To preserve the original appearance, paste into the destination and choose Keep Source Formatting (or the equivalent option). Choose Merge Formatting when the text should fit the destination document, and Keep Text Only or paste without formatting for clean, unstyled text. The correct choice depends on both the application you copy from and the one you paste into.
Formatting can still change when the source and destination do not share a compatible clipboard representation, or when a browser limits clipboard access. The steps below cover desktop Word, Google Docs, Office for the web, Paste Special, and the most common failure modes.

Choose the result you actually want
“Without losing formatting” can mean three different outcomes. Decide before you paste:
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
| Desired result | Paste choice | What usually happens |
|---|---|---|
| Keep the source document’s appearance | Keep Source Formatting | Retains supported fonts, emphasis, colors, paragraph settings, lists and other styles that the destination can interpret. |
| Make copied text fit the destination | Merge Formatting or destination formatting | Adopts much of the destination’s style while retaining selected emphasis, such as bold or italic, when supported. |
| Remove styling completely | Keep Text Only or Paste without formatting | Inserts characters without the source’s visual formatting. You must restyle the text yourself. |
No option guarantees an identical visual copy between every pair of applications. A table, image, custom font, tracked change, hyperlink, or list may be represented differently—or not supported at all—in the destination.

Microsoft Word for desktop
Word’s paste options are the most direct way to control formatting. Microsoft documents three principal choices: Keep Source Formatting, Merge Formatting and Keep Text Only. The labels can vary slightly by Word edition, but the functions are the same.
Keep the original formatting
- Select the text in the source application and copy it with Ctrl+C on Windows or Command+C on Mac.
- Click where the text should go in Word and press Ctrl+V or Command+V.
- Click Word’s Paste Options button beside the inserted text, if it appears.
- Choose Keep Source Formatting. Word uses the richest compatible representation available from the clipboard.
This is the correct starting point when the copied text must look like the source. It preserves only formatting that both the copied representation and Word can carry; it does not recreate unsupported effects or source-only features.
Make the text match the destination
Choose Merge Formatting from the Paste Options button when the destination document has an established style. Word adapts much of the pasted text to its surrounding paragraph and character formatting while retaining some emphasis where possible. This is useful for combining material from several sources into one report without importing every source font and color.
Paste clean text
Choose Keep Text Only when you need unstyled characters. This removes source formatting, which can eliminate unwanted fonts, colored backgrounds, web headings and inconsistent spacing. Apply Word styles afterward rather than trying to repair a mixture of imported styles.
Change Word’s default paste behavior
If you repeatedly use the same choice, change Word’s defaults instead of correcting every paste:

- Open File and select Options.
- Choose Advanced.
- Scroll to Cut, copy, and paste.
- Set the defaults for pasting within the same document, between documents, between applications, and from other programs.
- Select the behavior you want, then confirm with OK.
Keep the default aligned with your normal work. A global Keep Text Only setting is convenient for notes but surprising when you expect a formatted table or heading to survive.
Google Docs shortcuts and menus
Google Docs provides separate shortcuts for ordinary paste and paste without formatting. On Windows and ChromeOS, standard paste is Ctrl+V; on Mac it is Command+V. To discard formatting, use Ctrl+Shift+V on Windows or ChromeOS, or Command+Shift+V on Mac. Google lists these as Docs shortcuts at Google’s Keyboard shortcuts for Google Docs.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Fix the driver behind crashes, sound loss and screen glitches3Repair Windows errors before they cause bigger problemsPreserve formatting in Docs
- Copy the formatted selection from the source with the platform’s copy shortcut.
- Place the cursor in the Google Docs document.
- Use the ordinary paste shortcut, not the paste-without-formatting shortcut.
- Inspect the inserted text. If it does not match the source, use the destination’s available paste or formatting controls and check whether the source contains unsupported elements.
Ordinary paste asks Docs to use a formatted clipboard representation when one is available. It does not promise that every Word, web or design feature will render identically in a browser document.
Paste plain text in Docs
Use the paste-without-formatting shortcut when you want the text to adopt the surrounding Docs style. This shortcut is intentionally the opposite of preserving the source look; do not use it when the goal is faithful visual transfer.
Google notes that browser security restrictions can prevent a web app from using the computer clipboard through menus. If a menu command is unavailable or does nothing, try the documented keyboard shortcut. Details are in Google’s instructions for copying and pasting text and images.

