How to Create a Webinar Run of Show: A Practical Template and Workflow

A webinar run of show turns the public agenda into an execution plan with timing, owners, handoffs, technical actions, fallbacks, and a rehearsal workflow.

Create a webinar run of show by turning the attendee-facing agenda into a timed, production-ready table: give each segment its own row, assign an owner and active speaker, specify the transition cue and technical actions, and note a small number of realistic fallbacks. Then review it with the people who will use it and rehearse the actual plan with the real assets.

What a webinar run of show is—and how it differs from an agenda

A run of show is the working schedule the host, speakers, moderator, and production crew use to execute the event. Vimeo describes it as a schedule, typically formatted as a spreadsheet, that serves as a shared planning and execution reference. An attendee-facing agenda tells people what is happening; a run of show also records who makes it happen, when, and what the production team does at each transition.

It is a coordination aid, not a guarantee that a live event will finish exactly on time. Audience questions, speaker delays, and technical problems can change the plan, so include clear ownership and practical recovery choices.

What to include in the document

Use one row for each meaningful segment or operational moment. A spreadsheet is a common format, but a shared document or another tool can work if the people executing the webinar can find and update the information they need.

QUI Presentation Clicker Wireless Presenter Remote, Black, A
  • Presentation Clicker with Red Light --The presenter clicker boasts rf 2.4ghz wireless presenter with highly-sensitive signal without interference from others and can work well within as far as 100 meters. Please ensure to select the correct USB-A or USB-A&C receiver option for your device at checkout. The light is bright and steady to see clearly on any screens (not recommended for LED, LCD) even across a large conference hall.
  • Great Range & Responsiveness--With a wireless range of up to 228ft (70m) and light range of 656ft (200m), Wireless clicker for PowerPoint presentations allows you the freedom and flexibility to move away from the screen to engage with the audience.
  • Broad Compatibility—The clicker presenter remote is compatible with diverse systems: Windows 2003/XP/Vista/7/ 8/ 10, Mac OS (an easy set-up may be needed for mac), Linux, Android. It supports various software: PowerPoint, Google Slides, iWork (Keynote & Numbers & Pages), Prezi, PDF, MS Office, ACD See, Website, etc. and fits most laptops, presentation electronic whiteboards, projectors, especially helpful for students, teachers, tutors, lecturers, and speakers.
  • Easy to Plug & Play--No need to do any special setup. Just put in an AAA battery (not included in the package), fetch the receiver (fits USB 1.1/2.0) under battery cover and plug it into your devices. Small and lightweight, the powerpoint clicker is comfortable in your hand and easy to store.
  • Responsive Buttons-- As a presentation clicker, it has standard buttons like page up/down, black/full screen switching, etc. The one-touch buttons are well placed and you don‘t have to look down to advance the presentation. With the light button held on, the remote works well flawlessly and effectively. The power switch to turn off after use helps save batteries.
  • Order and label: Give each row a numbered position and a short, consistent segment name.
  • Planned time and duration: Record the start and expected length; add an end time if it helps the crew follow the schedule. Use locally confirmed times rather than assuming a standard webinar length.
  • Owner and active speaker: Name the person responsible for the moment and who is speaking or otherwise active. Do not leave tasks implied.
  • Cue and handoff: Say what triggers the transition, who gives the cue, and who takes over. For example, specify that the host introduces the next speaker and then yields.
  • Production action and assets: Note the relevant microphone, camera, slide, video, or other asset change, and who is responsible for it.
  • Notes and fallback: Capture important reminders and a few workable responses to likely delays or problems.

Add fields when the people doing the work need them, such as a separate technical owner or an asset-check status. Keep labels and terminology consistent in the final copy so the crew can scan it quickly.

Build the run of show step by step

  1. Start with the promised audience experience. Use the announced agenda and the intended outcome to decide the sequence. Include pre-show and post-show operations when they affect the audience or crew.
  2. Break the sequence into rows. Add a row for each segment or operational change, not just each presentation topic. A room opening, speaker handoff, poll, or closing may each warrant its own row if it requires an action or cue.
  3. Set realistic timing. Enter planned starts and durations, then allow small buffers around major transitions and audience-dependent portions such as Q&A. Interactive segments are less predictable than prepared remarks.
  4. Assign ownership. Identify the owner and active speaker for every row. Make it clear who starts, who gives the next cue, and who is responsible for any production action.
  5. Write the cue and the action together. Describe what the crew should see or hear as the trigger, then state what happens next: for example, the host gives an introduction, the moderator unmutes the next speaker, and the producer brings up the specified slide.
  6. Audit the assets and checks. List what each segment needs and who will prepare it. Verify the relevant equipment and assets before show time rather than assuming they will be ready.
  7. Plan only useful fallbacks. Choose a few likely recovery actions, such as trimming a segment to protect the close or switching to an available backup if a presenter cannot connect. Trying to script every possible contingency makes the document harder to use.
  8. Review and distribute the working copy. Ask hosts, speakers, moderators, and production staff to check the fields they rely on. Standardize the final labels and make sure the people executing the webinar have the current version.
  9. Rehearse and revise. Walk the crew through the cues, transitions, and segments first. Once the production flow fits the allotted time, rehearse with all participants using the actual assets, then update the document to reflect what the walkthrough exposed.

Adaptable webinar run-of-show template

The sequence below is an illustrative starting point, not a universal agenda or timing prescription. Replace each time, asset, owner, and fallback with details confirmed for your event. Add or remove rows to fit its format.

6 Close Set locally Summary and next step Host Host gives the final cue Show the final slide; moderator shares any approved link Preserve enough time for the intended close

Choose a format your team can use

A spreadsheet is a practical default when the team needs to scan timing and cues across rows. A shared document or event-production tool may also suit the workflow. Choose based on how easily the crew can revise the plan, see updates, and find cue and asset details; there is no single format required for every webinar. Whatever the format, keep one clearly identified working copy and distribute it to the people responsible for the event.

Common run-of-show problems and fixes

  • The document reads like the public agenda. Add owners, cues, production actions, and assets so the crew knows how to execute each segment.
  • A handoff is unclear. State who gives the transition cue, who takes over, and what the production team changes at that moment.
  • The schedule has no breathing room. Add small buffers around transitions and interactive sections, and decide in advance which segment can be shortened to protect the close.
  • Important tasks have no owner. Name a responsible person for each action, including asset preparation and checks.
  • Equipment or assets are not ready. Audit requirements by segment, assign responsibility, and verify the actual assets before the webinar.
  • The plan works on paper but not in execution. Rehearse the cues and transitions with the crew, then run the plan with participants and actual assets; revise what proves unclear or unrealistic.
  • A technical problem disrupts the schedule. Use the row’s agreed fallback, such as a confirmed alternate presenter connection or an available replacement asset. Keep contingencies practical rather than attempting to anticipate every possible failure.

Prepare speakers and moderators before rehearsal

Agree on who is speaking and moderating, and tell participants what content is expected, how much time they have, and what connection type and software the event will use. These are useful coordination checks drawn from IFLA’s institutional speaker checklist; consult the webinar platform’s current instructions for platform-specific setup, since a general checklist does not establish current product settings.
