Detecting sensitive-data exposure in Metabase requires testing the complete access path, not checking one permission screen. The effective result is the combination of database grants, Metabase group membership, data and collection permissions, SQL access, sharing settings, embeds, and operational controls. Start by inventorying sensitive assets, calculate each user’s effective permissions, verify the database account behind every connection, and test the real dashboard and download paths as representative users. Then reduce access at the database and Metabase layers, choose an isolation method that matches your tenant layout, and monitor the resulting activity.
What “sensitive-data exposure” means in Metabase
Exposure occurs when a person can see, query, export, subscribe to, or share data beyond the people and fields intended for them. The failure may be obvious—an employee opens another team’s dashboard—or indirect, such as a SQL question, public link, alert, subscription, or broad database account returning rows that a normal dashboard does not display.

Metabase describes permissions as controls on groups and their access to data and collections. Those controls do not replace the database’s own authorization. A database connection uses a database principal, and that principal’s grants are evaluated before Metabase’s data and collection permissions. A connection account that can read every schema can therefore make an overbroad result possible even when the Metabase interface appears restricted. See Metabase’s self-hosted security best practices and its data-permissions troubleshooting guidance.

1Scan for outdated or missing drivers - takes under a minute2Repair Windows errors before they cause bigger problems3Fix the driver behind crashes, sound loss and screen glitchesThe practical standard is: can the intended person see only the people, rows, columns, and actions they are supposed to see, through every supported access path? Answering that requires both configuration review and user-level testing.

How Metabase permissions become effective access
Permissions are additive across groups
Metabase grants permissions to groups, not directly to an individual. A person can belong to several groups, and the most permissive grant across those groups takes effect. Every account is in All Users by default, so a permissive grant there can override the narrower intent of a department or tenant group. Metabase documents this behavior in its permissions introduction and data permissions guide.
- List every group assigned to the account, including All Users.
- For each group, record its database, schema, table, field, collection, and download/query grants.
- Evaluate the union of those grants; do not assume a deny in one group cancels an allow in another.
A safe review therefore starts with membership and grants together. Looking only at the team a person is expected to belong to misses inherited access from another group.
Data permissions and collection permissions answer different questions
Data permissions govern what a group can access in connected databases and, where available, at more granular levels. Collection permissions govern who can view, curate, or edit saved questions, models, dashboards, and other content. A user can have a collection-level path to a question while lacking the expected data restriction, or can be prevented from finding a question yet still query data through another permitted route. Review both permission trees for every sensitive asset.
Database authorization is the outer boundary
For every Metabase database, identify the actual database user or role configured in the connection. Test that principal directly in the database and remove schemas, tables, columns, and operations it does not need. Metabase recommends a dedicated, read-only account limited to the schemas and tables required for analytics. This reduces the impact of a Metabase misconfiguration, a compromised session, or an unexpected query path.

