Plan behind-the-scenes (BTS) photos and video as production deliverables: decide what they are for, schedule access, assign capture roles, and clear material before release. A press-kit photo, a social clip, an EPK interview, and a making-of feature need different coverage and approval paths; one camera roaming the set cannot safely serve all of them by default.
Start with the intended use
Define the audience and destination before planning a shoot. Possibilities include an internal record, press kit, social campaign, electronic press kit (EPK), documentary extra, or later promotional use. The intended use affects whether you need stills, motion, usable interview sound, dedicated coverage, and a particular delivery date.

ONCE Visuals, writing from a production-services perspective, recommends treating BTS materials as assets planned from project initiation because use influences staffing and capture specifications. These are examples of workflows, not a universal industry pipeline.

Coordinate access and approvals before the shoot
Agree with production and publicity or marketing on who may capture, what areas are available, when filming can happen, what equipment is allowed, and who can approve distribution. Flag sensitive material and any embargo or announcement date before footage is recorded. A shot that is easy to capture can still be unusable if it reveals unreleased story or campaign details.
Amazon Studios’ production portal describes its own process: BTS and social content should not be shared during production through premiere without alignment with its social, PR, content, and launch marketing teams; after public announcement, use remains subject to review and approval. This is Amazon Studios’ policy, not a rule for every production.
For a practical example of how detailed an access request can be, the J. Paul Getty Museum Registrar’s Office checklist asks for the shoot’s purpose, location, date and time, duration, attendees, and equipment, and requires advance approval for specified shoots. Its checklist is museum-specific, so follow the relevant production, studio, and location process rather than assuming its access rules apply to a soundstage or set.

Prioritize moments that explain how the work is made, rather than relying only on posed publicity portraits. TELUS originals’ Producer Handbook asks for BTS photos of the director and key crew in action, with descriptions. A useful list can include:
- The director collaborating with performers or department heads, where permitted.
- Crew at work and the coordination between departments.
- Craft details or equipment in context, provided they do not expose restricted information.
- Short interviews or explanatory clips when the format calls for them.
- Captions, names, roles, and credits needed to identify people and production details accurately.
Adapt the list to the format. A still image for press needs a clear moment and usable caption; an interview needs intelligible sound; a social clip needs an agreed length and review path. The cited guidance identifies these formats but does not set a universal technical specification for framing, resolution, duration, or sound.

Capture without disrupting production
Schedule coverage around the production’s working plan, and confirm where the BTS team can stand and when it must stop. Amazon Studios says content capture is coordinated with the schedule to limit impact. Keep the capture team small enough for the access granted, avoid blocking crew or performers, and defer when the production lead says the set is not available. The specific access limits come from the production and location, not from a general BTS rule.
Clear, review, and retain permissions before release
Before distribution, route assets through the project’s responsible approvers and check the material visible or audible in each image or clip. Depending on the production and jurisdiction, that review may include:
- Releases or other permissions for identifiable staff, performers, and outside parties.
- Artwork, photographs, or other protected material in the background, with required captions and credits.
- Scripts, screens, props, locations, music, and story details that may be restricted or unreleased.
- Embargo dates, campaign timing, and the approved versions of captions and credits.
The Getty Museum checklist explicitly calls for personal releases for staff or outside parties appearing in footage or photos, review before distribution, artwork caption and credit checks, and filing releases and permissions. Those are the museum’s requirements; legal duties and release procedures for entertainment productions vary by project and location. Keep the applicable approvals and permissions with the delivered assets so the team can verify what is cleared and for which use.
Deliver assets with descriptions and credits
Agree on file formats, naming, captions, credit lines, and delivery dates with the receiving team. Separate BTS images from promotional stills or frame grabs so recipients can identify their purpose. Include enough context for someone outside the set to understand who and what appears in each file, and ensure the approved version—not an unreviewed working copy—is the one distributed.
TELUS originals’ September 2025 Producer Handbook specifies 3–5 promotional photos or frame grabs and 3–5 separate BTS photos, with descriptions, credits, and images of the director or key crew in action. For documentary series, those counts are per series rather than per episode. They are TELUS submission requirements, not industry-wide minimums. The handbook also states that photo credits are required.