Word for the web and other Office web behavior
Word for the web offers Keep Source Formatting and Paste Text Only for external text. Microsoft cautions that only formatting that can be copied is retained and that some aspects may not paste as expected. In a browser, the source, destination and browser all influence what reaches the editor.

- Copy the selection from the source.
- Click in the Word for the web document.
- Paste using the browser or operating-system shortcut.
- When the paste choices appear, choose Keep Source Formatting if the original appearance matters.
- Choose Paste Text Only when you want the destination’s existing style.
For Microsoft’s qualifications and the supported web scenarios, see Copy and paste in Office for the web.
Why Excel for the web is a separate case
Microsoft documents a browser distinction for pasting external text into Excel for the web: in the described scenario, Edge and Chrome retain formatting, while other browsers paste plain text. That statement applies to the documented Excel web behavior, not to every Office web application or every browser version. Do not use it as a universal rule for Word for the web or another editor.
Use Paste Special when ordinary paste is not enough
Paste Special exposes the representations available for the copied content. Depending on the application and selection, you may be able to choose formatted text, unformatted text, an HTML representation, an image, or an application-specific object. The list is not identical for every source and destination.
- Copy the content.
- Place the cursor in the destination.
- Open the application’s Paste Special command. In Word, it is available from the Paste menu; the exact location can vary by edition.
- Review the formats offered for that particular clipboard item.
- Select the representation that matches the outcome you want, then confirm.
Choose a rich-text or HTML option when you need supported styling, an unformatted-text option for clean characters, or an image/object option when preserving the visual appearance matters more than editability. Microsoft’s overview is available at Paste Special.