A repeatable exposure-detection procedure
Use this sequence for an initial audit and whenever you change groups, connections, row policies, embeds, or sharing.
- Inventory the sensitive surface. List databases, schemas, tables, columns, models, questions, dashboards, alerts, subscriptions, and collections containing personal, financial, health, credentials, or tenant-isolated data. Map each item to the teams, roles, and tenants that should receive it.
- Review Admin > Permissions. Inspect group membership first, then database/data permissions and collection permissions. Check All Users before granting selective access; remove an unintended broad grant rather than trying to compensate with a narrower group.
- Identify each connection principal. In the database, inspect the grants for the account Metabase actually uses. Confirm that it is read-only where possible and limited to the required schemas and tables. Revoke unused access and retest a representative query.
- Audit row and column policies. If your plan supports row and column security, verify the policy, target group, user attributes, and columns returned. Look for overlapping group memberships that produce a more permissive result. Review SQL questions in restricted collections and any alert, subscription, or sharing path that could return fields outside the policy.
- Test as the affected person. Sign in as a representative account, preferably in an incognito or private session. Open the actual dashboard and question, run permitted filters, inspect drill-through behavior, attempt downloads that the role can reach, and check links shared by email or chat. Metabase’s troubleshooting guidance specifically recommends signing in as the person whose access is being checked: data-permissions troubleshooting.
- Test alternate entry points. Check saved questions, native queries, SQL editor access, dashboard subscriptions, alerts, public links, guest embeds, and API or application integrations used by your deployment. A dashboard test alone cannot establish that those paths are restricted.
- Centralize evidence. Send Metabase, database, and reverse-proxy or load-balancer logs to a protected central location. Correlate account, timestamp, query, database principal, and response activity when investigating an unexpected result.
- Recheck after remediation. Repeat the same user-level tests and verify that the database principal no longer accepts removed queries. Record the expected result for each role so later permission changes can be compared with a known baseline.
Row and column security: capabilities and boundaries
Row and column security can filter rows or hide columns according to a user’s attributes and group assignment. It is a Pro/Enterprise feature; availability and labels can change, so confirm the exact capability in the plan and version you operate. The current documentation navigation identifies version 0.64, but Metabase documentation is continually updated.
These policies are not universal guarantees. SQL permissions and public sharing can create paths where row and column protections do not apply as you expect. Metabase advises reviewing collections that contain sensitive SQL questions and disabling public sharing when it is not appropriate. Treat policy configuration as one layer and verify the resulting output through every enabled path.

Checks for a row or column policy
- Confirm the policy is assigned to the intended group and that the user has the expected attribute value.
- Check every other group the user belongs to for a broader policy or unrestricted data grant.
- Verify that the query’s joins, models, native SQL, and drill-through actions cannot bypass the intended filter.
- Inspect dashboard subscriptions, alerts, downloads, and links for columns that should remain hidden.
- Test both an allowed tenant and a tenant the user must not see, using the actual account.

Choose isolation according to your data layout
The right control point depends on whether tenants share physical tables or databases. Metabase’s data isolation methods documentation describes the principal options.
| Data layout or use case | Candidate method | Where the rule is enforced | Important consideration |
|---|---|---|---|
| Multiple tenants in shared tables | Metabase row and column security | Metabase policy associated with groups and user attributes | Pro/Enterprise availability; review SQL, public sharing, subscriptions, and overlapping groups. |
| Multiple tenants in shared tables | Database impersonation | Database role or principal selected for the user | Rules are authored and enforced in the database; maintain roles and grants there. |
| Each tenant has a separate database | Database routing | Connection selection based on the user or tenant context | Routing fits separate databases; test that users cannot select or reach another tenant’s connection. |
| Guest or embedded analytics | Locked embed parameters | Embed configuration and filter state | Locked parameters hide and lock a filter but are not a suitable security boundary for sensitive data. |
When a database can enforce the restriction reliably, database impersonation or separate connections can reduce dependence on a UI-level policy. When data is shared in common tables and database roles cannot express the tenant rule, Metabase row and column security may be practical—provided all bypass paths are closed and tested. Do not select a method solely because it is available in the interface.
Prevent exposure in shared links, SQL, and embeds
Public links
Public sharing turns a saved question or dashboard into an access path that may not require the normal signed-in group check. Disable public sharing for sensitive collections and remove existing public links that are no longer required. Rotate or invalidate links according to your incident process if a link may have been distributed beyond its intended audience.

SQL access can change the effective result because a user may write a query that is not represented by the curated dashboard. Restrict SQL editor and native-query capability to groups that need it, and review saved SQL questions in restricted collections. The database account still needs to enforce least privilege: Metabase cannot grant a query access to a table that the connection principal cannot read, but an overbroad principal can make an accidental SQL disclosure much larger.

Alerts, subscriptions, and downloads
A person may not open a sensitive dashboard manually yet receive its data by email, scheduled subscription, alert payload, CSV download, or a linked drill-through result. During testing, inspect the recipient, schedule, attachment or result format, and the account context used to generate it. Disable the feature for sensitive content when the business need does not justify the additional path.
Guest embeds
Embed filters can make a tenant-specific view convenient, but a locked parameter should not be treated as the authorization boundary for sensitive data. Enforce tenant isolation with database permissions, database routing, or a supported row policy, then use embed settings only to shape the user experience.

