The reliable way to create a Christmas-card email list is to use Excel as a structured contact database, then send from Word through a compatible email program when you need personalized messages. Keep one person or household per row, separate email and postal fields, clean duplicates, and use an explicit send-status field so an address is never treated as automatic permission to contact someone.
Choose the list you actually need
“Christmas card list” can mean three different things:
As an Amazon Associate I earn from qualifying purchases.
- Digital-card list: email addresses for an electronic greeting.
- Combined list: email and postal details for people who may receive either or both types of card.
- Mail-merge list: a prepared source for personalized Word and Outlook messages.
A family greeting, a client message, and a promotional campaign also have different practical and compliance requirements. For business or commercial content, use appropriate consent and opt-out procedures for your jurisdiction; calling something a Christmas card does not automatically exempt it from email rules.
Set up the Excel columns
For a small personal list, start with:
First Name,Last Name,Email,Card Type,Send?,Notes
An expanded workbook can use these fields:
| Column | Purpose |
|---|---|
| Contact ID | Optional stable identifier |
| First Name / Last Name | Greeting, sorting, and identification |
| Display Name | Optional combined name |
| Digital delivery address | |
| Phone | Optional contact detail |
| Address 1 / Address 2 | Street, apartment, suite, or unit |
| City, State/Province, ZIP/Postal Code, Country | Physical-card mailing details |
| Relationship | Family, friend, client, colleague, or organization |
| Card Type | Email, Physical, Both, or Neither |
| Send? | Yes, No, or Review |
| Consent or Source | How the contact was added |
| Last Contacted | Annual maintenance |
| Returned/Bounced | Follow-up status |
| Notes | Personalization and corrections |
Keep names and address components in separate columns. Format ZIP or postal-code columns as Text before entering values so leading zeroes, such as 00399, are retained. Microsoft’s mail-merge guidance covers this preparation at Microsoft Support.
#1 Best Overall
- 3 ream case (1,500 sheets) of 8.5 x 11 white copier and printer paper for home or office use
- Multipurpose letter size copy paper works with laser/inkjet printers, copiers and fax machines
- Smooth 20lb weight paper for consistent ink and toner distribution; dries quickly and resists paper jams
- Bright white paper (92 GE; 104 Euro) offers great contrast for crisp printing and vivid color
- Virgin copy paper providing professional quality results; acid-free to prevent yellowing
Decide whether a row represents a person or a household
One row per person is useful for individualized greetings. One row per household is often better when a couple or family should receive one card. Repeated email addresses are not automatically errors: partners, household members, or several contacts at one organization may intentionally share an address. Record the decision in Notes rather than deleting records blindly.
Convert the range to an Excel Table
- Enter headers in row 1 and your contacts below them.
- Select the range and choose Insert > Table, or press Ctrl+T in desktop Excel.
- Confirm My table has headers.
- Rename it, for example,
ChristmasContacts.
A table adds filters, extends formulas and formatting to new rows, and provides a stable source for later filtering or mail merge. Tables are also useful as sources for expanding drop-down lists, as described in Microsoft’s drop-down-list documentation.
Control entries with drop-down menus
- Create a worksheet named
Lists. - Enter approved values such as
Email,Physical,Both, andNeitherforCard Type. - Add
Yes,No, andReviewforSend?, plus relationship values if useful. - Select the target cells, then choose Data > Data Validation.
- Set Allow to List and select the permitted range.
Excel supports manually entered lists, cell ranges, named ranges, and table-based sources. Behavior can differ in Excel for the web, and protected or shared sheets can limit editing; see the list-item guidance and Microsoft’s data-validation notes.

Clean and review the contacts
Normalize without destroying the original value
Add an Email_Normalized helper column:
=LOWER(TRIM([@Email]))
Use the same idea for names:
=TRIM([@[First Name]])
TRIM removes ordinary extra spaces but cannot solve every hidden or non-breaking-space problem copied from websites or exports. Keep the original email column available for review instead of overwriting it automatically.
Find missing or obviously malformed addresses
Filter for blank email cells and decide whether those contacts belong only in the physical-card list or in a review queue. This basic screening formula flags common formatting problems, but it cannot prove that an address exists or will accept mail:

=IF(AND([@Email]<>"",ISNUMBER(SEARCH("@",[@Email])),ISNUMBER(SEARCH(".",[@Email]))),"Review","Check")
Look for spaces inside an address, multiple addresses separated by commas or semicolons, accidental punctuation, and text pasted into the email column.
Review duplicates
To flag repeated normalized addresses:
=IF([@Email_Normalized]="","",IF(COUNTIF(ChristmasContacts[Email_Normalized],[@Email_Normalized])>1,"Duplicate",""))
For exact removal, select a table cell and choose Data > Remove Duplicates, selecting only Email_Normalized. Review the proposed deletions first. Microsoft’s mailing-list advice is available at Tips for mailing lists.