Why formatting disappears
Copying does not place only one kind of data on the clipboard. Windows clipboard documentation explains that an application can offer multiple formats, including plain text and richer representations such as Rich Text Format (RTF). The destination chooses a representation it understands. If it accepts only plain text, formatting cannot survive even though the source supplied a richer version.
HTML, RTF, images and application-specific data each have different capabilities. A destination may support one but not another, or it may deliberately sanitize imported content. Microsoft’s technical explanation is in Clipboard Formats.
Common causes
- The wrong paste command was used: Paste without formatting or Keep Text Only intentionally strips styles.
- The source selection is incomplete: Copying only characters instead of the surrounding paragraph, table or object can omit the formatting you expected.
- The destination lacks a compatible format: Plain-text-only fields cannot accept fonts, colors, lists or images.
- A browser restricts clipboard access: Web editors may block menu-based clipboard operations for security reasons.
- The source feature is unsupported: Custom fonts, embedded objects, tracked changes, fields and complex tables may not map cleanly.
- A destination style overrides the paste: Merge or destination formatting can replace source paragraph settings by design.
Troubleshooting: a reliable recovery sequence
When the pasted result is wrong, avoid repeatedly pasting the same way. Use this sequence to isolate the cause:
- Identify the target: Decide whether you need source appearance, destination appearance or plain text.
- Check the command: In Word, open Paste Options and select the matching choice. In Google Docs, verify that you did not use the paste-without-formatting shortcut.
- Copy again from a complete selection: Include the paragraph mark, table or object when that material is part of the intended result.
- Try Paste Special: Compare the available rich-text, HTML, plain-text, image or object representations.
- Test a simple sample: Copy one short, visibly formatted line. If it also loses styling, the issue is likely the destination, browser or clipboard path rather than the original document.
- Switch to the application’s keyboard shortcut: A browser menu may be blocked even when keyboard paste works.
- Check the destination’s capabilities: A plain-text field, code editor or sanitized web form may never accept rich formatting.
- Rebuild unsupported elements: Paste the text, then apply a destination heading, list or table style manually when the original feature cannot transfer.
Tables, images, links and lists need extra care
Tables
A table may paste as an editable table, as tab-delimited text, as an image, or as a flattened sequence of lines. If the destination offers an image or object representation through Paste Special, that can preserve appearance but prevents normal cell editing. An editable table usually requires the destination to understand the source table structure.
Images and screenshots
Images are not text formatting. A destination may retain the image as a separate object, omit it, or paste only its alternative text. If the image’s visual appearance is essential, choose an image or object representation when available and verify that the result remains selectable as an image.
Best Value
Hyperlinks
A visible link can arrive as linked text, unlinked text, or plain text containing the URL. Confirm the link after pasting, especially when moving content between a browser and a document editor.
Numbered and bulleted lists
Lists combine paragraph structure with numbering or bullet definitions. Keep Source Formatting is more likely to retain the original list appearance than Keep Text Only, but the destination may renumber items according to its own list style. If numbering changes, apply the destination’s list controls after pasting rather than inserting repeated manual numbers.
A practical decision guide
- Copying a finished section into a report with the same visual design: Start with Keep Source Formatting.
- Combining research from several documents into one consistent report: Use Merge Formatting, then apply the report’s heading and body styles.
- Moving web text into a clean outline: Use Keep Text Only or the Google Docs paste-without-formatting shortcut, then format headings and lists deliberately.
- Moving content into a field that accepts only characters: No rich paste option can add styling; paste plain text and format it in a destination that supports formatting.
- Preserving a complex visual layout for reference rather than editing: Consider an image/object representation in Paste Special when the destination provides one.
What “preserved” should mean in practice
Successful formatted paste is not measured by whether every pixel matches. Check the properties that matter for your task:
- Are headings still distinguishable and in the correct hierarchy?
- Did bold, italic, links and lists remain usable?
- Are tables editable if you need to change their contents?
- Did fonts fall back to a different typeface, changing line breaks?
- Did colors, spacing or paragraph indents change because of destination styles?
- Were images and embedded objects retained in the expected form?
For a short paragraph, correcting a font or heading style manually may be faster than forcing an incompatible rich representation. For a long document, choosing the correct paste mode at the start prevents widespread cleanup.
Quick Recap
Quick reference by application
| Application or context | Preserve source appearance | Use destination or plain text | Important qualification |
|---|---|---|---|
| Word for desktop | Paste Options > Keep Source Formatting | Merge Formatting or Keep Text Only | Defaults can be changed in File > Options > Advanced > Cut, copy, and paste. |
| Google Docs | Ctrl+V (Windows/ChromeOS) or Command+V (Mac) | Ctrl+Shift+V (Windows/ChromeOS) or Command+Shift+V (Mac) | Shortcuts are Docs-specific; browser security can affect menu clipboard commands. |
| Word for the web | Keep Source Formatting | Paste Text Only | Only copyable, supported formatting is retained; some aspects may not paste as expected. |
| Excel for the web, documented external-text case | Edge and Chrome retain formatting | Other browsers paste plain text | This browser distinction is specific to Microsoft’s described Excel web scenario, not a universal Office rule. |
Key points to remember
- Start with the desired outcome, then choose the corresponding paste option.
- Keep Source Formatting preserves supported source styling; it does not guarantee an identical cross-application copy.
- Merge Formatting and Keep Text Only produce different results and should not be treated as preservation modes.
- Google Docs’ paste-without-formatting shortcut deliberately removes source styling.
- When formatting vanishes, investigate the clipboard representation, destination support, browser restrictions and the completeness of the copied selection.
