How to Convert PowerPoint to PDF (With or Without Notes)

Use PowerPoint’s Export workflow for a slides-only PDF. To include notes beneath slides, print using Notes Pages and save the output as a PDF.
Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

For a standard PDF that shows slides only, use PowerPoint’s PDF export. To put speaker notes visibly beneath each slide, use File > Print > Notes Pages, then save or print to a PDF destination. These are different output layouts, so check the preview before sharing the file.

Choose the right PDF layout

What you need PowerPoint workflow What the PDF contains
A conventional slide PDF File > Export, then create a PDF/XPS document or choose PDF, depending on platform and version Slides in a fixed layout; speaker notes are not visibly included
Slides with speaker notes below them File > Print > Notes Pages, then choose a PDF destination or save-as-PDF option One slide and its associated notes on each page
An editable document with notes Export notes pages to Word handouts A Word document that can be edited or printed separately

Microsoft’s instructions distinguish Notes Pages from other print and handout layouts: those other layouts print slide content, not the speaker notes. Menu labels and available features vary among PowerPoint for Windows, Mac, and web, and among app versions.

Convert slides to PDF without notes

  1. Open the presentation. In PowerPoint, choose File > Export. The exact export controls differ by platform; follow the platform-specific steps in Microsoft’s instructions for saving PowerPoint presentations as PDF files.
  2. Create the PDF. On Windows, the export workflow can offer a PDF/XPS document option. On other platforms, choose the available PDF option or destination.
  3. Choose output quality if the option appears. Microsoft describes Standard as the higher-quality choice for printing and Minimum size as the smaller-file choice for sharing. These options are not available in every interface.
  4. Select a destination and save. Open the resulting PDF and check that the slides display as expected.

Microsoft says saving a presentation as PDF “freezes the formatting and layout.” The PDF is intended for viewing and distribution; it does not replace the editable PowerPoint file.

Convert PowerPoint to PDF with visible speaker notes

  1. Open the presentation and select File > Print.
  2. Open the print-layout dropdown, which may initially show Full Page Slides.
  3. Choose Notes Pages. Microsoft describes this layout as one slide per page with its speaker notes below.
  4. Choose a PDF printer or the platform’s save-as-PDF option. The name and location of that control depend on your operating system and PowerPoint version.
  5. Review the preview, then save or print to PDF. Check the pages throughout the document, especially where notes are long or crowded.

The Notes Pages preview is not the same as a conventional slides-only PDF. Review its page layout before distributing it, since the notes area affects how each page looks.

What to do if Notes Pages or PDF controls are missing

PowerPoint’s features are not identical across Windows, Mac, web, and app versions. Microsoft documents desktop notes-printing workflows for Microsoft 365 and several perpetual versions, including PowerPoint 2024, 2021, 2019, and 2016; that does not guarantee identical labels or controls in every installation.

  • Check the current app’s File > Print layout dropdown for Notes Pages, rather than assuming notes will appear in the ordinary PDF export.
  • If the control is unavailable in your current app, try the desktop version of PowerPoint that offers the Notes Pages workflow.
  • Use the preview to confirm both that notes appear and that the page layout is suitable before sending the PDF.

Microsoft notes that some PDF features, such as saving notes or slides as handouts, are unavailable in a specified Mac-version context. Check Microsoft’s current platform-specific instructions rather than assuming that an option available on one device will appear on another.

Optional alternatives

Use Acrobat to convert speaker notes

Adobe documents Acrobat PDFMaker for Windows with a setting to convert PowerPoint speaker notes into text notes in the PDF. Adobe’s consumer guidance also describes a Convert Speaker Notes option. This is a separate alternative to making a Notes Pages PDF, and the setting should be confirmed in the installed Acrobat version. See Adobe’s PDFMaker instructions and Adobe’s PowerPoint-to-PDF guidance.

Export notes to Word instead

If you need to edit the notes alongside the slides rather than distribute a PDF, Microsoft describes exporting notes pages to Word handouts, with notes next to or below slides. You can then edit or print the Word document separately. See Microsoft’s instructions for exporting a PowerPoint presentation to Word.
