group: make sure you’re in the group editor window.
- Adding duplicates: a member can be listed multiple times if you add them from different sources. Remove duplicates if your UI allows.
- Not saving & closing in classic Outlook: if you change members but forget Save & Close, your updates may not persist.
- Assuming address book changes update groups automatically: contact-group membership is separate from contacts.
- Editing the wrong mailbox: shared mailboxes and delegates can make it easy to target the wrong address book.
Contact Group vs. Microsoft 365 Group vs. Team: Know What You’re Editing
This distinction matters because each type has different membership and permissions.
| Object type | Where you see it | Typical member management | Edit method |
|---|---|---|---|
| Contact group / distribution list | People > Contact Groups / Contact lists | Usually distribution list membership | Edit the group in Outlook or OWA (if permitted) |
| Microsoft 365 Group | Outlook Groups and Microsoft 365 experiences | Members/owners in M365 group settings | Often managed in Microsoft 365 admin/user settings |
| Team | Microsoft Teams integration | Teams membership and channel access | Edit in Teams (and sometimes connected M365 group) |
If you’re trying to remove or add people and nothing changes, double-check which object you’re editing and whether Outlook is only showing a “view” rather than the true membership store.
FAQ
Can I edit a contact group if it was created by someone else?
Usually yes, but only if you have permission. If the group is server-managed (common in Microsoft 365), your organization may restrict membership changes to owners or specific roles.
Why do emails still go to removed members after I edit the group?
Most commonly, it’s either a save/sync issue or propagation delay (especially for server-managed lists). Verify the member list after saving, then wait 5–15 minutes and test again.
Quick wins for a faster PC:
Clear out junk files and repair common Windows errorsFree Scan →Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →Can I change the email address of a contact group in Outlook?
Often you can edit the display name, but changing the underlying SMTP/email address may not be supported from Outlook’s client UI. If you need a new email alias, ask your admin or recreate the distribution list with the desired address.
Best Value
What’s the quickest way to update membership if Outlook for Windows is acting up?
Use Outlook on the web (OWA). OWA frequently provides the most reliable edit experience when desktop clients have partial UI support.
How do I add external recipients to a contact group?
That depends on your organization’s mail security policies. Even if you can add an address, sending to the group may be blocked unless external delivery is allowed.
Bottom Line
To edit a contact group in Outlook, open People, open the group, update the members, and save your changes. The exact click path depends on whether you’re using classic Outlook, New Outlook for Windows, Outlook on the web, or Outlook for Mac.
If your edits don’t take effect, verify you saved the correct group, allow time for propagation, and check permissions. When desktop editing is restricted, Outlook on the web is usually the fastest workaround.
