To create useful just-in-time video training, start with a task employees need help completing at the moment the question arises. Show only the steps needed for that task, then publish the clip with accurate captions, a useful transcript, and an accessible player. There is no evidence-based ideal runtime: make the video only as long as the task requires.
What makes video training just in time?
Just-in-time training is available where and when someone needs to perform a task. A strong clip answers a specific, recurring question or guides a learner through a decision or procedure—not a broad topic that happens to be presented as video.

How do I create just-in-time video training?

Choose a real point-of-need task
Identify a question people repeatedly ask, a decision they must make, or a procedure they need to complete. Write one outcome in observable terms: after watching, the employee can do what? If the answer contains several unrelated tasks, make separate clips or resources.

Limit the scope to the next action
Organize the explanation around the learner’s immediate job. For software, show the relevant screen state and the action to take. For a physical task, frame the critical movement clearly. Remove background that does not help someone complete the task; keep context that prevents a likely mistake.

Plan narration and visuals together
Use clear speech with little competing background noise. Narrate meaningful visual information so someone who cannot see the video can follow the task. Use readable, high-contrast on-screen text; avoid jargon, unexplained acronyms, idioms, and flashing content. Where a visual detail is essential and narration cannot convey it adequately, plan audio description or an alternate described version. Keep important text out of the lower third, where captions may appear. These recommendations are reflected in the UK Home Office audio and video guidance.

Record and edit for comprehension
Make the demonstration legible and the audio understandable. Speak at a pace that lets viewers follow the task and captions. Section508.gov says speech above 180 words per minute may be too fast for captions to remain readable; treat that as an attributed accessibility guideline, not a universal ideal speaking rate. Avoid covering a critical interface control or action with titles or graphics.

Create captions, then review them
For prerecorded media with audio, captions synchronize dialogue and important sounds with the video. Automatic captions can save time, but they are a draft: check synchronization, names, spelling, punctuation, grammar, meaningful non-speech audio, and line breaks. Section508.gov recommends no more than two lines at once and no more than 45 characters per line, with fewer preferred. Provide a transcript and visual equivalent
Link a transcript beside the video, where viewers can find it without searching. Include spoken words, on-screen text, and key visual information not already explained in narration. If an important visual cannot be conveyed in the main narration, consider audio description or a described alternative. A transcript also lets people scan or search the content instead of watching it, as noted in Digital.gov’s accessibility guidance for content designers.

Publish accessibly and check the real point of use
Choose a player that supports captions and keyboard operation, and make caption and audio-description controls usable. Avoid autoplay. Test the clip and transcript in the place employees will actually retrieve them—such as the relevant procedure or help page—and confirm they can locate and use both when the task arises. Federal playback guidance is available in Section508.gov’s Video and Other Synchronized Media resource; the applicable legal requirements vary by jurisdiction and organization.

How do I make a short training video for employees?
Define “short” by the task rather than a target number of minutes. A single decision or procedure may need only a brief demonstration; a multi-step task may need more time to show the steps clearly. Cut material that does not help the viewer act, but do not remove a warning, condition, or visual detail needed to do the work correctly. The available examples and guidance do not establish a universal runtime or prove that shorter videos are always more effective.

How do I make the training video accessible?
- Before recording: plan clear narration, readable high-contrast text, meaningful descriptions of visuals, and space for captions.
- During editing: keep speech understandable and the demonstration legible; avoid flashing content and unexplained jargon.
- Before publishing: edit and synchronize captions, include important sounds, and check the recommended line length and number of lines.
- Alongside the video: provide a discoverable transcript that includes relevant on-screen text and visual information.
- In the player: verify keyboard access and caption controls, offer audio description where needed, and disable autoplay.
- At the point of use: check that the intended employees can find and use the video, transcript, and controls.
Captions, subtitles, transcripts, and audio description serve different purposes; they are not interchangeable. Section508.gov explains these distinctions and synchronized-media planning in its media guidance. Section 508 guidance describes U.S. federal requirements; the UK Home Office resource is design guidance. Check the rules that apply to your organization and audience.

How should I choose a platform for publishing?
The platform matters because employees must be able to reach the clip at the point of need, and because captions, transcripts, and playback controls must work in practice. Compare options against these criteria rather than assuming a particular vendor is best:
- Can staff create, edit, and synchronize captions?
- Can you attach a transcript and make it easy to discover beside the video?
- Are audio description and accessible playback controls supported where required?
- Can users operate the player with a keyboard, and can autoplay be avoided?
- How quickly can you update a clip when the procedure changes?
- Can the intended learners access the resource in the workflow where they need it?