Protect encryption and session keys
Self-hosted Metabase deployments must keep encryption and session keys secret. Use the same key pair across nodes in a clustered deployment so sessions and encrypted values remain valid, and preserve the encryption key separately with a tested recovery plan. A lost or exposed key can create availability and confidentiality problems even when dashboard permissions are correct. Follow the hardening guidance in Security best practices for a self-hosted Metabase.

Collect Metabase application logs, database audit logs, and reverse-proxy or load-balancer logs in a central system with restricted access and an appropriate retention period. Logs help establish who requested what and when, but Monitor pages and logs are investigation aids—not proof that every access route was captured. Some Monitor functionality depends on the plan; consult Metabase Monitor documentation for the deployment you run.

Redact or protect query text and result metadata when they can contain personal values. Give investigators access to the minimum log fields needed, and document retention and deletion rules with your governance owner.
Plan, edition, and deployment caveats
Row and column security and several granular View data controls are Pro/Enterprise features. Metabase’s self-hosted hardening guidance states: “Open Source: View data cannot be restricted by Metabase group; Can view is fixed.” Treat that as a meaningful limitation when designing an Open Source deployment: use database-side controls, separate connections, or a different architecture where necessary.
Confirm labels and behavior in the exact Metabase version and plan deployed. Documentation pages change, and a feature shown in current navigation may not exist in an older release. Patch supported versions promptly and review Metabase security advisories as part of normal maintenance.

Metabase’s corporate security page describes hosted/service-side practices, including TLS 1.2 or higher: Your data stays with you. Do not assume those controls exist in a self-hosted installation; verify TLS termination, certificate management, storage encryption, network boundaries, and backups in your own environment.
What to do when a user sees too much
- Contain first. Remove public links, pause subscriptions or alerts, restrict the affected collection, and disable the suspect account or group if immediate exposure is ongoing.
- Capture the exact path. Record the account, dashboard or question URL, filter values, time, download or share action, and the database connection involved. Preserve relevant application, proxy, and database logs.
- Trace effective membership. Compare all group memberships—including All Users—with the grants that should apply. Look for a broader group, unrestricted collection, SQL permission, or shared link.
- Check the database principal. Reproduce the query with the connection account and inspect its grants. Reduce access at the database when it exceeds the analytics requirement.
- Correct the policy or architecture. Fix attributes, group assignments, row/column rules, routing, or impersonation roles. If the method cannot guarantee isolation, move the boundary to a database role or separate connection.
- Validate and document. Re-run allowed and forbidden tests as the affected user and a control user. Document the intended result, the change, and any records that may have been exposed so governance and incident-response owners can assess notification obligations.
A practical control checklist
- Inventory sensitive assets and map each to approved roles or tenants.
- Review All Users and every other group for additive grants.
- Pair collection review with database/data-permission review.
- Use dedicated read-only database principals limited to required schemas and tables.
- Confirm row and column security plan availability, attributes, assignments, and bypass paths.
- Disable inappropriate public sharing and inspect SQL questions in sensitive collections.
- Test dashboards, questions, filters, drill-throughs, downloads, alerts, subscriptions, links, and embeds as real users.
- Match isolation to the layout: shared tables versus separate tenant databases.
- Keep self-hosted encryption and session keys secret, consistent across nodes, and recoverable.
- Centralize and protect Metabase, database, and proxy logs.
- Patch supported versions and review security advisories.
Bottom line for Metabase administrators
Sensitive-data protection in Metabase is a layered verification exercise. Group permissions determine the effective Metabase grant, but the most permissive membership wins and the All Users group is always present. The database principal must independently be least-privileged. Row and column policies, sharing controls, SQL restrictions, embeds, routing, and impersonation then need to be tested against the actual ways people receive data. A configuration is trustworthy only after representative user tests show that permitted paths work and forbidden paths fail.
