Document the task as a clear sequence of actions, adding screenshots only where seeing the interface helps the reader identify a control or understand a visual state. Before sharing, check every image for personal or confidential information, make the instructions usable without relying on images, and have the client or product owner verify app-specific details.
Start with the task and the expected outcome
Open with the user’s goal, not a tour of the application. For example: “Use the billing workspace to download the invoice for a selected month.” State what success looks like, such as the invoice appearing in the download folder or a confirmation appearing in the app.

Include prerequisites only when the client confirms them. These might include a particular account role, access to a workspace, or the data the user needs. Do not guess permissions, menu names, or workflow behavior for an app you have not been given.
Write the procedure as actions the reader can follow
Use a numbered list for a sequence. Keep each step focused on one action where practical, use the exact visible labels for buttons, menus, and fields, and mention the expected result when it helps the reader decide what to do next. Google’s procedure guidance recommends clear, concise action steps with relevant context and results, without redundant explanation (Google’s procedures guidance).

These are structural examples, not verified steps for a particular application. Replace them with actions confirmed against the client’s current app. If the interface can vary by role, region, or configuration, state which approved context the procedure covers.
When should you add a screenshot to a step?
Add an image when the user must recognize a visual or spatial control, when layout affects the action, or when text alone would leave the step ambiguous. If a control is clearly identified by its visible name and the action is straightforward, text may be enough. Screenshots should clarify the procedure rather than decorate or repeat it.
| Approach | Clarity for visual controls | Usability without images | Maintenance when the app changes | Privacy exposure |
|---|---|---|---|---|
| Text-only instructions | May be insufficient when location or appearance matters | Strong if the labels and actions are precise | Usually fewer image updates, though text labels still need review | No screenshot-specific exposure |
| Text with selective screenshots | Can help identify layout-dependent controls | Must retain complete instructions in text | Images need review when the interface changes | Captured data must be inspected before sharing |
This is a practical comparison, not a measured study. Google’s image guidance recommends using screenshots discreetly, cropping to relevant content, keeping a consistent presentation, and avoiding personally identifying information (Google’s image guidance).

Do not make color, position, or an arrow the only way to identify a control. Name it in the surrounding text using the label shown in the application. Keep instructions in ordinary text, not embedded only in the image; text is easier to search, access, and localize.

How do I hide personal information in a screenshot?
Treat a screenshot as a potential container of digital personal or confidential information. Before capture, prefer a test account and synthetic or sanitized content if the client permits. Before release, inspect every image for names, email addresses, account details, tokens, customer records, and other identifying or confidential material. Follow the client’s approval, access, retention, and deletion instructions; do not assume those requirements from the app or the image format.
Google says not to include personally identifying information in screenshots. If PII must remain in a required source screenshot, its guidance recommends covering it with a solid-color overlay at 100% opacity rather than blur or mosaic effects. Flatten layered image exports so hidden layers do not preserve the original information (Google’s image guidance).
For an Indian client, the Digital Personal Data Protection Act, 2023 is relevant context: its text says personal data may be processed for a lawful purpose, including with consent or for certain legitimate uses. The applicable terms, exceptions, parties’ roles, data flows, and client policies matter; this article cannot determine the lawful basis for a specific engagement (official Act text on India Code).
The Act provides for commencement on dates appointed by the Central Government, including different dates for different provisions. The official India Code copy records a notification dated 13 November 2025 with phased commencement: provisions commencing on that date, others one year later, and others eighteen months later. As of 3 October 2026, do not assume all substantive provisions are in force; check the latest official notifications and obtain appropriate advice for the actual engagement. These points are not a substitute for assessing legal obligations.

What alt text should I write for a screenshot?
When an informative screenshot adds something not already conveyed nearby, write concise alt text describing its role in context. For example, if it shows a particular control needed for the next step, describe that relevant state rather than listing every visible item. If the image is decorative or fully repeats adjacent text, an empty alternative text can be appropriate.
Do not use alt text as a substitute for a caption or a detailed figure description. Add a caption when it helps identify the figure, and explain complex or important information in nearby text so it remains available without the image. The Indian Government’s GIGW accessibility material includes meaningful alternate descriptions for non-text elements; its guidance applies to Indian government websites and apps, though the general practice can inform client documentation (GIGW guidelines).
Validate the guide before sharing
- Follow the sequence from the stated starting point to the expected outcome.
- Confirm every screenshot matches the step beside it and shows the currently approved interface.
- Check that visible labels match the client-approved app and relevant account context.
- Read the steps without looking at screenshots to confirm the text still explains the actions.
- Inspect images again for personal, confidential, or hidden-layer data.
- Ask the client or product owner to verify workflow-specific details; no particular application or client workflow is established here.

For API-based capture, ScreenshotNeo can return a website screenshot with one GET request. Its API can accept cookie banners and remove 60+ known consent platforms, newsletter popups, and chat widgets before capture; those steps can be turned off. Only clean shots are billed: bot checks or CAPTCHAs, blank pages, timeouts, failed loads, and cache hits cost nothing, and responses include X-Page-Verdict and X-Billed headers. It also provides an MCP server for AI agents with take_screenshot, get_page_info, and capture_pdf. Free includes 1,000 shots per month with no card; paid plans start at $5 for 3,000 shots.
Example using the supplied API endpoint and a public test URL; replace the target URL with a page you are authorized to capture and use your own API key. Do not send client credentials or personal data without authorization. See the ScreenshotNeo documentation.
curl -G "https://api.screenshotneo.com/v1/shot" -d access_key=YOUR_API_KEY --data-urlencode url=https://stripe.com -o shot.webp
For this workflow, an automated screenshot still needs the same privacy review and client approval as a manually captured image. Sign up for 1,000 free screenshots a month with no card.
