Choose the right editing workflow
If you have not taken the screenshot yet, capture only the window or region you need when practical. That reduces clutter and may prevent unrelated information from appearing in the image. If you are editing an existing screenshot, make a working copy first if you may need the original later.

On Windows, Snipping Tool can capture a rectangular or free-form area, a window, or the full screen, then open the capture for editing and saving. The current Microsoft instructions list Windows logo key + Shift + S to start a capture and Ctrl + S to save a snip; shortcuts and feature availability can vary by Windows and app version. On Mac, open the image in Preview and show the Markup toolbar. Exact mobile editing steps are not covered here, so avoid assuming that desktop menus match a phone or tablet.

Keep the screen state, message, or control needed to understand the image. Remove irrelevant tabs, notification areas, account names, and empty margins when they do not provide useful context. Do not crop so tightly that the reader can no longer tell what the screenshot shows.

Windows
In Photos, use the crop controls to frame the useful area. Snipping Tool can also hand an image to Paint through Edit > Edit with Paint for further edits. Labels and availability may vary by app version or rollout.
Mac
In Preview, show the Markup toolbar, select the portion to keep, and use the Crop control. Keep enough surrounding interface to make the selected detail understandable.

Annotate with a clear visual hierarchy
Use one or two marks that direct attention without covering information the viewer needs: an arrow aimed at a control, a rectangle around a region, a highlight, or a short text label. Preview documents shapes, text, and highlight tools; Windows Photos documents pens and a highlighter. Preview the result at its intended size and move or simplify marks that overlap labels or obscure interface details.
Remove sensitive details—not just their readability
Inspect the whole image for names, email addresses, usernames, phone numbers, account identifiers, notification previews, browser URLs, and other personal information. Mozilla’s screenshot guidance specifically advises removing personally identifying details such as email addresses and usernames.

Use Quick redact only for what it detects
On supported Windows Snipping Tool versions, open Text actions to run OCR and use Quick redact for detected email addresses or phone numbers. Microsoft says the text recognition is performed locally on the device. This is a limited, documented detection feature—not a guarantee that every private detail will be found. Review the rest of the screenshot yourself, including details outside those categories and any missed text.
Do not rely on blur or a loose mark for high-confidence concealment
A blur can reduce legibility for presentation, but the cited documentation does not establish that blurred pixels are unrecoverable across tools or file formats. A translucent highlight or a quick pen stroke is not a dependable way to hide a secret. For credentials or other highly sensitive information, use a solid opaque cover or a specific redact operation, then inspect the exported image at full size to confirm nothing remains visible around the edges.

Windows Photos documents blurring an image background; that is not the same as a precise redaction tool for arbitrary text. The documented Preview guidance covers markup and cropping, but does not establish a general-purpose arbitrary-region blur or secure-redaction feature. Do not treat either app’s general visual effects as a substitute for deliberate concealment.
Save a copy and verify the exported image
- Save the edited image with a clear filename in a location you can find.
- Reopen or preview the saved file—not only the editor canvas.
- Check the crop edges, annotation placement, readability, and every concealed area at full size.
- Keep the unaltered original separately if it may be needed for correction.
On Mac, note that Apple says annotations on an image file in Preview cannot be edited, moved, or deleted after saving. If you need to revise annotations later, Apple’s guidance suggests converting the image to PDF and annotating the PDF.
