Pause the financing application figures affected by a questionable invoice, verify the transaction against contemporaneous evidence, and correct the record with a traceable history. Do not change an amount simply to make an application look stronger. Invoice and tax-document rules vary by jurisdiction, invoice type, tax treatment, and accounting system, so confirm the required correction method locally.
How do I check whether an invoice is inaccurate?
Start with the transaction, not the number you hope to report. For each invoice in question, write down the suspected issue: wrong customer or supplier, date, quantity, price, duplicate entry, missing payment, incorrect tax, or posting to the wrong period.

Gather the records that show what was agreed, delivered, billed, and paid. Compare the invoice with the contract or order, delivery or service evidence, relevant customer or supplier messages, payment and bank records, and the accounting entry. The IRS advises that records should be considered with the circumstances that give them meaning; its audit guidance says, “No record can stand on its own.” See the IRS Audits Records Request.
Then compare the invoice’s fields and total with that support, and check the ledger and bank records for the accounting entry and payment status. The Canada Revenue Agency lists ledgers, journals, invoices, receipts, contracts, and bank statements among the business records it may examine; see Keeping records. Keep a short reconciliation log noting the invoice, discrepancy, records reviewed, conclusion, and any remaining uncertainty.

- Wraparound Divider Flap: A thick folded cardboard divider is integrated into the back of each invoice book for use between each two-part sales order to prevent the written content from rubbing off on subsequent copies of the invoice, resulting in wasted invoices.
- 2 Packs/50 Sets (100 Sets Total): Each invoice book provides 50 sequentially numbered carbonless sets of 2 invoice books for long-term use.
- Customizable Space: Each invoice book for small business has space at the top to add a company seal or sticker.
How should I correct an invoice after it has been sent?
Do not silently overwrite or backdate the original. Preserve it, record when the correction was made and why, identify who made it, and link the corrected record to the evidence supporting the change. Keep the related source documents and accounting entry together so another person can follow the path from the underlying transaction to the reported figures.
This is a prudent audit-trail practice, not a universal legal format for amending invoices. The OECD describes traceability this way: “Audit trails must be designed to ensure that details underlying the summary accounting data, such as entries, invoices and vouchers, must be easily identified and made available to auditors.” See its Guidance on Tax Compliance for Business and Accounting Software.

Check the relevant tax authority’s instructions or ask a qualified local accountant rather than assuming that editing the original file is sufficient.

What downstream records should I check?
Follow the correction through the books before using the figures in a financing application. Check the customer balance, accounts receivable, cash received, revenue or expense classification, tax treatment, and reporting period. A corrected invoice that is not reflected consistently in the ledger can leave the records telling different stories.

If only a clerical detail changes
If the correction does not affect tax or reported totals, document it and confirm that related records remain consistent. A lender may still want an explanation or corrected copy, so ask what it expects.

If a filed tax return may be affected
Consult a qualified accountant or the relevant tax authority before describing the records or filing as corrected. A tax adjustment or amended return may be required, but the applicable procedure cannot be determined without the jurisdiction and circumstances.

What records will a lender want to see?
There is no single lender checklist established for every financing provider. Ask the lender which corrected documents and explanatory schedules it needs before submitting them. A useful packet, tailored to that request, can include:
- The corrected invoice or other applicable correction document.
- A concise reconciliation schedule showing the original figure, corrected figure, reason, and whether reported totals changed.
- Key supporting records, such as the relevant contract or order, delivery or service evidence, communications, and payment records.
- A short, candid explanation of what changed and how the accounting records were updated.
Keep a copy of exactly what you submit, along with the correction log and supporting files, so you can answer follow-up questions consistently. Send copies where they suffice rather than original records; the IRS audit guidance instructs taxpayers to submit copies rather than originals.
Should I correct my books before applying for a business loan?
Yes: resolve known discrepancies and reconcile affected totals before relying on them in an application. If the correction may change filed accounts, a reporting period, or a tax return, get local professional advice before representing that the records are fully corrected. Be transparent with the lender about material changes rather than presenting an unexplained difference.
If a U.S. business-credit application is denied, FTC guidance says an applicant may request specific written reasons within 60 days of the denial, and the creditor must provide the reasons within 30 days of the request. Applicability can depend on the creditor and situation; check current law and the lender’s notice. See the FTC’s Business Credit and Financing.
