For a small correction, edit the PDF directly and check the edited text and the space around it. For a substantial change, use the original document—if you have it—and export a fresh PDF. A scanned PDF needs OCR before its text can be edited. None of these methods guarantees an identical layout, so review the result before sharing it.
Choose the right editing method

Identify what kind of PDF you have
Try selecting a word or searching for a phrase. If the text can be selected as text, you can usually work with it in a PDF editor. If the page behaves like a picture, it is likely scanned or image-based; run OCR to recognize text before attempting to edit it. Acrobat can apply OCR when you open a scanned PDF for editing, but recognition should be checked against the page, particularly when the scan is blurry or low-resolution. Adobe’s scanned-PDF guidance also advises care with complex tables, graphs, and images.
Make a small change directly in the PDF
In Acrobat, open the Edit tool, select the text you need to change, and edit it. You can also adjust images, including rotation, alignment, and cropping. The exact controls may change as the software is updated; Adobe’s current edit-text guidance describes the tool and its limitations.
Direct editing avoids converting the entire document into another format, but it does not lock the layout in place. Acrobat says text can reflow within its text box. Separate text boxes do not automatically push adjacent content or continue onto another page, so a longer replacement can overlap nearby material or leave awkward spacing. Inspect the whole affected area, not just the words you changed. Adobe’s explanation of text editing.

Use the original document for larger revisions
If the PDF came from Word, Excel, or another Office application and you still have the source file, make substantial edits there and export a new PDF. This is a better fit for changes to several paragraphs, tables, styles, or page breaks because those elements can be adjusted in the document that controls their flow. Microsoft specifically recommends editing the original Office file and saving it as a PDF again. Microsoft’s guidance.

Conversion is useful if the next stage of work requires a Word file, but it is not an in-place PDF edit. Adobe Acrobat offers two export choices: Retain Page Layout prioritizes matching the PDF’s appearance and may divide content into separate text-box groups; Retain Flowing Text prioritizes text that wraps and flows for easier editing. Choose based on whether fidelity to the page or convenient ongoing editing matters more. Adobe’s export guidance.

Word can also open a PDF directly. Microsoft says, “Word makes a copy of the PDF, converting it to a Word document and attempting to match layout of the original PDF.” That conversion may not preserve graphics-heavy pages or complex relationships between objects; in some cases, graphics-heavy content may open as an image. Check the layout before sharing
- Keep an untouched copy of the original PDF.
- Compare the edited page with the original at the same zoom level or in print preview.
- Check line wraps, alignment, spacing, page breaks, and nearby graphics.
- For OCR, proofread names, numbers, punctuation, and table cells against the scan.
- If text will not edit, check whether the document has restrictions or whether the required font is available. Adobe documents font-related editing limitations.