Filter who should receive the email
Do not infer permission from a nonblank email cell. Before sending, filter for:
Send?equalsYes.Card TypeequalsEmailorBoth.Emailis not blank.Returned/Bouncedis notYes.- No
Do not contact,Review, or equivalent exclusion status.
A suggested status formula is:
=IF([@Email]="","No email",IF([@[Send?]]<>"Yes","Do not send",IF([@[Returned/Bounced]]="Yes","Check bounce","Ready")))
In Microsoft 365 or another version supporting FILTER, you can create a working view:
=FILTER(ChristmasContacts,(ChristmasContacts[Send?]="Yes")*((ChristmasContacts[Card Type]="Email")+(ChristmasContacts[Card Type]="Both"))*(ChristmasContacts[Email]<>"")*(ChristmasContacts[Returned/Bounced]<>"Yes"),"No recipients")
This view does not replace a manual review. Word also provides sorting, filtering, and individual deselection through Mailings > Edit Recipient List; see Microsoft’s Excel mail-merge instructions.

Send a personalized Christmas email with Word
Excel prepares the data; Word performs the documented personalized send through a MAPI-compatible email program, commonly Outlook. Exact availability depends on your Word and email-client setup.
- Save the workbook as
.xlsx, with the merge data on the first worksheet. Finish structural changes before connecting it to Word. - Open Word and choose Mailings > Start Mail Merge > E-mail Messages.
- Choose Mailings > Select Recipients > Use an Existing List, then select the workbook and the relevant sheet or table.
- Insert a greeting and fields such as
First Name, then write the message. - Choose Preview Results and inspect several records.
- Choose Finish & Merge > Send E-mail Messages.
- Select the
Emailfield in the To box, enter a subject, choose HTML or plain text, and send.
Microsoft documents this workflow at Use mail merge in Word to send bulk email messages and explains supported data sources at Data sources you can use for a mail merge. Each recipient receives an individual message rather than seeing a shared recipient list.
The documented bulk-email command does not add attachments, and recipients cannot be CC’d or BCC’d through that send command. Include a link instead of an attachment when appropriate.
Test before sending everyone
Send a small test batch containing your own address, another email provider, a name with punctuation or accents, a blank optional field, a long name, and—if relevant—an address on the sender’s domain. Check:
- Subject, sender account, greeting, punctuation, and links.
- HTML rendering on desktop and mobile.
- Whether blank fields leave awkward spaces.
- Spam placement and unexpected formatting.
A completed merge is not proof of delivery. Messages can bounce or be filtered later.

Record results for next year
After the send, update fields such as:
Last Contacted = December 2026 Campaign = Christmas 2026 Returned/Bounced = Yes or No Notes = correction needed
Keep a backup before deleting or consolidating rows. A bounce should trigger address review, not an assumption that the contact received the message.
Choose the simplest suitable sending method
Small, non-personalized group
A normal email with recipients in BCC can work for a handful of people when personalization is unnecessary. Never put the full list in To or CC, where addresses are exposed.
Personalized list
Use the Excel-to-Word mail-merge workflow when each message needs a name or other field.
Large or recurring campaign
Excel is a poor fit when many people edit the list, campaigns run frequently, or you need unsubscribe handling, bounce management, segmentation, automation, or delivery reporting. An email-marketing service such as Mailchimp may be more appropriate; it is usually excessive for a small personal circle. Microsoft’s integrated products are described at Microsoft 365 and Outlook.

Filter the Excel table using Send?, Card Type, and bounce status, then make a final check in Edit Recipient List.
Duplicate messages are sent
Compare normalized email addresses, then decide whether repeated addresses represent one household or separate recipients.
Greetings are blank or awkward
Complete missing first names or use a neutral greeting such as “Hello” for records that cannot be personalized safely.

For a combined physical-and-digital list, add Address 1, Address 2, City, State/Province, ZIP/Postal Code, Country, and Physical Card?. Keeping delivery methods separate prevents a postal address or email address from silently deciding how someone is contacted.
