The right sharing method depends on where the file is stored and what access your recipients need.
How to create a diagram in draw.io
- Open the editor. Go to the draw.io online editor. The official site describes the browser editor and desktop app as free and says no sign-up is required to get started. That does not make a cloud-stored file anonymous or automatically shareable: you still choose where it is saved and manage access through that service.
- Choose shape libraries. In the editor, select More Shapes, check the libraries relevant to your diagram, and apply the selection. Click or drag shapes from the library onto the canvas.
- Arrange and connect shapes. Use the canvas to position items and the connector tools to show relationships or flow. Add labels, then adjust colors, lines, and other formatting in the format panel. For a larger project, use multiple pages to organize related diagrams.
- Save the file. Choose a storage location before sharing. Draw.io documents local storage and integrations with Google Drive, OneDrive, GitHub, GitLab, and Dropbox. Its desktop app is available for Windows, macOS, and Linux if you want to work offline.
How to share a diagram
Choose the handoff based on whether the recipient needs to edit the source or simply view the result.

- For continued editing: Share the editable diagram through the storage service or collaboration context where you saved it. Set the recipient’s permissions there; draw.io’s integrations differ, and access is controlled by the service you use.
- For viewing or inserting into another document: Export a static copy as SVG, PNG, or PDF. These formats are suited to viewing, printing, or placing a diagram in a document, but edits to the export do not update the original diagram.
- For an interactive diagram on a web page: Draw.io’s homepage describes embed options. Confirm that the intended audience can access the embedded content and that the chosen setup meets your sharing needs.
Draw.io’s official site describes its offering as “Free forever • No sign-up required • No lock-in” and says, “Your data stays yours—we can’t access it.” These are the vendor’s claims, not independent security findings. The same site says anyone can open and edit draw.io files on any platform; treat that as the vendor’s compatibility description rather than an independent test.
How the alternatives compare
| Option | When it fits | Important conditions |
|---|---|---|
| draw.io / diagrams.net | You want a free editor with a choice of local, cloud, or integrated storage, plus browser or desktop use. | Storage and collaboration depend on the integration you choose. The official homepage describes real-time collaboration with shared cursors, but the available context varies by integration. |
| Visio in Microsoft 365 | You already have an eligible Microsoft 365 commercial subscription and need Visio web access. | It is not a universally free standalone offer. The lightweight web app supports .vsdx, not .vsd; some specialized diagrams or shapes may be viewable or commentable but not editable. Online co-authoring and comments depend on files being stored online, and external sharing may require an administrator to enable SharePoint external sharing. Users also need relevant permissions and licensing to co-author. |
| Lucidchart | You prioritize browser-based collaboration or exchange with Visio files. | Lucidchart’s official Visio-alternative page describes drag-and-drop diagramming, templates, simultaneous collaboration, import of VDX, VSDX, and VSD files, sharing by email or published link, and export back to Visio. That page does not establish current free-plan limits or pricing. |
Microsoft distinguishes Visio in Microsoft 365 from paid Visio Plan 1 and Plan 2. Check the current subscription and sharing terms for your organization before relying on access or collaboration features.
